AU Payroll - Option to allocate employee salary across different departments
Hi Team, Im not sure if this has been raised, but can we get the ability when setting up an employee to be able to allocate a % of their salary costs between different department / cost centres. At this stage we do not have the option of splitting salary costs without having to do manual journals

Invoicing - Select default for 'Approve' Button e.g not 'Approve & Email
Can there be a system setting which controls the default option on Invoices for the Approve button.
It is currently Approve & Email and we would like to have the default as just Approve. If it was a system setting companies could chose best option for them.
397 votesHi community, we’ve just released some new keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry options.
There’s a range of different shortcuts that you can explore, and in particular a few that I wanted to call out for ‘Approve’ options that I know will be of most interest to you, here;
- Approve (Ctrl-Alt-A OR Cmd-Opt-A on a Mac)
- Approve & add another (Ctrl-Alt-O OR Cmd-Opt-O on a Mac)
- Approve & print PDF (Ctrl-Alt-R OR Cmd-Opt-R on a Mac)
- Approve & email / send eInvoice (Ctrl-Alt-E OR Cmd-Opt-E on a Mac)
While you get used to the combinations of shortcuts our product team have added small prompts to highlight these in the product, and if you’d like to view the full list of options you can see them all on Xero Central.
Thanks for all contributing, and staying plugged into updates on this idea.
Being upfront, we will continue to field feedback and revise this idea, but we don’t have plans for adding the ability to set your own default any time in the short term.

Bank Reconciliation - Shift page up from the bottom, not down from the top
Bank reconciliation screen: Why now, when reconciling, the page shifts down from the top! Shifting up from the bottom would make more sense and be less confusing. I reconcile from the latest and scroll down the page, but the page shift affects the ability to find my place for the next transaction down the list to reconcile. Often, I reconcile a wrong item as the screen header rolls down not up after I have reconciled a transaction. I find I always must readjust my vision. Very annoying.

Bank Reconciliation - Show cheque number for matching payments
Cheque payments should have the cheque number visible for matching in the bank feed. In the past, Xero cheque numbers were displayed with the payment informatio "suggested match" column of bank recs.
When you have 5+ outstanding cheques for the same amount, it was easy to verify that you were matching the correct one because you could see the cheque number on the bank feed as well as the payment. Now you have to drill down into "find match" and actually open the payment to verify. Very cumbersome.

Option to disable rounding in Xero
I still don't understand why Xero rounds any amounts? Could we have an option to disable all rounding in Xero. I have just left MYOB after 10 years, they never did anything like this. I moved to Xero on advice from my accountant, starting to regret this! Leave it as an option for whoever is rounding stuff (very werid), but please give me a checkbox that totally disables rounding. Please!

Email templates - Ability to format date placeholders
Feature: I'd like to be able to format the [Due Date] field when it's included in email templates.
Use Case: My standard emails include a line which reads "This invoice will be due for payment by 09 Oct 2023". I have to reformat the date to a more readable style every time.
Basic Outcome: Using standard date formatting you should be able to express the date as "Monday 9 October, 2023" - note that the leading "0" on the date number has been omitted, and also the inclusion of a comma after the month.
Ideal Outcome: The due date would automatically include the ordinal indicator after the date number ("1st", "2nd", "3rd", "9th").

Short term cashflow to integrate with budget
It would be helpful if the short-term cash flow could be integrated with the budget. Since we operate on 30-day end-of-month payment terms, the cash flow is often inaccurate. The sales figures are the primary element we would like reading from the budget.

New Invoicing - Description Box Defined
New Invoicing - Description Box Defined
It would be great if the new invoice description field had a defined box around it like the rest of the row does. The old invoice does and it looks cleaner. I find myself second guessing if those descriptions are in the correct place because it looks like they all run together.
4 votesThanks for confirming, Nicki. I can confirm I've shared this back with the team. We are looking at further improvements to the invoicing grid, so I'll let you know here if there's any news for this.

