  1. Add a function to allocate transactions in an account against each other so you can easily identify which transactions are making up the balance (e.g. in a PAYE you would allocate the payment to HMRC against the payroll journal).

  2. The 4-4-5 pay period is a basic pay period used by many small retail type businesses in the UK - this should not be an advanced or paid extra for feature, just to be able to run our payroll.

  3. The feature request is to allow the defining of current liability accounts for pay items with pay types set to Deductions, Payroll Taxes, and Post-tax Deductions. This will enable the tracking of payroll source deductions and taxes necessary for remittance reports to the tax authority (such as EI, CPP and income taxes for T4 and T4 summary completion in Canada).

    There are two ways I believe Xero developers could achieve this goal.

    Thanks for sharing and engaging with Product ideas. While we understand wanting to see improvements to Global Pay Run, however as you may have recently read -

    We’re making some changes to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date. 

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run. 

    With this update we want to be upfront here that we don't have any intentions of further developing Global Pay Run, and will close this idea.

  4. Allocate specific tracking categories to transactions instead of showing every category when a transaction is created.

    Currently all tracking categories show when creating a new spend/receive money. In our business one of these categories is used for timesheets only. I would like the option to be able to choose which tracking categories display when creating new spend/receive money transactions in Xero, in the same way that I am able to do this for payroll and on invoicing.

  5. Ability to set a default check style per bank account.

    On the operating account the check stock has the check on the top, on the payroll account, the check stock has the check in the middle, and on the sales tax account, the check stock has the check on the bottom. Three separate checking accounts, three separate styles.

    It would be nice to have a setting where you can say, "if a check is generated from the operating account, apply the operating account style."

  6. The variance columns in the current P&L reports don't make sense - increased costs show as positive variances, despite the red arrow. The formula is fine for revenue and profit, but needs to be the other way round for costs. Is it possible to have this, or to add a column with different formulae for different sections?

    Hi team, to confirm how the Budget Variance report works currently it'll show;

    • Green arrows for favourable amounts
    • Red arrows for unfavourable amounts
    • Increases in the amount from budget will have an upward arrow
    • Decreases in amounts from budget will have a downward arrow

    We appreciate your feedback here however being open, there are no plans to change the way this logic is applied in the report, or to extend the arrow colouring across the figures/amounts in the report. 

  7. Xero Expenses - be able to change an expense claim submitted by an employee through the Expense App as Personal money (reimbursable) to Company Money (non-reimbursable). Currently within Xero Expenses, you can change the 'How did you 'pay' on an employee's submitted expense only if it was processed as Company Money (non reimbursable). It would be good if we could also do it the other way round in that if an employee submits an expense on the app as Personal, it could be changed to Company.

  9. What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds…

    It helps for each of the points you've raised to be tracked separately so our teams can consider the votes as a factor when prioritising and planning development, as well as keeping the communication clear of the changes we're making.

    Many of the things you've shared are being worked on and we have separate ideas for these that I've listed below and welcome you to join and vote for each, if you'd like.

    Trying to get a better view of the placement of buttons that you mentioned - would this just be the Attach files option or is there another that you would like to see shifted above, too?

Whether or not you agree that emailing payslips should be considered by employers as a mandatory procedure once the payrun is logged, there are some basic improvements that should be adopted regardless of your opinion. If payslips have already been sent the the first improvement is to prompt the user that payslips have already been emailed if a user revisits the pay-run options window and clicks on email payslips. If the pay run has already been posted, the second improvement is to still provide access to an individual's payslip to record a message before emailing.

  11. I see that in Aus the starter plans in Xero are going up by 7-12% again this year (July 2025).

    Part of the sales pitch appears to be access to analytics. Subscribers on this level are mum and dad businesses, maybe an employee or two (as restricted by Xero).

    They need a simple system they can use, they don't need or want sophisticated analytics systems. There's nothing in their accounts to analyse. They barely have time or inclination to do a bank rec.

  12. Ability to enter total amount of Purchase Order and number of units, then the unit price will be automatically calculated. Have quotes given by suppliers that are a fixed amount that cannot be changed, and because of the Unit number the total has to round up, it doesn’t give the same total.

  13. Xero calculates VAT on a line by line basis and rounds up at every instance. This leads to the VAT amount sometimes being more than a few pennies over the top of what it should be.

    I propose that Xero calculates VAT to 3 decimal places, which will mostly eliminate this over payment to the VAT man and overcharging our customers. Or it only calculates VAT at the end of the invoice.

  14. Would it please be possible to increase the amount of attachments that can be saved against a bill. At the moment it will allow us to attach more that 50 items but when it saves it only saves the first 50 and removes the rest.
    I realise there are ways round this eg by attaching an e-mail with multiple items attached within it, but it's then more time consuming when trying to find specific attachments

    Interesting to know you're attaching so many files to bills, Jenni. Out of curiosity can you share why you need to attach so many files to each bill? And, is there a # that would suit how many you'd often attach?

  15. Add a quick option to create a manual journal entry to adjust the sales tax amount paid when reporting and filing sales taxes.

    My state (and others, I assume) forces me to round up to the nearest dollar the amount of sales tax I owe when I file, which results in the filed number being different than what's in my "sales tax" account in Xero. I then have to add a manual journal entry to adjust that amount - usually debiting from one of my product categories.

    Hi team, returning to confirm that we've now released an improvement so you can handle variances in the Sales tax amount payment and make sure this matches what is owed to the state. You'll find you can now record an adjustment when marking a State sales tax report complete. See more on this in Xero Central.

  16. VAT summery report by catagory/box like the one in Sage which is a big help when you have resticted VAT on leasing, roundings, Import vat, VAT on legaland insurance claims etc so you can calculate what the full VAT is and agree the difference quickly without having to go through every single transaction

  17. It would be really useful that when you are selecting to add a new Group under Row's that it adds the new group option in the location you are currently at, rather than adding it in at the top of the report and having to move it down to where you want it to go.

    Also having the ability with the when adding a new formula to be able to select how you want the formula result to appear (ie %, $, rounded $ to the nearest $ etc).

  18. It could be a glitch or just how the reports work, but Voided Invoices that were voided with a currency value in them, appear on the Receivable Invoice Summary with that value. So Invoice INV-45831 was for £123.00 but was voided. You can now no longer edit that invoice and in this report it eternally has the value of £123.00.

    This is an issue as the data is downloaded to extrapolate many different analysis for sales data.

    A bad fix after the data has been downloaded is to try filter and take out the ££ and change the data after…
