Bills - Automatically pay bills on due date
To have an option for a bill to be paid automatically on the Due date
Invoice comes from Supplier. Invoices is processed to Xero with a due date

Reporting - Show all entries to an account, and then allow the user to Filter
When I look at transactions posted to a N/L code, I just want to see everything and then decide how to filter it there or in Excel etc.
We don't need the extra steps of breaking down the data into 000's as that is annoying and takes a little more time for the extra clicks.

Reporting - Export reconciliation report pack as separate spreadsheets
The report pack is a great feature to save time in downloading multiple reports at the same time. Is there the ability to export these reports to excel as separate spreadsheets rather than as multiple tabs on the same sheet? If not can this feature be added as accountants generally review these work papers separately and it saves time if we don't have to convert the multiple sheets into separate spreadsheets.

Expenses - Submit expense claim without filling all required fields
Looking at the mileage and expense app in the demo company, I noticed many fields need to be completed each time, such as bank account, categorised to an account etc. This level of detail should be managed by an administrator rather than an employee who is on the road and needs to worry about what code the expense should be linked to and the tax rate, and so on. All they need to do is take an image of the receipt, type a few words explaining the reason for the expense and then send it. After which, it is up to the Accounts Dept or whoever to update any other fields before approval. I have attached an image to help explain my suggestion. I would appreciate someone from Xero responding to my request. Thank you

Invoice - Allow Excel formulae in invoice fields
In due date fields (and why not other fields), allow Excel formulae with invoice fields as variables into the formula to drive the default value. The existing constant value is a valid excel formula so would be backward compatible.

Reporting: Profile based defaults for settings and reports - Based on client files and user
Ability to set default reporting options (default to show account numbers, specify no. of results per page, your own date preferences), along with favourited reports - but have it linked to your Xero user profile rather than the client's file.
I work on multiple files a day and don't want to change their file settings - but manually changing to my preferred reports every time the page refreshes is exhausting.

AU Payroll - Support for prorated salary
I had a situation recently where we increased an employees salary but they wanted to reduce their working hours by 80%. The salary is based on 1 FTE. There is no way to actually do this in Xero Payroll. If I put the FTE salary in (to recognise the actual approved salary increase) and set working hours to 8 hours a day 4 days per week the 1 FTE salary is paid out in full over the year. But it should only be 80% of that. So I had to enter 80% of FTE and reduce the actual work hours but now it looks like it was a salary reduction which is not the case.
We need to be able to pro-rate salary in Xero, properly, rather than just leaving a note.

Project Invoice - List Time Entries in Chronological Order
Listing Time Entries in Chronological Order in Invoicing for Projects.
As raised in support case CX0012531595 - I use projects to create invoices for clients and show time entries for all tasks - the problem is that the draft invoice seems to put all the entries in random order rather than a date order - there is no way to sort by date so that it reads chronologically for the client. Interestingly you can run a report to list entries by date, so that functionality exists in the platform but it needs to be brought into invoicing. I have seen others raise this issue in the forums.

AU Payroll | Lock ABN in Organisation settings once STP filed
I would like Xero to automatically lock the ABN on a client's file after the first STP event has been lodged. This will prevent clients changing the ABN when they change the entity's structure and reporting STP incorrectly across two ABNs. Undoing this mess is a nightmare.

Quotes - Attach PO to approved quote
PO to approved quote. My customers want to add their PO number and possibly an attachment upload to an approved quote when they select approve on the link. This should be very simple to fix. Also, then this would give us more capabilities in the approval process by allowing documentation to be added to the quote directly from the customer. This way it will tell me when I invoice them what PO was on the order. Also, they were asking for a place to put notes as well. They have notes on a reject but not approve.

Credit note - Ability to set an expiry date
Hi all!
I'm a one man band IT business, and I've just started being put on retainer by a company which is great, however I'm finding accounting for the retainer to be a bit burdensome.
Currently, my plan is it add the retainer's ammount as a credit note at the beginning of the month, and then somehow nullify any remaining credit at the end. However, I was wondering if it would be possible to add a way of managing retainers separately and more efficiently from credit?
Or even just having the option to add an expiry date to a credit note would simplify things.
Perhaps there already is a better way of doing this, or some sort of integration with a 3rd party app - I'd love to hear about it if that's the case!

2 votesGreat to hear how you're currently using Xero with Credit Notes to manage this process for yourself, Joseph. I've slightly amended your idea for being able to set an expiry for a credit note as it's quite unlikely that we'll look to create a completely new feature for managing retainers.
Having a quick look at some of the other ideas raised in community, it looks like some people maybe using SimPro as a means to manage these, alternatively you could explore apps in the ecosystem that may meet your needs. 🙂

User Role: Invoice Only - Ability to add tick box options for setting up a new invoice only user
We need to give a user the 'Invoice only (sales)' permissions but do not want them to view invoices created by other users or ANY sales figures such as 'total awaiting payment' or 'total overdue'.
It would be incredibly useful to have tick box options for main permissions when setting up a new Invoice Only user. These permissions should include:
- View sales totals
- Approve invoices
- View invoices created by other users

Dashboard - Show Current/Actual VAT liability
Similar to other "snapshots" available on the Dashboard, for any VAT registered business it is important to know liabilities at the click of a button. Please can Xero support look into an "add-on" for VAT liability total shown on the dashboard

Whilst we have refreshed the VAT dashboard widget with a new look, it does not display your current VAT liability - apologies for the confusion.
We’ll be opening this idea back up to votes and feedback from the community.

User Access - Restrict Invoice only role to Customer list
There is a role setup for Invoices Only (Purchases). This is useful if you want to have a User process Accounts Payable Invoices, but without providing access to Sales Invoices.
However, if you login with this role, you can see 'All Contacts' as well as the list of all 'Customers' and the billing amounts outstanding. Surely this is inappropriate if the role is for Invoices Only (Purchases)?
The suggestion is that a user with the role 'Invoices Only (Purchases) can see Supplier contacts, but cannot view Customer contacts (which is really what most people would expect if this role is chosen).

The simplest entry point into Xero is therefore to drag and drop the pdf into the "Files" area of Xero and then create the bill. However using this method doesn't auto-populate any of the information for the draft bill like when using the email to Xero method.
I'm sure all the functionality is there for this suggestion : It would be great if files could be dropped into a specific "Bills" folder from which then Xero a) automatically created draft bills and b) auto-populated fields on these draft bills where possible.

Right now, along with work for managing duplicate bills, and providing a quick view of bills we're developing a bills upload feature where you'll be able to upload or drag & drop a file from your device to create a bill in your Xero organisation. 17 votesThank you for rounding back, Scott. I’ve changed your idea slightly here, so it’s sounded more CNH currency instead of bank feeds. This is because, before bank feeds for CNH can be implemented, CNH currency needs to be enabled first.
In saying that, we’ll keep an eye on this idea to gauge the interest from the community here :)
