  1. We signed up several years ago, and were really happy with the software as it was. Now we keep update after update, and price rise after price rise. Our cost has now doubled in 5 years. I know there's fancy "features" added to it now, but I don't need them. All I want is the version from a couple of years ago. Accounting, payroll for 5, Classic invoicing, old style reports, old style bills page, old style contacts, no cashflow analytics.

Why not just make the older version available as a basic package for say £25 a month. No fancy…

  2. I have observed that the timesheets section in the payroll system has been updated. However, this update appears to have introduced several questionable design choices that hinder its functionality and efficiency.

Firstly, the employee list is not sorted alphabetically, which complicates the process of locating specific individuals. Secondly, the system no longer autofill's the default earnings rate, requiring unnecessary manual input. Thirdly, upon clicking the "Approve Timesheet" button, a redundant popup appears asking for confirmation of the approval, despite the action already being explicitly initiated. Lastly, when entering hours worked into a field, the system fails to clear the default…

  3. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

  4. Typically Xero calculates all PAYG tax to be withdrawn from employees to the nearest dollar. Correct. However, the same check isn't in place if you manually add extra tax. In the past, I included extra tax to be withdrawn from an employee and included cents in the amount. At tax prep time, this caused a headache for my accountant. Xero could easily prevent this each time or warn you closer to the end of financial year to get back on track with zero cents.

Thanks for your idea here, Rolf. Can't quite confirm the exact date this changed but you should now find the abbreviation for September in Xero Payroll has been changed to the 3 character long version 'Sep'.

If there is a specific place you're still seeing 'Sept' referenced please do let us know here and I can follow this up with our product team.

  7. It would be good to see the number of notes in the Notes Tab (perhaps in brackets, for example: 'Notes (2)'), so you can see at a glance, if there are any notes for the Employee and if yes, how many.

  9. When adding second line items in super. If (I did this so I know it is easy) you add a second SGC line for a fixed amount as well as a statutory amount it would be great if xero asked a warning question 'are you sure you want to add a second SGC contribution. OR if just isn't allowed. My understanding is a employer additional contribution would be the correct line item if employer and salary sacrificing if employee (pre or post tax). This will avoid an accidental overpayment of SGC.

  10. STP reporting - Super for employees with OTE above the maximum contribution base. ATO STP guidance allows employers to report EITHER Super Type L (the YTD SUPER liability for each employee) OR Super Type O (The YTD OTE for each employee). For employees earning OTE above the maximum Contribution base the correct STP reporting category to use is Super Type L. I have not been able to find how to set up the Super Category Type L in Xero. This option needs to be available to correctly report YTD super for employees earning above the maximum contribution base. Unfortunately the…

Thanks for submitting your idea, Sandra. We appreciate you taking your time to share changes that would be most meaningful to you.

We'll begin to monitor and track support your idea receives from the community, and share if there are any updates in product.

You can find out and stay updated with other Xero releases on Xero Central.

  11. There is a need to manually edit the amount of GST paid instead of using Xero's calculation. For example, for credit card merchant fees, merchants calculate GST based on individual transactions and sum up the total GST payable, add onto the merchant fees for the total amount payable. As Xero calculate GST based on the total amount, there is a difference in the GST payable. Other accounting systems allows you to adjust, and it will automatically adjust the total amount. Without this feature, we have to use either rounding (for below 0.10c) or add a new line item. The problem…

Hi 👋 Xero calculates the GST on each line item in invoices, bills and other transactions. The GST is then rounded to the nearest cent. The total GST is the sum of these amounts.

We don't offer alternative rounding methods but if you have the global or Singapore versions of Xero you can enter a tax adjustment if you want to.

    Simply,

    1. Select the Tax Exclusive option in the Amounts are field.
    2. Edit the amount shown in the Tax Amount box - if this box isn't showing, click the + symbol next to the Tax Rate heading

We have more information in our article here.