AU Payroll - Include Portable Long Service (BERT/BEWT/ACIRT) on payslips
If this has already been suggested I would like to add in the payroll items an Employer Expense (not a deduction or reimbursement), similar to the way Superannuation is treated, with an expense and liability account. This would account for the BERT & BEWT that is required in the building industry.

AU Payroll - Upgrades to Xero me app for more customisation
We are long term users of Xero and find many aspects of its functionality make our accounting functions easy! This is not the case in terms of Payroll entry….The Xero Me App does not come close to meeting the needs of a small business like ours….and I am sure we are not entirely unique!
Our business is predominantly made up of casual employees who work different hours from day to day/week to week. Many of our employees also drive vehicles and require kilometre reimbursement.
The biggest challenge we have is the accurate recording of employee hours…unfortunately, we have issues around inaccurate recording of hours - most commonly leading to additional time claimed by employees (just 5 -15 mins here and there…but it adds up!)
We would like to be able to have our employees ‘clock in and clock out’ in real time. The other issue that we find unmanageable in the Xero Me App is the entry of kilometres for re-imbursement. Many of our staff use their vehicles for deliveries and require reimbursement at a per km $ rate. There is no current facility to do this by the employee, via your current timesheet functionality.
We hope, as has occurred with many other areas of within Xero, that there may be some additional focus at your end to create a payroll interface that we could use. We currently have no option aside from recording staff hours on a manual timesheet and having a payroll person enter the hours & kms into Xero, other than paying quite substantial additional $ for a companion app.
We hope this issue will receive some consideration!

NZ tax- Student Loan overseas borrower repayments
Overseas Borrower Student Loan repayments have different payment dates (30 September and 31 March), there is currently no functionality within Xero Tax (NZ) to manage these payments. I understand it is not possible for the system to calculate the repayment amounts as these are determined based on the loan balance, but if there could be an override amount like for Provisional Tax that would be useful, instead of having to track these borrowers manually.

Chart of Accounts - Duplicate existing account
Being new to the business, new to finance and bookkeeping and even newer to Xero we are starting from scratch with our "Chart of Accounts". As we grow and want to create sub accounts for clearer reporting - having to manually 'add account' each time, and reselecting all the appropriate account settings is very time consuming, especially for a novice like me. Being able to right click and choose to duplicate an existing account and then be prompted to rename/renumber it would be so much quicker.
My work around is currently to open up the existing account - take a picture on my phone (of all the settings and set up) close that account, click 'add account' and then replicate the account settings, eg set the type, description, new numbering code and tax etc. If I don't take a picture on my phone I will later find out I didn't pick the right sequential code number and so have to go back and correct it, or the descriptions don't match confusing other members of the team later down the line. You name it, I've accidentally done it.
Duplicate or copy & paste seems like a standard process needed in pretty much every electronic platform out there - it would play a big part here in 'Chart of Accounts'.
Or am I missing something?

vat
Can the VAT account be split into two, a method that Sage utilises?
A vat control account and a VAT suspense account.
The VAT suspense account will show the balance of the Dr or Cr of vat payable or owing from transactions included in the VAT return, this is where the Vat payments to/from HMRC are posted.
The VAT control account shows the balance of transactions where input/output VAT has been realised from invoices raised/received, but are not yet included in the VAT return typically because the the company is operating the VAT cash scheme.
These two accounts could be triggered when the VAT cash scheme is selected in the financial settings, and remain the same as it is now with the one VAT account when the accrual scheme is selected.

UK Payroll - Add pay element nominal codes to employees records rather than at Company level
As we don't have the ability to turn off automatic posting of payroll, can you add nominal codes for ER NI & ER Pension, other analysis fields to employees records rather than at Company level to allow easier analysis and posting of payroll journal.
There is a field on the employee record to enter the nominal code for their wages cost so why can't there be more fields for different codes?2 votes
