Bank reconcilliation - Allocate account transactions against each other.
Add a function to allocate transactions in an account against each other so you can easily identify which transactions are making up the balance (e.g. in a PAYE you would allocate the payment to HMRC against the payroll journal).

Global Pay Run - Ability to select payable account for Deductions, Taxes and Post-tax Deductions pay types
The feature request is to allow the defining of current liability accounts for pay items with pay types set to Deductions, Payroll Taxes, and Post-tax Deductions. This will enable the tracking of payroll source deductions and taxes necessary for remittance reports to the tax authority (such as EI, CPP and income taxes for T4 and T4 summary completion in Canada).
There are two ways I believe Xero developers could achieve this goal.

We’re making some changes to help you manage your payroll more effectively;
- From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.
- Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.
With this update we want to be upfront here that we don't have any intentions of further developing Global Pay Run, and will close this idea.

Check Register - Set check defaults by bank account
Ability to set a default check style per bank account.
On the operating account the check stock has the check on the top, on the payroll account, the check stock has the check in the middle, and on the sales tax account, the check stock has the check on the bottom. Three separate checking accounts, three separate styles.
It would be nice to have a setting where you can say, "if a check is generated from the operating account, apply the operating account style."

Xero Expenses - Ability to change 'How did you pay' through Xero Me app
Xero Expenses - be able to change an expense claim submitted by an employee through the Expense App as Personal money (reimbursable) to Company Money (non-reimbursable). Currently within Xero Expenses, you can change the 'How did you 'pay' on an employee's submitted expense only if it was processed as Company Money (non reimbursable). It would be good if we could also do it the other way round in that if an employee submits an expense on the app as Personal, it could be changed to Company.

Projects - Ability to edit time of users who have left
I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.
After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.
Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong…

Gusto Payments
When Gusto is integrated with Xero, a bill is synced into Xero with the proper allocations of payroll related costs between wages, benefits, taxes, etc. That bill seems to work just fine. However, each time there is a bill synced into Xero, a user must manually mark that bill as paid by taking the amount from Gusto's payroll confirmation for Net pay and Taxes paid and entering each as a partial payment on the bill. Since the info is known, why can these payments not be synced into Xero as well? That would save manual steps each time a payroll…

AU Payroll - Superannuation - Salary Sacrifice warning when an employee reaches 75 yrs of age
Add a warning feature to Xero, when a employee has (or will have) reached 75 years of age and is no longer allowed to salary sacrifice into their superannuation.

Profit & Loss Reports - Change variance column for costs
The variance columns in the current P&L reports don't make sense - increased costs show as positive variances, despite the red arrow. The formula is fine for revenue and profit, but needs to be the other way round for costs. Is it possible to have this, or to add a column with different formulae for different sections?

- Green arrows for favourable amounts
- Red arrows for unfavourable amounts
- Increases in the amount from budget will have an upward arrow
- Decreases in amounts from budget will have a downward arrow
We appreciate your feedback here however being open, there are no plans to change the way this logic is applied in the report, or to extend the arrow colouring across the figures/amounts in the report.

AU Payroll - Be prompt when payslips have already been sent and the ability to record a message for the payslip after payrun as been posted
Whether or not you agree that emailing payslips should be considered by employers as a mandatory procedure once the payrun is logged, there are some basic improvements that should be adopted regardless of your opinion. If payslips have already been sent the the first improvement is to prompt the user that payslips have already been emailed if a user revisits the pay-run options window and clicks on email payslips. If the pay run has already been posted, the second improvement is to still provide access to an individual's payslip to record a message before emailing.

New invoicing - Change layout of buttons/options
What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds…

Purchase Order - Hover view for purchase orders
One of my clients has suggested that it would be useful to be able to see the contents of the purchase orders on Xero without having to open them to find items ordered. In the same way that a salary is hidden but pops up when a mouse is hovered over on the payroll employee tab, the information on a PO could pop up.
Opening them all is very time consuming.

report date range
It would be great to have a built-in date range for "Tax Year ended YYYY" when creating reports.
We are a not-for-profit with a 31 December financial year end, but we have to issue donation receipts based on the 31 March Tax year end.
It would need the option to set a tax year date when you set up the organisation. Part of this must exist as it would be necessary for the Payroll module.

Spend / Receive money - Ability to set tracking defaults
Allocate specific tracking categories to transactions instead of showing every category when a transaction is created.
Currently all tracking categories show when creating a new spend/receive money. In our business one of these categories is used for timesheets only. I would like the option to be able to choose which tracking categories display when creating new spend/receive money transactions in Xero, in the same way that I am able to do this for payroll and on invoicing.

Bank Rules - Tab and select functions when entering detail
Xero UX designers seem to be under the impression that users want to select accounts by scrolling though a list of 100 entries every time.
You removed the ability to search for the appropriate account by typing the account name when adding payroll categories a while ago. Most recently, you've removed this from the Bank Rules screen without having to use extra clicks.

You need some decent support people
You need to have better support people and those who understand basic english. All they do in the first instance is copy and paste information from the website. Its been more than 24hrs and your people still have not been able to explain a payroll issue to me or how to fix it. Xero profiles need to say how many years they have been working in Xero not that they have spent a number of years in roles not relating to Xero or bookkeeping. I have no interest in the personal bios of Xero support people. That does not fill…

Unpaid leave
Currently there is no option for unpaid sick leave for an employee. It is important to record unpaid leave taken accurately and also display this on the payslip.
When adjusting the hours paid or work to ensure an employee does not go into a negative sick leave balance, it does not show as unpaid leave on the payslip or reporting.
A negative sick leave balance should not be automatic, it should be a prompt and choice as to whether the business wants to risk paying sick leave in advance of entitlement.

Xero comes with some default leave types already created, however if these don't suit your business' needs, you can follow the steps in our 'Add additional leave types and assign them to your employees' article to create some new ones.
You'll have the option to create paid or unpaid leave types, these can then be assigned to employee's with a relevant accrual type.

Bank Reconciliation report - Default to show decimal places
Can we please have the bank reconciliation reports default to show decimal places. I've never seen a bank rec that rounds off the decimals until Xero introduced it.

Earlier this year we rolled out a change to the Bank Reconciliation report, it now defaults to including decimal places. This can be changed by deselecting 'Decimals' from the 'More' menu. I've attached a screenshot as an example 😊

Purchase order - Use total cost and number of units to calculate unit price
Ability to enter total amount of Purchase Order and number of units, then the unit price will be automatically calculated. Have quotes given by suppliers that are a fixed amount that cannot be changed, and because of the Unit number the total has to round up, it doesn’t give the same total.

UK VAT - VAT calculations to 3 decimal points.
Xero calculates VAT on a line by line basis and rounds up at every instance. This leads to the VAT amount sometimes being more than a few pennies over the top of what it should be.
I propose that Xero calculates VAT to 3 decimal places, which will mostly eliminate this over payment to the VAT man and overcharging our customers. Or it only calculates VAT at the end of the invoice.

Sales Tax Adjustment at Filing
Add a quick option to create a manual journal entry to adjust the sales tax amount paid when reporting and filing sales taxes.
My state (and others, I assume) forces me to round up to the nearest dollar the amount of sales tax I owe when I file, which results in the filed number being different than what's in my "sales tax" account in Xero. I then have to add a manual journal entry to adjust that amount - usually debiting from one of my product categories.
