  1. The ability to change auto enrolment percentages when a new staff member first is assessed and paid. A staff member has negotiated a higher employer percentage and I know we can change it once this has been added to the payslip going forward but at the time they are assessed and going to be included in the first pay run as well as a popup which lets you postpone them it would be good to also get the option to edit their pension percentages at the same time.   2. Unscheduled pay run - most of my unscheduled pay runs are paid on the day of creation.
    It would be good to be able to change the payment date to the actual date of payment instead of the date selected by the unscheduled pay run.

    E.g. unscheduled pay run for the week ending 13th Aug has a payment date of 16th Aug yet payment may have been made on 18th Sep.

  4. Increase number of letters/spaces in text field boxes in employee name fields.

    Text fields for employee names are currently limited to 36 letters so my suggestion is to have an unlimited text field or increase to 50 spaces.

    I only discovered this when a new employee's last name has 40 letters so I can't accurately add his full last name. Payslips need to be downloaded and edited via a pdf editor so he has the accurate payslip for his tax and visa records.

  5. It would help if the list of emplyees were sorted in alphabet order, by Surname. Also, a BACS report that just shows the employee, amount to be paid, and the total at the bottom.

  6. At the moment, inside an individual's payslip/pay run, the button options are 'save', 'save and next' and 'close'.

    A button for 'save and close' would be ideal when only one or a few employees (not the whole batch) need to be manually viewed and edited. Instead, we need to click 'save', wait for the page to load again, scroll down and click 'close' to return to the pay run employee list.

    Thank you for your contribution and support on the idea.  We understand that the ability to easily save and close in one click would benefit your workflows, however to be upfront we don't have direct plans for making this change within the payslip in the foreseeable future.

    We appreciate this is not the news you’d hope to hear, but we'd like to be open and transparent with you on this, here. 

  7. Ex Employees older than 5 years cannot be deleted. Data still contains payslips. Old data can be overwritten but payslips remain and employee cannot be deleted because Xero thinks it is in a payrun. This is a cyber security breach as old data of ex employees can still be accessed and cannot be deleted.

  8. Employee tab - make the layout available for users to choose between Portrait or Landscape orientation.
    Since updates were made on 20.12.2024, the Landscape one (on this particular tab - Employees) did not fit on the screen. It looks like a tech error rather than an update...

  10. Could we please have an option to add a second emergency contact for our employees.

    Currently when creating a new employee we only have one space for an emergency contact. However, in the case of an actual emergency only one contact may not be enough, a second contact gives a much higher chance of being able to get in contact with someone.

    Hi everyone, thanks for the idea and support here.

    We appreciate being able to easily add a secondary emergency contact to the details tab of the employee record is important to you. 

    Atm, you could use the notes tab to add a new note to the employee record and include the details in here.

    To be open we don't have direct plans for making this change within the details tab any time in the near future. 

  11. Many of my clients prefer a 37.5 hour work week (7.5 hours a day) to a 38 hour work week (7.6 hours a day).
    I am able to set the leave accruals to a 7.5 hour day but the standard work week in "'Assign default leave types" is always 38 hpw and I have to manually change it to 37.5 to match the leave accrual.

  12. Why can't Xero make editing a timesheet easier by automatically showing bank holidays and any days off that have been entered as holiday?

    If the timesheet showed bank holidays or days where time-off has been allocated in a different colour or with an asterisk by the date then checking timesheets against time-cards would be much more straight forward.

  13. When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
    Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.
    It would be useful to have a function in a payrun to "include terminated employees" which keeps all the previous data, but includes them for the backpay without having to manual update each, just…

  16. I'd like to add a note within a pay run that is visible to "admin only".
    Eg. To justify differences due to staff timesheet errors.
    I don't want the staff to be able to see this note but I'm sick of having notes in external programs.

  19. In the age of outsourcing, it is impossible to outsource pay run function to an external service provider (especially if they are based overseas) since they can view employee's personal info such as their Tax File Number, Date of Birth, Bank account Details etc.

    Once the subscriber or authorized accountant/bookkeeper has created an employee card, they should be able to restrict the access of outsourced partner to just doing the pay run. The outsourced partner should be able to just view the employee name to do the pay run. This feature should restrict their ability to change bank account details…
