Xero Network - Include PDF of Invoice when sent with Xero Network Key
Automatically include PDF of invoice when sending it via Xero Network Key.
Purpose: Some clients need to see the attachment of the invoice. It’s also good for audit purposes.
Thanks for your interest in being able to send a PDF of an invoice via the Xero Network.
While this isn't something we're looking to develop atm. For those in AU and NZ you could look into sending e invoices via the Peppol network.
Through e invoices you can attach and include files as well as a PDF of the invoice - See more on Xero Central

@Yolande
You may have ticked the box to say "Attach PDF", but did you then check to see if the PDF had actually been sent. I suspect it was not sent ! ! !That option only seems to do anything when EMAILING invoices.

@Yolande
Are you referring to the tickbox on the Confirm Message Settings screen saying "Include PDF attachment" above " Send via Xero Network"?
Or is there another tickbox which works somewhere?
(If you test ticking both boxes mentioned above, the PDF is not attached to the invoice when sent Xero to Xero) -

@Marnus
I am not sure if this is available to everyone, but with the latest update when I switched over to the new invoice method and linked the two companies, I was able to select to attach a pdf when sending the invoices from one Xero file to another.

Hi Xero support gurus
It is now nearly two years since the original submission by Rudi Moritz from Xero and almost 18 months since Xero's Community Manager Kelly Munro's submission indicating no current plans to develop as well as some limited alternate solution if you happen to be in Aus or NZ (we are not).
Has any part of this request moved up on the dev timeline and/or wishlist or nah? It is a rather important consideration for our current 16 instances of Xero for our group of businesses that regularly invoice each other, so a continued non-response forces our hand in figuring out alternate service providers.
I like your platform but this is becoming such a massive time and admin suck that it sours the experience significantly.

Peppol is some overseas portal but NZ govt is using it in conjunction with Xero to scale e -invoicing across all organisations. Haven't implemented it yet but looking at it for 2 organisations - hoping to be zero costs.

What is the Peppol network? Is this another 3rd party add on? Are there additional costs?
-
Trevor Lowe commented
Agree not much use but there is another e invoicing option we will look at Peppol

I am now asking our suppliers who use Xero to refrain from using the Xero to Xero network until such time as Xero fix this BUG. It takes more time for me to download the invoice and attach it to the bill than it would if I used the VIEW and IMPORT options.
Furthermore - We HAVE to have the PDF attached to the bill since Xero allows pretty much any field on a bill to be amended at any time. The accountants and HMRC cannot rely on JUST the information in Xero.
It's a ridiculous situation. -

It seems a backwards step to not be able to add an attachment. Otherwise the feature is good.

Without the ability to automatically send PDF attachments within Xero-Xero there is really no point in setting it up as it is duplicating efforts.

There is no point having Xero to Xero if the documentation doesn't come with it.
We actually have relating entities & we require pdf for every transaction. -
Sebastien Themens commented
Agree - Without having the PDF attached, Xero-to-Xero is practically useless, unless you are the owner of both companies !

Agree with Martin & Ashley, especially on the inefficiency of the current functionality
-
Ashley Hughes commented
Agree with Martin. You've shot yourself in own foot really as due to the fact the invoice does not carry in transit to the recipient landing, you have to take extra steps in any case like download and email separately a copy of the invoice. Talk about defeating the object and almost renders the feature practically useless of its design to save time and effort !

Hi - I don't understand why this the Xero network functionality exists for sending Invoices, unless the actual tax document (invoice) is also sent attached with it. Without it, there's no auditable documentation to support the Bill created in Xero. So not more efficient or time-saving, if anything the opposite, as additional steps are required.
The invoice might as well just be sent by conventional email & uploaded to Xero manually, or via emailing to Bills to create the draft Bill.

I have a number of clients where the VAT treatment for the receiving company is different for the sending company meaning that the figures (net and VAT) need to be altered (VAT disallowed/ partially exempt companies, etc). Therefore you need a record of what it has been changed from and why. A copy of the original invoice is the best way to do this.
Also, given you can manipulate the record once received, has HMRC accepted a Xero network transaction as acceptable proof of the transaction? Or are HMRC going to start disallowing claims when they work this out?
I send everything by email now rather than Xero network.

I feel that "this isn't something we're looking to develop ATM" is an absolutely absurd response to something that is "clearly broken" and can't be used.
What is the point of having Xero to Xero transactions if they don't work?

Hello Team, we have got a reply and this was what it said. So no solution. So we will unlink with the customers and supplies we have links form, considering its a legal requirement to have PDF copies of all of your bills. Seems a bit silly to use this function. Dee
Hi
Thanks for inviting us into your organisation. Hope you've been well.
It’s not currently possible to include attachments when sending bills and invoices via the Xero to Xero Network Key.
I’ve passed your feedback on to our product team for inclusion in their regular reviews.
If you need to send invoices with files attached, we'd recommend emailing them from Xero instead.
However this is a request that's already been raised with us and I've found an idea that's similar to what you’re suggesting in our Xero Product Ideas. This is where our customers can share and support ideas for change.
I’ve included a link to this where you can view and support the current idea or create a new idea to share your thoughts.
Xero Product Ideas: Xero Network - Include PDF of Invoice when sent with Xero Network Key
Kind regards

Hello Xero team,
We are receiving invoice form another Xero user via the Xero network, for some reason we are not getting any invoice attachments which means we have to get the supplier to then send us a email with an attached PDF copy so that we can attach the PDF copy of the bill to the invoice created by the Xero network.
This seems kind of redundant and very time consuming for something that is meant to make things quicker and easier.
Can someone please look into this and let us know why we are not receiving the invoices via the Xero network with the PDF copy attached already?
Regards

So many clients have the Xero to Xero network with their customers but it's not being used to it's potential as the customers want PDF copies of the invoices with the email. I agree that it's important for audit purposes.
