After creating an unscheduled payrun via the Payroll AU API when you get the payrun it returns an array of payslips where the employee id and payrun id do not exist (the only fields returned are FirstName, LastName & UdatedDateUTC). If you then proceed into the xero admin (in the browser) and view the payrun you can then click to include an employee. Returning back to the API if you retrieve the payrun again the employee id and payrun id are then set for that employees payslip entry.

    We also tried creating approved timesheets for employees before the unscheduled payrun…

  3. Would be great if you could pay the IRD PAYE when you pay the employees in the same payroll batch. This is already a function with Flexitime Payhero and doesn’t rely on staff making the IRD PAYE payment manually. If Xero had this function there would never be any late IRD PAYE payments as its getting paid to IRD when the employees are paid.

  4. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

  5. When you're in the pay run screen, you can only download ALL payslips as one PDF file. We need to be able to download payslips by employee group so they can be sent to the individual managers of the employee groups for review/approval.

  6. It would assist us if the Leave Accrued Report could also show the employee's start date. Long Service Leave is only applicable to staff from the 5 or 10 year mark for us in NSW but to ascertain whether staff are eligible for it is requiring external spreadsheets that have to be manually adjusted each month. Xero already has the functionality to enable this so it can't be hard to action.

  7. At the moment this isn't an available feature, and HMRCs basic PAYE tools need to be used. It would be good to see this as an option in Xero.

  9. I would like to be able to run a report in Xero to see the updates I have made to the employees list and spot errors if any. This will help to review, identify errors in an efficient manner.

    Thanks for raising the idea here, Harshita. While there's a downloadable CSV for the Pay Item transition, this isn't something that's available for employee changes as part STP 2 transition. 


    The nature of the transition tool means you won't have to repeat these steps once rolled out, and being open with this we'll mark the idea as not planned. 

  10. It would save a lot of errors if you had an employment type option where once 'casual' was selected as a type, you could only then enter what was needed for casual staff and leave/holiday pay would automatically change accordingly. I have anumber of clients who, when entering new casual staff, inadvertently add hours per day and days per week which then starts the accrual of annual leave and unless they tick the little box under holiday pay, the employee is not paid their 8%.

    Hi team, great to get your feedback and support through the idea here. We appreciate these challenges with the current functionality when setting up a casual employee. We’ve started some work around enabling Xero customers to select Employment Types such as casual. While in early stages at present we’ll keep you updated on progress for this here.

  11. It would be very helpful if there were the ability to set up Reminders in Xero Payroll for certain dates such as birthdays and apprenticeship anniversaries so that you would know to change the employee's Pay Rate accordingly.

  12. Due to the ATO now requiring employees to keep a record of the hours they work from home in order to claim a percentage of things like internet and electricity bills on their tax return, would it be possible to add this as a Pay Item for employee payslips so it can be easily referenced and submitted for tax purposes.

    Understand how it'd be useful for employee's to have this information available at tax time.


    Just to clarify, it's already possible in Xero to create a custom pay item.


    If you need to distinguish between WFH and office hours, you can create a custom pay item for "work from home". 

  13. There is currently an option for a DEA to be table based when setting it up, however this doesn't do any of the calculations for the DEA. Instead, they need to be calculated manually & entered as a fixed amount. There is also no way of keeping track of the amounts deducted until the total has been paid within Xero, this also has to be done manually. This can especially be difficult if the employee's pay varies each period.

There should be an audit trail in Payroll detailing when changes to an Employee record is made (for example: date an address was updated for an employee and what it was until that date, likewise for other details such as email address, bank account number, tax code etc). As an Employer we should be able to rely on the digitised Payroll system we are using to determine when changes to an Employee's record has been made.   15. Currently payroll is only able to child support as a deduction.

    In Australia, there is a protected amount that employee needs to earn before the deduction is taken out of their pay. There isn't a function that will allow this currently.

    Payroll officers manually have to keep track of this and remove the deduction if protected amount is not reached. Small businesses with a few employees would be able to keep track but for the likes of a bigger business with more than 20+ employees, this would be a nightmare.

  17. HOLIDAY ACCRUAL SHOULDN'T TAKE A MONTH TO RESET
    We have holiday entitlement to reset on the 1st of April each year, however, the holidays don't reset until the 1st of May and after April's pay run.
    Please vote for all holiday balances to reset on the actual anniversary date.

    Hi everyone, we're pleased to update you that these changes have been released in UK Payroll! 🎉 This includes the ability to set employee's leave to accrue based on a custom date of your choosing. Additionally, we've released changes based on the feedback here so that leave will now accrue on the first day of your annual accrual method.

    I’d like to submit a request for an enhancement to Xero Payroll to improve the setup and management of default superannuation funds.

    Currently, when adding a default fund in Xero, there is uncertainty around what should be entered in the Member Number field. We typically process super contributions through the ATO Portal, but we would love to have the ability to do this directly within Xero.

    Specifically, we would like the ability to:

    Add a Default Fund chosen by the employer.

  20. When doing a catch up job it takes forever to have to click into each pay run then back into pay employees and repeat. It would be great to be able to tick each one on the payroll > pay employees screen and then submit all at once.
