  1. Currently the display name for payroll items doesn't extend to timesheets. So the employee sees the rate name. Really an employee should only see the display name and the rate name should be for/staff/admin/advisors. I would like to enter the default rate in the rate name as there is also no prompt in the employee file if you choose to use earnings rate to see what the rate is. You need to go back to payroll setting to check which is inefficient.

  2. timesheet - indicate public holidays + add radio buttons selection for:
    1. pay as normal (public holiday)
    2. worked holiday + entitled to 1.5 pay + day time in lieu
    3. worked but not entitled (no extra pay or time in lieu)

  3. Unpaid Intern. I have an Uni student doing an internship. We offered to pay $500 per month as a transport allowance. The unpaid intern is not an employee. When I wanted to set this person up in Payroll, I found limitations: the only available contracts are full time, part time and casual. I tried to set her up as casual, which is wrong, and link the transport allowance. An error pop up asking to calculate Superannuation. I give up.

  4. Multi select or more filter options when processing superannuation payments. This would expediate processing super payments for large employers. For example, you should be able to filter the super payment to show only last month super and select all and submit for payment. At the moment, if we want to process the previous month's super, we have to manually unselect each employee super that relates to the next month or quarter that we aren't required to pay yet.

  5. How many times have we received a payment from a customer and not known which invoices they have paid? Or followed up an outstanding invoice that they have listed as paid in their system?

    It would be great to have a button to request remittance advice from a customer for a particular deposit. We have a list of customers for many of our clients where we manually send these requests via email. It is time-consuming and inefficient, though it would be great to have the automation of sending the request straight out of Xero from the Bank Rec screen!

    Appreciate no direct feature for this at present, Grace and we'll begin to get a sense of the interest in this here. In the meantime, perhaps including the request in the invoice Terms and Conditions could be a good indicator that this is something you request of your customers when sending the invoice or reminders? 

  6. Make W-9 request available from the contact page. Perhaps where financial details are manually entered. Why have to go over to the 1099 report?

    Hi everyone, we've released a new 'Tax Details' section for US customers in Contacts that allows you to request W-9s from a contact you've set up in Xero. From this section you'll also be able to see a contacts W-9 status and manually update this if needed.

    We've also added additional fields for 'Name on the income tax return' (previously 'Legal name') and 'Business or disregarded entity name' in Contacts to match the 1099 W-9 Management space.

  8. New Employee start date is part way through a pay week. The New pay run does not recognise the start day and calculates an entire weeks pay.
    This requires manual calculation and double check if the pay run has been recalculated. Open to errors and over payment

  10. Given that we are now can add employees into different tracking/groups on Xero.
    It works well when we post a pay run and it puts all transactions in Wages expenses, super expenses, PAYG W and super payable, but not Wages Payable. Seems odd that it doesn't.

  11. In Xero Payroll, it would greatly improve efficiency if the "Save & Next" button appeared at the top of the employee pay details screen, not just at the bottom.

    For businesses with detailed pay setups (multiple earnings lines, deductions, reimbursements, etc.), scrolling to the bottom of every employee’s pay screen just to click "Save & Next" is time consuming and disruptive to workflow.

    Adding this button to the top would:

    • Streamline navigation during pay runs

    • Reduce unnecessary scrolling

    • Improve accessibility for users reviewing multiple employee pays in one session

  13. It's great that Xero Me now allow employees to add their own start, finish and break times but all hours appear as ordinary hours. Xero should have a warning prompt flagging this as it's easy to miss overtime hours and pay them as the default ordinary hours, which then needs an unscheduled pay run to correct the underpayments (assuming you work this out for yourself!). Public holidays should also be flagged so we can adjust pay rates (if needed) for these days.

  14. Can we have an audit trail, even if similar to invoices/bills, where we can see the who, date & time of the payslips being sent out for a pay calendar?
    This helps to know the payslips have been sent out and that there is an audit trail for this.

  15. With the new basis period changes coming into effect, some clients may want to change their year-end from 30.09 to 31.03. Currently changing the year-end in Xero will cause previous opening balances to change and most likely mean any working papers produced in Xero will no longer match the accounts.

    It would be a useful tool to have something whereby a previous accounting period end could be locked so a new year-end could be chosen without messing up the old year-end balances.

    Hi team, I can now confirm we've now added the ability for you to create a short transition period (between 1 month and 12 months long) when changing the Financial Year End date within your organisations Financial Settings. 

    Just to recap for anyone new coming across the idea here - Aligning with the UK basis period reforms we've made a change to Financial settings so you can add start and end dates to different periods. This change impacts multiple areas of Xero. 

    • Fixed assets will draw on this information, to prevent any loss of historic information when your year end changes. Everything will automatically be calculated for you based on the period start and end dates you set in Financial Settings. 
    • The same story will apply in Reporting. All historic reports will be protected. And you’ll have accurate comparison periods even across varied financial years.

  17. Can we please have an automatic email notification to the subscriber when a organisation adds or removes an employee - This would be required for the purposes of updating billing when the ability to add additional employees for $4 takes place in September 2025.

  18. Ability to show or report the variances/differences between the draft payrun and the prior period payrun.
    This would save a huge amount of time going through each payslip to ensure the usual pay is being processed and nothing has been accidentally added or missed.
    Especially when you have a large number of employees.

    Hi team, while it's not possible to view the previous pay periods figures for comparison in the current pay period, you could open the previous pay period overview in a separate browser window. Meaning you can compare the two pay runs without having to go back and forth between them.

  19. Could Xero start looking at a drop down box on the allowance to have one as Not Reportable (alongside the other catagories eg. Meals, Tools, Car), and to have it out for STP reporting? or another checkbox down the bottom along with the withholding tax, super, and W1 questions?
    Instead of going through the long winding process of creating an ordinary earning, remove as deduction and do a reimbursement as per https://central.xero.com/s/article/Process-special-pay-items-like-living-away-from-home-allowance

  20. Hello. Keen to have the Auto reply email address that is used for invoices to also be used for payslips. I use a different email to log in to Xero than the one I want staff to reply to.
