  1. Would like to have the ability to customize the header for a paid invoice to be TAX INOVICE while the unpaid invoices are just called Invoice. Currently the templates allow for a custom title for the over due invoices, approved invoices but not paid invoices.

  2. Can we have one more column or filter option containing Bills/ Expenses status like Paid, Awaiting payment, Awaiting approval and Draft to generate every details on project bills/ expenses record in "Project Details Report" or Project features in "Payable Invoice Detail" report.

  3. Report similar to Approved_sentand_paid which shows receipts (Payments & credit) for a specified week and not including previous part payments in the Payment and credits collum. The report should match our banking / receipts for that specific week including part payments.

  4. We have problem with Xero, For one user Xero approving and then editing same invoice on same time, When it is editing on same time it is adding same line items twice on the invoices resulting invoice amount is double. Any one having same issue ? How to solve this issue ?

  5. My role as a user is to load my credit card receipts into Purchases/Add Bill. On the template screen I would like to be able to have a "favorite's list" when selecting the "Categorise to an account". Also, all my expenses are to the same Department so it would be great if I could set a default, same with "Select tax rate". Thanks!

  6. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a…

    Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you.

I just updated the employees to STP2 and it has gone from a nice clean format where I can view everything at a glance to a horrible, lots-of-white-space, format now where I have to continuously scroll down to see the information. This new format looks terrible and creates more work for the user! This includes both the timesheet approvals page, and the Employee information tax / employment info pages.

    Hey Rachael 👋 thanks for sharing this suggestion.


    To be transparent, we have no plans to revert the changes made to the Payroll screens.


    These updates are part of “Building on Beautiful”, the work we’re doing to improve the foundations.


    As every part of Xero starts to look and feel the same, it will be easier to make other important changes.


    These improvements have already allowed us to deliver highly requested features such as Payroll History, and support for STP2.

  8. When we receive an email from Approval Max stating that someone has rejected a bill, it has a link to the bill in Xero. When you open the link, there's no way to edit/amend the invoice from this screen.

    Please add an edit button.

    Currently, from this screen, to edit the invoice, we need to go to:
    Bills To Pay > Drafts > search for the invoice > then edit it

    Too many additional steps to edit the invoice, it should be easy from that first link.

    Hi Kelly, thanks for the screenshots. Seeing as this email is sent by ApprovalMax we'd recommend connecting with their support to see if this is something they can change or would consider extending their integration for. Many of our app partners designed and built their integrations with Xero themselves and are best placed to confirm how this works and make changes to it.

  9. We have a Google Sheets cash flow forecast model, but my boss likes to review the business cash flow forecast in Xero using Analytics Plus. This entails me entering a lot of money in/out predictions for items not yet in Xero. It would be great if we could import these instead of having to do them one at a time, alternatively if there could be an option for the forecast to include bills and invoices in Draft or Awaiting Approval status.

  10. Sometimes small buisnees is exactly that - a small business without the need for a robust accounting software, but with the requirement for annual online tax filing ability. Effective 2024 all Canadian corporations, with very few execptions, are required to file their corporate tax online.

    My understanding is Xero offers this option to UK Accountants & Partners only - not to small businesses.

  11. Currently there is no option for unpaid sick leave for an employee. It is important to record unpaid leave taken accurately and also display this on the payslip.
    When adjusting the hours paid or work to ensure an employee does not go into a negative sick leave balance, it does not show as unpaid leave on the payslip or reporting.
    A negative sick leave balance should not be automatic, it should be a prompt and choice as to whether the business wants to risk paying sick leave in advance of entitlement.

Its been an industry standard for well over 20yrs to have the ability to run one report and pay suppliers in bulk Ie one payrun over all the suppliers and generate a report that can then be amended to "deselect certain suppliers" and deselect certain bills within a supplier. that report is then amended, accepted and approved. then remittances are sent out and ONE BULK Bank file is generated to be uploaded into the bank and all the supplier efts transmitted.   13. You've finally forced us into the new invoicing. Lots of promises were made to fix what was broken with it. Unfortunately these promises are just as broken as the new invoicing. Here's what needs fixed:

    1. When a new invoice comes up automatically set the focus to the name field so it's ready to receive data. Have to click on it.

