  1. We signed up several years ago, and were really happy with the software as it was. Now we keep update after update, and price rise after price rise. Our cost has now doubled in 5 years. I know there's fancy "features" added to it now, but I don't need them. All I want is the version from a couple of years ago. Accounting, payroll for 5, Classic invoicing, old style reports, old style bills page, old style contacts, no cashflow analytics.

Why not just make the older version available as a basic package for say £25 a month. No fancy…

  2. There are times I want to create several invoices within a group, but not the whole group. For example, in the Equine Lessons Group, there are contacts who take private lessons, group lessons, and/or homeschool lessons. Each contact may also be at a different skill level, therefore a different class. I would like to be able to select which contacts to invoice for Level 1 Homeschool Lesson, or for Level 3 Homeschool Lesson, or even Equine First Aid, depending on who, when , and what course is being taken.

  3. I've received multiple calls from customers who were confused when trying to find my bank account details on the online invoice. They couldn’t see the bank account details immediately on the view after clicking the "Review and Pay" or "View your bill online" link in the Xero email. Initially, the invoice shows only the Stripe payment option, and customers must click "View Invoice Details" to see my bank account information. This setup is confusing and not straightforward for customers!

According to Xero support, it’s impossible to change this view for customers:

  4. Repeating Invoices have the option to provide an optional 'End Date', however it can sometimes be difficult and/or time consuming to identify the correct end date. There's also potential to miscalculate the correct end date which can sometimes result in customers being under or over charged if the selected end date results in the wrong quantity of payments.

It would be very useful if there was a 'Quantity' option for Repeating Invoices which would automatically select the correct end date. Therefore eliminating over/under payments.

This feature would be useful for those who know exactly how many times a repeating invoice…

  5. Currently when creating a batch payment, the bank payment details fields (Particulars / code / reference) are all drawn from the payee's Xero contact details page.

payment of some bills require an invoice number in the bank payment reference field (rather than just an account number), and this also helps to track which invoices are paid for companies with frequent / varied billing + auditing bank transaction list records.

It would be great if either:
    a) For a specific bill, Xero reads the invoice number and places this into the "reference field" within the bill payments screen (usually works) AND…

  6. Reconciling funds - I need to be able to save Reconciling items while I'm half way through reconciling.
eg - I receive large amounts via bank statement - eg $16,000. That $16,000 will be made up of 10 holiday home bookings. Then I break down each booking into cleaning, credit card fees, our company commission, Airbnb commission, etc etc. Sometimes there may be up to 80-100 lines of items. Currently I can not save and it is really frustrating as it can take an hour to do and then if I have to leave or can't reconcile I need to…

  8. The Classic version of Invoicing used to inform you on the view of an invoice that was created from a Repeating Invoice when the Repeating Template had been deleted.
The new version does not give you this information resulting in confusion and wasted time.
    Please see screen shots below.
This is causing us a major headache as we have lots of Repeating Invoices that have to be cancelled and if a user isn't sure new invoicing doesn't help but allows you to go through the process of trying to delete the template again which results in an error.
    Please fix…

Hi Chris, we appreciate you raising this message with us. It's something our team have added to their backlog but want to be open that we don't have active plans for changing for the time being. We'll continue to monitor the feedback here and I'll share if there is any progress.

  9. In New Invoicing we can now hide the tax amount column. As this is for organisations that are not registered for tax, the Tax Rate column is also redundant so would it be possible to hide that too? We are set up as No VAT Scheme so both these columns just get in the way and it seems odd that we can mask one but not the other when you only ever need both or neither.

While we're at it, could we do the same in Billing?

    Thanks

  10. On the Employee Contact Details report it would be great to have a column to show the termination date and reason for termination. Being able to sort by termination date range eg last quarter would be beneficial to assist with preparing the long service leave reports. The termination date and reason needs to be included in the report. Having a summary of the information from Xero would be beneficial for all.

  11. Please put the customer's payments on the activity page so it is easier to see what payments went to which invoices. Seeing that an invoice is paid isn't enough information if the customer has questions. It would be nice to see WHICH payment is applied to an invoice.

  12. Thank you for delivering to keep the existing contact when copying an invoice. Now when you email the invoice the email address is not populated from the contact file. You have to go and look it up to send the copied invoice.

Please refer to the contact details and pre-populate their contact email addresses.

    Thanks

Sorry Lynne, It's a bit hard to troubleshoot and get the detail to understand why your contacts details like email aren't coming through to your copied invoice. I've just tested this with Draft and approved invoices being copied and the email of the contact was bought through each time as expected. I'd recommend raising this with our specialist through the Contact Xero Support option in Xero Central for closer inspection.

Thanks for also checking on this, Olga - that message on defaults application is related to the Sales defaults saved against inventory items or the contacts record but doesn't apply to the contacts personal details. These should be applied when copying an invoice.

To explain a little more - The reason defaults aren't automatically applied is because the line item fields will be prefilled with the information from the existing invoice that the new one is copied from.

    We understand…

  13. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the bottom…

  14. Hi,
We would like draft bills to be sortable by order inputted.
We are using AutoEntry to post invoices but Xero changes the order that the invoices are being entered.

  15. I’ve integrated Pabbly Connect with Xero to automatically create invoices. The workflow in Pabbly shows a successful execution, but not all invoices are actually being created in Xero.

Has anyone else experienced this issue?
Is there a way to debug what might be going wrong between the successful webhook execution and invoice creation in Xero?

    Additional Details:

The webhook receives all required data including customer, line items, and invoice date.

Pabbly workflow shows "Success" status after sending data to Xero.

However, when I check Xero, some invoices are missing entirely.

No error message is shown in Pabbly.

    This happens only…

  17. My Idea: Somewhere to enter a prepaid annual or longterm expense (ie Insurance) that can first go into a Prepaid Expenses asset account and then set to either expense at regular intervals until "used up" or able to manually expense as periods come to a close. This manager would help keep track of all prepaid expenses in one place and would keep a running balance for each item. Viewing options would include being able to filter/sort by item (ie 2023 Insurance Premium), or by type (ie software subscriptions) or by expense account (ie Insurance Expense).

Hi team, while we don't have a direct feature that would automate the entire process, there is a way to record and do this in Xero.

You could set up an account for the expense in your Chart of accounts, and reconcile the original payment to this account. You could then set up a repeating bill or invoice template to auto generate and you'd make payments on it to the same account to reduce the balance over a period of time.

Thanks for your continued engagement and valuable feedback on this long-standing idea, everyone. We've been carefully reviewing your comments and want to acknowledge the clear sentiment of frustration regarding the current limitations around managing multiple addresses for contacts, particularly for invoicing and delivery purposes, and that this is a critical feature to many of you.

We want to share an update on our progress here - We're pleased to confirm that the foundational work for handling multiple addresses has been completed within the Contacts area of Xero. This was a crucial first step. Building on this, now that all customers are on the new invoicing experience our product team has moved into the discovery phase for adding multiple addresses directly within invoicing. This means they are actively exploring the best way to implement this functionality to meet your needs effectively.

We appreciate your patience as we work through the complexities…

  19. I'd like to recommend add the new functionality in Xero to add an overdue amount to an invoice.

    Thank you

Hi Anna, when you say overdue amount would this be when sending an invoice to a customer and only showing the amount left to pay? If so, this is already possible with the email the customer receives and you can adjust the body of the invoice email to include the Amount due placeholder.

  20. It would help if the list of emplyees were sorted in alphabet order, by Surname. Also, a BACS report that just shows the employee, amount to be paid, and the total at the bottom.
