Accounts Receivable and Payable details reports - Flag manually entered 'expected date' in reports
On the Receivables and Payables Detail report, include a flag that shows when a planned payment date has been manually identified (as opposed to the credit terms due date). Will simplify cashflow forecasting

Bank rules - Run this rule on 'selected' bank accounts, instead of all or just one
It would be great to have the option when creating a bank rule to tick the bank accounts to run the rule on, as opposed to having ALL or just one. We often need to run the rule on say three of the five bank accounts, and are forced to set up three identical bank rules just so we can select each account, as we don't want to run the rule on all five accounts. This is particularly prevalent when using tracking categories. Some entities have different bank accounts for different areas of their business and when coding we'd like to be able to identify which tracking category a transaction belongs to based on the bank account it is in.

Batch Payment - Support TXT file format
Allow a bank file that is supported by Coutts to allow batch payments to be made.
8 votesHi Iain, having a quick search it appears that Coutts accept 2 file type formats, TXT and CSV.
It is currently possible to export a CSV file from batch payments - read more on Xero Central.
I've slightly adjusted the title of your idea here to request TXT format, however want to be open that we don't have plans for developing new file formats for batch payments at this time.

Repeating journals - Date placeholder that uses a number-format for month
I attended the 2023 Q2 QPU and I like that for placeholders you can add a number in the square brackets to modify the month placeholder (this was in repeating journals - is it the same in other repeating features, like Invoices/Bills?). I also wonder if you can modify the year placeholder in the same way.
But I'd like also to be able to post repeating journals with a placeholder that uses a number-format for month (eg, 04 instead of April). Alternatively or additionally, it would be nice to be able to abbreviate the month to just the first 3 characters (eg, Apr instead of April).

AU Payroll - Tax commissions paid using regular tax table
This is not an idea; it is a requirement, Xero.
At present, all pay types classified as commissions are being taxed as follows: "The method for Schedule 5 in Xero, calculates the PAYG withholding amount by averaging all additional payments made in the current financial year, over the number of pay periods in a financial year, and applying that to the average total earnings to date".If commissions are paid every month, they should not be taxed in this manner, as per this ATO web page which says "Do not use this schedule for payments for a single pay period".
Xero needs an additional py type for monthly commissions.
"If the commission, bonus or similar payment relates to work your employee performed in a single pay period (for example, a week, a fortnight or a month) the amount is added to all their other earnings for the current period. Withholding is then calculated using the standard PAYG withholding tax tables."
This is not an idea; it is a requirement, Xero.

Xero Analytics | Short-term cash flows - Add tax payments
It would be very useful if the cashflow report could intelligently add VAT payments to Cashflow automatically.
For example when a VAT return if filed, automatically add the payment amount and date to the report, learning as it does with repeating outgoings what the date might be - if you're paying by DD this is pretty predictable.
As invoices are generated (payable and receivable) the report already picks up the amount of VAT payable to HMRC and it would not be a stretch to calculate what is due back on purchases, or to use the known VAT reporting date to forecast the amount of VAT due and when.
It would be very useful if the cashflow report could intelligently add VAT payments to Cashflow automatically.

Payroll UK - Increase the number of employees from 200
Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.
5 votesHi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.
If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

Quotes: Hide line item cost
When we create quotes we do not want the individual cost to be sent to the client as we may increase or decrease price depending on actual needs. Therefore I would like to send a quote with all the products/services itemized but not individual cost just a TOTAL?

Bills - Bulk add Due Date when creating bills from Purchase Orders
Draft Bills - BULK add Due date when bulk approving.
- need to use when creating RCTI's from purchase orders. We have the option to bulk move from Purchase order to Draft Bill, but then must open each one individually to apply the due date so that they can then be approved.Another alternative is to add a 'due date' field on the screen when choosing to transfer the Purchase Orders to the Draft Bill page

UK Payroll - Adding Employee Group data to reports
You can enter a group for an employee on the employment information but this function cannot be used on the reports.
If the information of which employee is in which group, then surely its not a huge leap to add this function to the reports. Using the gross to net report, you could select a group rather than an individual, saving a lot of time.

Sales Invoices - Ability to specify a % of invoice held on retention
We would like to indicate a specific percentage of retention money held by our client on our sales invoices to them. This retention is then payable to us after a specific amount of months.
We also need a way to keep track of the total amount of retention held by a client
42 votesHi community, in lieu of having a direct feature for this I wanted to highlight the option shared earlier on in this thread (Thanks Peter!) for those it may help.
As mentioned, currently you could enter a separate line on the invoice, with a negative amount for the retention value, and code this to a 'customer retentions' account in the Balance Sheet. You could also add a comment in the Description field, indicating the cumulative retention value.
The Account Transactions Report can then be used to manage the values being carried forward.
Being open, this isn't something we have planned for development at this time, however we'll continue to gather the interest here, and if there's any changes we'll let you know.

Reporting - Create folders to manage reports (Custom, Published and Archived)

I send out reports to my departments each month, this morning it took 4 hours to add the tracking codes to the new P & L reports (we love the new report and so do our Department Heads).
I was wondering if there is a way of saving each custom report for each individual dept with their tracking within a folder. We have a Junior and Senior Campus and about 45 departments at each. We already have a lot of custom reports so having a folder system would allow each Admin staff member to access what they need easily, without overcrowding the main area.This would save hours over a year, not only each month but when a Dept Head requests one mid month.
I have attached a Screenshot of what I mean. if we could have a folder for HOD P & L's I could then save individual P&L's for each dept and Campus then they be ready for the next month and just need to change the date. A huge timesaver.

There's no facility to create folders in the Reports Centre for this sort of categorisation atm.

UK Payroll: Time Off - Add 'Days' view to holiday allowance (Instead of just 'Hours')
Offering a simple update to the Xero system which would dramatically improve one grey area:
I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.
Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.
We would all very much appreciate it if you at least give the option to view the 'Time Off' allowance as 'Days' - so you can see how much holiday you have left very quickly.
I've mocked up a basic example of how this would look in the attachment uploaded to this request.
Please do consider this simple update as it would make life easier using the Xero system.

Payroll - link payroll item to an asset account
At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

AU Payroll - Hide Long service leave balance from ineligible employees
I would like to be able to select only certain employees and add LSL balances on their payslips rather than everyone in the organisation.
My point is, when we set a new employee we started calculating their LSL from day one but we do not necessarily want them to see the balances until they reach 5 or 10 year mark working for the company.
In this case, calculation of LSL is accurate as in 10 years times hours of employees can change btw full time/part time and so on.
I would appreciate an option to select individual employees to display their LSL balances once they reach the right time on their payslips.Thank you.

UK Payroll - Ability to have national minimum wage checker
Xero checks employees age against pay rate and that of the National Minumum Wage so it does not get missed. It's doesn't have to change it, just highlight thsat the employee's rate needs to ber changed

AU Payroll - Include Salary Sacrifice amounts when calculating HECS/STSL deductions
When a staff member has a HECS debt or other Student Loan selected AND is salary sacrificing - the Student loan amount is only calculated on the GROSS amount AFTER the salary sacrifice however when the staff member has gone to do their tax return, they have a tax bill because the ATO looks at the taxable income as an amount INCLUDING the salary sacrifice so via Xero not enough PAYGW has been withheld - can this be amended?