    2. Fix the date field. If I use the down arrow key it opens up the date widget But then using the left and right arrow keys should move the date off of the current date to either tomorrow or yesterday.…

    Thanks for your feedback, Randall. I want to assure you we're still working on features and improvements within new invoicing.

    In order for others in community to know what they're voting for and help our product teams get understanding of the specific changes our customers would like to see it's best that these are tracked separately on product ideas site. There are existing ideas for some of the points you've raised here.

    Relating to your point on the date field - I'd recommend connecting with our specialists to confirm the behaviour that you're getting and the specific date field this is related to. Once you press enter or space after opening the calendar widget you should be able to use your keyboard arrow keys to navigate the calendar.

  14. The main invoices view, where you can toggle between 'All', 'Draft', 'Awaiting Approval' etc. and search, only shows the GST inclusive total ('Due').
    Generally speaking in day-to-day business you only ever want/need the GST exclusive amount, but at the moment you have to individually open each invoice to get that amount, or run a report.
    And on an export of a view it only includes the GST inclusive and the GST amount as columns, but doesn't include the GST exclusive amount.

  15. The Repeating Invoices reference number is cut off which make it difficult to very navigate and find the correct Repeating Invoice to edit.

    For invoices in other states (draft, pending approval, pending payment, etc.) the reference is properly wrapped which makes it easy to find what I need.

    For Repeating invoices however, I need to open one by one to find the right one because the reference is cut off. there is no reason to cut off the majority of the reference - at least help wrap the text so that all the reference shows. It is especially cumbersome when…

    If we could get the actual flow for how the paperwork per Job can be produced!

    1.I always start with a QUOTATION: this doesn't always need to be sent to a customer at all as it could be raised by way of a telephone conversation, etc,et. This is logged as a Job manually in a Workbook.

  18. Can we please have a tag option of some sort that we can use for supplier ocntacts where we can mark if they are paid via manual batch payments, Direct Debits, Internationals or Credit Cards. Currently it is time consuming and tedious trying to navigate thousands of bills to pay where some are paid via direct debit or credit card and should not be batched for payments.   19. Hi

    I would like to be able to assign the project to bills in Receipt Bank like you can with tracking categories. It is very clunky assigning in Xero. I also have a number of team members submitting to Receipt Bank and it would like them to be able to assign each bill to a project rather then me have to chase around when approving in Xero. I have queried with Receipt Bank who say they can't add it as they don;t have access to the Xero Projects API.

    Hi everyone, thanks for the inputs to the idea here!


    Appreciate there's a bit of confusion on the integration.


    To be open, whilst we did release an API to Xero Projects in 2018, to sync some of the data requested here would require a bit more development to our API.


    As much as we like the interest in this, there are a few other high priority items on our API team's roadmap at present, and this isn't currently planned.


    API and integration requests are best shared across in the Xero Developer community, where we have informed experts that can keep you updated.


    It looks like we have an existing idea for the ability to link bill line items via the API, I'll keep this request closed so we can get a better view of interest across in the Developer community.

    I recently made the error of emailing a draft invoice to a customer by accident. Not sure how i managed to do it - maybe too many drinks whilst completing the invoicing :) haha

    But it occurred to me that there should be a way or an option to block the sending of draft invoices. Or even a prompt when you try to send it reminding you it's still a draft invoice. I mean whats the point of approving invoices if you can send out the draft's anyway??

    Appreciate it's been quite some time since we last updated this idea, everyone.


    I wanted to share some of the change that's come through with new invoicing, specifically around the approve and send process, which may now accommodate some of the interest in the idea here.


    Approve and Send have been incorporated in new invoicing, so this saves you a bit of time.


    Rather than needing to complete 2 separate actions (1. Approve the invoice 2. Send the invoice) this has all become one flow, from a draft invoice if you select 'Send' this'll auto approve the invoice in Xero.


    A caveat to this is where you have a Credit Limit set up and it's been exceeded - Xero'll grey out the option to Send.


    At this time in, we don't have plans for adding further blocks or warnings when sending invoices. 


    We'll keep our eyes on this idea though…
