  1. We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months were updated…

Hey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.

    • If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
    • In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.

We have help for both of these processes detailed in this article on Xero Central.

  2. Edited Leave request date sends a notification to the employee for the wrong date. We recently had an employee request an RDO for 19/07/2024. After discussion with the employee this date was not suitable because the employee was due to provide training to a customer this date so we agreed to change the date to the following week (26/07/2024).

I then edited the leave request to be for the 26/07/2024 and approved the request.

The employee received an email notification that their request for leave on the 19/07/2024 was approved!

The employee then contacted me because they were confused and…

Thanks for raising this, Chris and apologies we haven't responded sooner. This was an issue that our product team picked up and I can confirm we released a fix so the date will now show correctly.

  3. The real cost of an employee is not shown on the payslip, even though things like Workcover, public liability, Qleave could be shown as percentages based on no of staff over a year. Eg $20k workcover is / staff/weeks of year/hours work this week or $200000 / 16 staff / 52 weeks and 200 hours worked = 0.12c per hour. Same could be shown for Public liability, and any other costs attributable to each staff member.

Also showing all forms of leave accrued in $$ values as well as hours gives a clearer picture to the staff member how much…

  4. In Australia one of the criteria to classify as a "small buisiness" is to have 15 or less employees.

Could this also be reflected in Xero's pricing which jumps from 10 employees on payroll to 20.

It would be nice to have a meet half way mark with a fair price for 15 employess.

  5. As you’ve found, right now it’s not possible to submit timesheets using the casual rate during the weekday and then also to be able to submit timesheets for the casual rate that applies on the weekend.

From your idea it sounds as if you'd like employees to be able to submit timesheets with start & end times and different earnings rates, Nathan? This isn't possible atm.

    However, an option here where you're dealing with multiple earnings rates for an employee is to get them to submit timesheets using the 'Total hours worked'. This'll let them;

    • record the number of hours worked per day, including partial hours
    • record time spent at different earnings rates and tracking categories if used.

Your employees may need to edit the timesheet setting, by opening Xero Me, going to Timesheets > Settings and selecting 'Total hours worked'.

  6. The "Details" tab lists the employee's age under the "Date of birth" field.

Having "Employed for # Years & # Months" below the "Start date" field would be handy. It would give a quick, "at a glance" look at how long someone has been employed by a business for estimating notice periods and anticipating imminent entitlement to LSL.

Attached is what the "Date of birth" currently looks like (I've used my own name and birth year) and a mock-up of what I'm suggesting might look like.

Given that the "Details" tab already does almost exactly this, it should be a…

  7. The ability to assign earnings rate to day of the week so a timesheet automatically uses the correct earnings rate and can't be changed by employee.

Eg Saturday timesheet is pre- filled with the Saturday earnings rate.

  8. Would like the option to enable auto leave loading to other leave types other than Annual Leave

Currently leave loading is only enabled for Annual Leave. We have casual workers who are accruing RDO (Roster Days Off) per EBA and Award. Every time they take RDO, we have to manually add 25% casual loading on top.

I did think about just embed the 25% into normal rate but that will ruin the overtime calculation. I.e. for double time penalty rate, casuals get x2.25 but if I embed casual loading in normal cost it would be x2.5 (1.25x2).

    I understand that…

Hiya Simona, sorry for not updating you on this sooner.

Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.

  11. Appologies in advance for my frustration.

Are Xero considering providing a Gender Equity report in the future?
I raised a case for our HR Dept last year and the answer from Xero was no.

If any community member has any short cuts on gathering this info, please respond to this post.

I am wasting so many hours trying to gather the required data from your available reports.

In April I exported Employee contact details to export & sort.
This morning I have been exporting Renumeration data and then sorting deleting non date range required emplyees. Due to no date range…

  12. Currently in XERO if you use more than one Ordinary Time Earnings Pay Item per employee the Annual Salary Calculation on the Payslip is incorrect. Using more than one is useful as there are some employees I like to apportion to 2 x areas. Example: It might be 1 day a week on Admin 4 days on Production. Whilst we can do this currently in XERO, as noted above the Annual Salary is incorrect. So - either - separate the Salary field from the Pay Item or change (fix) the way XERO calculates the Annual Salary. Note I am aware…

  13. Under the new STP Phase 2 screens there is no-longer options on the 'Tax' tab to select Working Holiday Maker, rather just 'Australian resident' and 'Foreign resident'.

I understand on the 'Employment' tab you now need to make this selection, however, I've already had many users reach out confused thinking they need to select 'Foreign Resident' now.

My suggestion is to do one of the following:

    1. Add Working Holiday Maker as an option and have it link back to the Employment tab if selected.

    2. Add a text note in the 'Tax' tab section explaining the requirement to return to the…

Hi Kielan, thanks for the idea. While we appreciate your feedback for where to select Working holiday maker, we want to be upfront that we don't have direct plans for making these changes in the foreseeable future.

As you’ve mentioned there is a placement to accomplish what you're asking here by selecting Working holiday maker in the employment tab under Income type.

  14. As part of our QA, we review the list of users to check that it is up to date, eg, remove terminated employees, remove auditors at the completion of the audit or revert to Read Only, etc.

It would be great to be able to filter/sort the view by access type, such as looking only at Payroll Employees, or filtering them out.

  15. I would suggest that a QR code can be placed somewhere in the workplace and it can be scanned with the Xero Me app for start and stop times. This way the employees needs to be onsite with their phones to do this. With the way it is now, any start time or finished time can be entered, relying on an honesty system.
    Thanks

  16. We employ some Working Holiday Makers that would be assessed as Australian Residents for Taxation purposes, but the current STP2 system wont allow us to choose the employment type as Working Holiday Visa and then select one of the 2 tax status choices in the Tax tabs. The conflict seems to come from Selecting the Income Type as Working Holiday Maker - It seems a pointless Selection "Payee's country of Origin' if it doesnt trigger the expected tax rate for that selected country. This is going to create a conflict with the ATO for 3 of my staff. Please allow…

  19. Hi Xero team,

For timesheets with the "Total hours worked" setting, would you be able to create a setting that allows us to set our own default shift duration?

When we go to add a shift to our timesheet, by default the shift duration is set to 8 hours. For those of us who don't work 8 hour shifts, each time we log a shift we have to click on the duration and change it to the amount of hours we worked.

It would be awesome to have this feature that allows us to set our default shift duration to…

  20. When there are no payruns for multiple pay runs in a row, please add a feature to allow to reset the pay cycle from a selected date. As it is, if a client doesn't have any pay runs, we need to either post/file the empty pay runs to keep on the pay calendar, or run all future pays as unscheduled pay runs, or set up a new pay calendar. Wouldn't it be great if there was a more simple way to keep on track with pay cycles?! Also, when selecting an unscheduled pay run, please reorder the pay dates so…
