  1. Xero defaults to full pay period hours for a new employee in the 1st payrun even if the employee start date (already entered into Xero) is part-way through a payrun. This doesn't make sense and is too easy to overpay a new employee in this way, if a manual override has not been done. Ideally, Xero would calculate the expected hours for a salaried employee based on the start date, but another idea would be to flash up a warning before finalising a payrun with employees that have a start date listed within the pay run period.

  2. Previously we were able to "Add billable expenses" to a "Copy to draft invoice". However, this feature is no longer available/showing up as an option when creating the draft invoice. Instead I have to save the invoice as a draft and re-open, then I'm able to add the billable expense.

    Hi team, thank you for your feedback and sharing about this with us here. I can confirm our team recently released a change to fix the issue some users were experiencing like you've described here where the Add billable expenses option was not appearing.

    You should now see this appear when creating an invoice for a contact that a billable expense has been assigned to. If you do continue to experience any issues with this, please do raise a case with our Xero Support team who have tools to be able to investigate and escalate with our product team if needed. Thanks

  3. Please keep the current feature of adding item codes to billable expenses so that the preset charge out rate and account pulls through. In the new system adding an item code wipes out the billable expense.

    Hi community, thanks for sharing back with us on the flow through of information for Billable expenses.

    Our product team have implemented a change, and you should now find that when you add a billable expense related to an inventory item, and select to add the items to your invoice the item code will be shown.

    If you're finding this is not the case for you it would be best for our Xero Support specialists to take a closer look at things with you 1-1 - you can touch base with them through Xero Central.

  4. Currently after adding a payment, the page goes to the Sales Overview - Invoices. It would be good if (possibly just as an option) it returned to the actual invoice I was adding a payment to.

  5. When posting conversion balances, you have to post balances at the end of the month. If you could select a day, i.e. 5th of April, it would make posting conversion balances a lot easier

  6. Thank you for delivering to keep the existing contact when copying an invoice. Now when you email the invoice the email address is not populated from the contact file. You have to go and look it up to send the copied invoice.

    Please refer to the contact details and pre-populate their contact email addresses.

    Sorry Lynne, It's a bit hard to troubleshoot and get the detail to understand why your contacts details like email aren't coming through to your copied invoice. I've just tested this with Draft and approved invoices being copied and the email of the contact was bought through each time as expected. I'd recommend raising this with our specialist through the Contact Xero Support option in Xero Central for closer inspection.


    Thanks for also checking on this, Olga - that message on defaults application is related to the Sales defaults saved against inventory items or the contacts record but doesn't apply to the contacts personal details. These should be applied when copying an invoice.

    To explain a little more - The reason defaults aren't automatically applied is because the line item fields will be prefilled with the information from the existing invoice that the new one is copied from.

  7. Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

  8. Addition option of show customer statement "actual" outstanding instead "as at" date.
    Eg, Our customer ABC need us to furnish a Outstanding statement that as at 30 June 2023, and there is 4 invoice unpaid. Happen that 15 July 2023the customer pay the 3 invoices only. Customer request us to send the statement show the 1 unpaid invoice dated 30 June 2023 but it still shows 4 outstanding, how can we show the the one unpaid invoice in the statement.

    Ideal additional option of show date 30.6.23 and show the one 1 unpaid invoice only. Kindly advice.

  9. When printing an invoice I would like to go to the customer's account and bring forward the balance that is on their account.
    And have this balance on a line above the net amount for this invoice, which would then add the gross amount to the brought forward value and have aline below the gross amount of the invoice, showing the total amount that they owe to date including this invoice.

  11. Sales Invoices Additional Line Level Text Field (2nd Description field)

    For businesses that need to record the date, reference (work order/docket number & job number) and also the full description of the items purchased for each line item as opposed to issuing separate invoices for each sale to that same customer through out the month.

    Hi everyone, thanks for your feedback here. Being transparent we don't have any work planned for adding a secondary description field in an invoice.

    In lieu of this, an option for some could be to use one line as description only - entering the first description for like a work order summary, and then use the next line to enter the finer details of the work order where you'd also enter the qty, price etc.

    I appreciate this isn't the ideal solution you're looking for here. We'll continue to track this idea here and share if there's any change.

  12. Having recently created a custom invoice template for our business I wanted to include a merge field for payment terms (e.g. "30 days form date of invoice") next to the invoice due date field. Unfortunately customer payment terms, even though a data field in the contact record, is not available to incorporate in a customer invoice template. In my opinion this would be a useful addition to the custom invoice functionality.

  13. Sometimes an entity will de-register for GST because they are no longer required to file, then circumstances change and they re-register. Currently in Xero when you re-register Xero creates all the prior period GST returns for when the client was deregistered. You then have to manually delete all the prior draft returns.

    Would be great if you could have an option to choose the new start date for GST.

It would be great to see an option of being able to highlight in red or yellow a particular line on your sales invoice for the client to specifically take note of, because at the moment when I add a note for clients to see I write it in capitals but it still gets ignored. Whereas if it was highlighted they may take more notice of it.

  15. Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).

    I then edited the leave request to be for the 26/07/2024 and approved the request.

    The employee received an email notification that their request for leave on the 19/07/2024 was approved!

    The employee then contacted me because they were confused…

    Thanks for raising this, Chris and apologies we haven't responded sooner. This was an issue that our product team picked up and I can confirm we released a fix so the date will now show correctly.

  17. Currently when accessing the Uncoded Statement Lines report, the last date of the prior month will appear in the To field. This is currently set as the default in Xero.

    Be more helpful if the current date was entered as it is the current entries that are being queried. If everything is up to date there should few if any aged items left in the reconciliation report.

    Thanks for the feedback, Richard. Can see where you're coming from and we'll get a sense of the overall interest from users on the thread here but want to be open that we don't have immediate plans for changing this.

    To enable a little more swiftness when changing the date of this report you may find typing the letter 't' before clicking or tabbing through to the next field helpful - we have a few more date entry shortcuts you may like to explore, too.

Previously in the old format Aged Payable Summary and Detail reports you could run the report at the end of the month and change the Ageing by option to be by Due date and the report would then exclude any invoices with a due date later than the month end it was being run by. However when doing the same in the new format report this does not work and the Current column shows invoices for the month as being due even if they have a due date of later than the month end date being selected i.e. the report…

  19. The new feature sets the discount column to numeric value by standard. My business uses % and it's incredibly tedious having to type % each time. We can do 10-20 quotes a day with an average of 30 products per quote. So a feature that would allow us to click a button to default to percentage, so when you type a number the % appears (like in old Xero).

    Hi everyone, we appreciate the interest his idea has received. Introducing the ability to add a discount amount was highly requested by our community. We recognise for customers that discount by % this means you'll need to enter a % symbol where y ou wouldn't have done so before.

    With quite a few items drawing our teams attention at present we want to be upfront that developing a default option for discounts isn't in the pipeline atm. This is something we'll keep reviewing and consider as a future improvement in this space. If there is any change or progress around this I'll let you know on the idea, here.

  20. Adding a new customer on the fly.
    The drop down for adding a new customer at invoice does not have any fields for adding the customer the contact. Why
