  1. When a credit note is approved, the next page that pops up is the Allocate Credit Balance screen. This screen does not state who the customer/supplier is, and when creating multiple credits, it can be hard to recall who each one is to. It would be great to have the Allocate Credit Balance screen displaying the contact of the credit (the reference would also be great, but I have already voted for that one separately).

With the new invoicing re-vamp this would be a great opportunity to increase the information on the Allocate Credit Balance screen too.

  2. It would be great if there was an option to automatically attach the supplier source invoices to the batch payment summary report.

For example, where an SME has an in-house accounts person raise the batch payment for approval, you would have the option to not just download the batch summary report but include the attached files as well (i.e. the supplier invoices).

Currently you have to down load the batch payment summary and attach the invoices separately. Whilst accounting practices may have document manager packages that can do this for them, SME owners may not and this feature would be…

  4. Looking at the mileage and expense app in the demo company, I noticed many fields need to be completed each time, such as bank account, categorised to an account etc. This level of detail should be managed by an administrator rather than an employee who is on the road and needs to worry about what code the expense should be linked to and the tax rate, and so on. All they need to do is take an image of the receipt, type a few words explaining the reason for the expense and then send it. After which, it is up…

  5. Make creating leave requests functional when using keyboard entry.

Currently, when I want to create a leave request, I:
    - go to the top menu, tab across to Payroll and select (4 keystrokes),
    - arrow down to Leave and select (4 keystrokes),
    - tab through to New Request and select (15 keystrokes),
and then no matter how much I try I cannot get to select either Leave or Cash Out Leave without using the mouse.

Then, once I have used the mouse to get the new leave request pop-up, I have to:
    - tab to the employee field (3 keystrokes)…

  6. Custom Reports on Xero are not really true custom reports as they are limited to only some data.

On some other accounting packages you can include almost any financial or labelled data or contact.

We recently had to recall a product - we could report on which clients had purchased the product but could not draw up a report that included who purchased the item with their contact details or email alongside.

The info is all sitting in the Xero database but we had to individually look up over 50 email addresses to write to them about the…

Hi all, while we appreciate feedback from you all here I want to be open that we don't intend on enabling the ability create a complete custom report that could include any data field across Xero.

That being said, our Reporting team have put a lot of focus into Xero's new reports to provide more visibility of activity and transactions, and flexibility to our users in the way they set these up.

Appreciate the specific details you've noted here aren't currently available in Xero - the closest would be Smart Lists however this is limited to customers at present - if this is something you'd often look up I'd recommend adding your support to the idea here.

We'll keep developing on Xero's reports - so if there is specific detail/results you'd like to see in a report welcome to start ideas for these that we can gather interest on.

  7. I would like to have my contractor be able to submit timesheets via XeroMe and have the timesheets linked to a "Withholding Income" pay item.

It currently looks like timesheets require a Regular Earnings pay item to be selected before they can be submitted and then approved

  8. "Days paid" on timesheet defaults to number of days loaded in "Salary & Wages".
It needs to be overridden to actual days worked for the week when a timesheet is approved. Many staff work more or less days than the average and changing each one manually is incredibly cumbersome and has a huge margin for error

Hi community, this is possible via the use of Lock Dates in the organisations  Financial Settings.

You have two optional date settings:

    1. One date that applies to all users except Advisers
    2. A date that applies to All users, including Advisers

These prevent the relevant users from adding or making changes before these dates.

  11. Example we explain here is a 4 line Purchase Order in CSV format which, using the Bills To Pay Template, we are importing in my test Xero platform.
Each line in the PO use a different Account Code from our Chart of Accounts.

In brief, if we leave any of the Account Code fields empty the system does not seem to want to import the Supplier Contacts Purchasing Default Account settings.
I have tried all versions of this import and the only one I can get to work is one where all the fields are completed.
    This means we have…

  12. If Xero Expenses' OCR reader doesn't find a date in a photo/receipt, it sets it as 19 Feb 2022 (from reviewing a number of Expenses in my organisation submitted in December 2022 that don't have visible dates).

It would be more helpful to set the date as the day the Expense was initially created.
The submitter is likely to have incurred the Expense on the day they take a photo of the receipt.

As it currently is, if a period isn't locked and the Approver isn't checking dates, they may inadvertently post entries to the wrong period, even a…

  13. When previewing bills in 'awaiting payment' or 'awaiting approval' there used to be up and down arrows to cycle from one bill to the next or previous. The arrows have been removed from the interface with no plans to bring them back.

Previously, we could review the account and GST coding of each bill, as well as having the attached invoice open to the right, including the abillity to review the Xero ocntact bank details by clicking on the contact name. Now, without the abiity to cycle between bills easily, it means we need to close each bill before clicking…

For one of my potential clients, this procedure applies to 95% of the quote opportunities.

As of this writing, it is not possible to Share the quote (only email) and if converted to a draft invoice, tapping the Share option automatically converts it to Approved…

  15. To be able to create a Mailer list of our customers with all the relevant details on an excel worksheet, for example, Name / Address / Contact name / e-mail details, etc. The report would allow us to fill in the period of time we require to see when new customers had started with the company, and customers that have purchased within a certain period of time, for example for the last 2 years.

This would assist when we need to create, reporting for sales, labels for a mailer to send out marketing information and also if we wish…

  17. HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
    1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"

Hi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.

With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.

We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

  18. Hiding Voided Pay Run from showing on the Main Pay Run Page.

It will be great to have a functionality that allows you hide payruns that have been voided from showing on the main payrun list.

When approved payruns cannot be edited, the only option is to void and create a new one. If a functionality can allow editing approved pay run, then there will be no need. But now, we need to have a function to hide the voided payruns.

A screenshot has been attached for clearer understanding for voting and implementation.

    Hi team, we appreciate your feedback and sharing how this idea could benefit your business. However, as you may have received recently communication of - We’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

This means that we don't have any plans for further development of our Global Pay Run product, and will move any ideas related to this on the site to Not planned.

If you're from a region where we offer dedicated payroll products (AU, NZ and UK) specifically designed for…

Hi Melissa, coming across your idea here you may have already noticed that a couple of weeks ago we released an update to the view of an invoice so all details are now shown in separate columns (similar to classic). 😊

Thanks for your feedback and sharing how we could improve things for you, here.