  12. Add the ability to add stops to mileage reimbursement. This way a person can add a round trip or add stops between the round trip to collect all mileage for the 1 trip.

Thanks for the idea and adding your interest here, everyone. In lieu of a direct feature to accommodate this atm, you may find duplicating the claim to record each part of a trip useful in cutting down the data entry. We'll let you know if there's any change planned here.

  13. Add the ability to Xero / Xero Me for multiple time sheet entries per day.
For staff who work across multiple sites having the ability to add multiple time entries per day and either select a client to associate those entries against, or add a note for each time sheet entry would be fantastic.
Ultimately you would allow up to 6 time entries per day.

    Example

    Monday
    Time Entry1= 8:00 - 11:30am (note= site 1)
    Time Entry2= 12:00 - 3:30pm (note= site 2)
    Time Entry3= 3:30pm - 5:00pm (note = site 3)

Doing this would improve the functionality and uptake…

  14. Adding staff working on a project without giving them access to Xero.

There is absolutely not need for staff to have access to Xero for me to log that they have worked on a project for 8 hours at £xx rate per hour.

I don't want to add this information to the ledger as the staff are payrolled so I cannot enter this as an expense but I would like to diarise time against the project so profitability can be calculated.

  15. In NZ we are required by law to keep 7 years of records for the IRD (tax department). I make a point of destroying old financial records that are older than 7 years. Xero doesn't have a mechanism to purge old data. I see in my Xero I full record including invoices, supplier invoices and financial data back to Jan 2014.

I would like to see a system whereby old data was completely wiped, and summary starting figures created for the purged data period, say as at the start of each tax year, for me 1 April 2018 so that…

Appreciate why you'd like to remove older data from your org after a long period, Steven. Generally we don't want to be touching our customers data, and this isn't something we have plans for implementing. However, we'll get a sense of the interest from others in this here, for our product teams to consider.

    Right now, if you'd like to remove older data there are a couple of options;

    • You could start a new organisation from the date you'd like to keep records from, setting up the organisation with conversion balances from that date. You could also export and import information from the old org to the new one.
    • Change the conversion balances in your existing org and remove older data prior to this date
  16. I need to be able to track all my project expenses, including labor costs, for each project. All the labor data is already in Gusto, my payroll provider. Currently I have to create a report in Gusto then manually enter the data in Xero. I also have to manually maintain two lists of the same projects: one list in Xero, and one list in Gusto. I would like the Projects in Xero to synchronize (two way) with the Projects in Gusto. I would also like to be able to pull (or synch) the project labor cost from Gusto to Xero.

  17. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong…

Appreciate the detail in your idea here, Lynette. While we don't have immediate work planned for this , it'll be good to get a sense of the interest from others in the community and if there's any change planned we'll let you know through the idea here.

  18. Where the business uses Xero for GST and payroll, it would be great to be able to create a bill off a finalised GST return or finalised payrun. To have the bill included in the payables automatically would ensure the bill is captured.
It would also be great to be able to pay GST and employer deductions with a batch file from Xero, just as we can with other bills. This would remove the need for manual loading of the payments in the bank and ensure the matching of the payment in Xero was a full circle to the…

  19. Xero calculates tax per line based on the total tax value of all components then rounds this figure. It is later split between tax components.

Xero should be calculating the sum of each tax component rounded for each line item.

Image attached shows how Xero calculates a different value for two equal tax components due to this simplistic method it is using to calculate tax. What is the point in having the ability to set multiple tax components if this is not taken into consideration when calculating the total tax value per item.

2 tax rates, both set at 9%…

  20. Could you please look at making the e-invoicing toggle button as default.
This will allow the invoices raised in Xero Practice Manager to be sent to Xero and then sent in Bulk (email multiple clients from awaiting payment) rather than selecting it manually. This will save a lot of time and also allow the other side to receive the invoice in their system.
Currently what it is doing is getting us to go into the invoice and then manually toggle this for clients we know are setup for e-invoicing. If this is handle automatically it will achieve its true purpose.
