New invoicing - View in files library when uploading and option to return to library
In New Invoicing, I need the ability to view the files in the file library prior to attaching them to an invoice, as I can do in Classic Invoicing. This is because when received into the file library, the files aren't always in the same order as they were scanned. I tried attaching a file using New Invoicing and it wasn't the right file and, because I couldn't return the file to the file library, I had to rescan the document back into the file library. Without the ability to view files prior to attaching them to the invoice, users will be employing "hit or miss" when attaching files and will end up having to rescan files that were attached to the wrong invoice because they can't return them to the file library. Not having the ability to view files prior to attachment and the inability to return files to the file library will result in users needlessly spending time repeating the scan / attach file process when processing invoices in New Invoicing.

UK Payroll - Track the table based DEA Deductions
There is currently an option for a DEA to be table based when setting it up, however this doesn't do any of the calculations for the DEA. Instead, they need to be calculated manually & entered as a fixed amount. There is also no way of keeping track of the amounts deducted until the total has been paid within Xero, this also has to be done manually. This can especially be difficult if the employee's pay varies each period.

AU Payroll - Add 'Save & Next' button to top of employee pay details screen in Pay Run.
In Xero Payroll, it would greatly improve efficiency if the "Save & Next" button appeared at the top of the employee pay details screen, not just at the bottom.
For businesses with detailed pay setups (multiple earnings lines, deductions, reimbursements, etc.), scrolling to the bottom of every employee’s pay screen just to click "Save & Next" is time consuming and disruptive to workflow.
Adding this button to the top would:
Streamline navigation during pay runs
Reduce unnecessary scrolling
Improve accessibility for users reviewing multiple employee pays in one session
This small UI change would make a big difference for payroll admins managing large teams.
Thank you for considering this.

Exclude Auto Save from History and Notes
Exclude new auto save updates from History and Notes. It made sense to save these when it was manual but now it just clutters the history so badly with every auto save creating a new entry.

Batch Payments - Option to lock bank account numbers
I would like to be able to choose to lock the Bank Account field in the Batch Payments screen where you can change/add bank account numbers. Making the user add the bank account number into the contact screen and the redo the batch payment so it draws that information from there - and any changes from here are notified to the Contact Bank Acc Admin.

Capture incoterms under Contacts & Invoices
It would be useful to capture Incoterms on a contact by having a dropdown selection for them. Additionally, if this information can be carried over to the invoice screen, it would be beneficial.
2 votesHi Amanda, in lieu of having a direct field and selection for this in Xero perhaps an option could be to add this information to the Notes of the contacts record, or attaching as a file to the contacts record.
Appreciate this doesn't automatically flow through to the invoice.
We'll start to get a feel of the interest for this feature through your idea, here.

Bank Reconciliation - Sort statement lines by most recent date
I always want to reconcile my newest transactions first, as they are freshest in my head. It's actually become pretty maddening not having this feature.

Notes - Ability to Tag users
It would be really useful to be able to tag users in the notes of documents, like to create a task or ticket so they are aware of whatever is needed to be changed/be aware of regarding a certain bill.
Otherwise an internal communication/ ticket/email needs to be sent, this would simplify all the daily work and make the notes actually useful10 votes -
Make projects better
Projects - Make the entire Projects experience better. Today is May 17th 2024, there are currently 300+ ideas, suggestions, and requests here related to Projects, few of which have even been responded to by Xero. It seems clear that Projects is the red-headed step-child of the Xero platform, always the last to the table when the development team starts talking about updates.
For those of us who run project-based businesses, the features requested on these pages are CRITICAL to our ability to understand how our business is doing. I'm calling on Xero to put more energy into building out Projects now, not "some time in the future," now. Many of the requests are simple - we need a field to add notes, we need a field to add an ID number, we need an address field. I know that making changes to any database can cause ripple effects through the whole system, but come on, I've been with Xero for 3 years know and as far as I can tell there have been zero improvements to Projects since we first came on board.

Bills View - Option to view next bill
Why is the next bill feature no longer available in bill preview?
The bill preview is a great feature in awaiting bills, allowing you to view the bill and xero transaction at the same time, before you schedule a bill for payment. There were up and down arrows allowing you to move through all the bill transactions & their respective invoice/s that were awaiting payment. However, in the last week it is no longer available. You have to keep clicking in and out of each bill to preview. Its time consuming. Can we please have this feature back?

Invoicing | Payments - Using tab and enter
Most people using accounting software are keyboard proficient. Having to use a mouse to see and click on drop down lists is inefficient. This is particularly bad when applying payments to the new invoicing system. I can see you've updated this so that you can tab across when you're creating a new invoice - please extend this functionality to the payment field. (All we really want is for you to #BringBackClassicInvoicing)
2 votesHi Amanda, are there any particular fields you're having issues tabbing through in the payments window? We recently released a change so you can now type in dates rather than having to choose from the calendar.

Bank Rules - Option for prepayments
There are often periodic top up payments for accounts (e.g. Tolls) and a periodic statement provided after the fact.
It would be useful to be able to set up a bank rule to apply these and reconcile the prepayments as the statements come in.

Copy COMPLETE invoice - all the details.
Copy COMPLETE invoice - all the details.
If you want to copy the complete invoice - contact, date, due date, etc - everything, this can be done . With an existing invoice open, click the contact name in the invoice, click the contact name again ( of course). The Activity Tab is active . To the right of each invoice line is a double box for copy. Click this to get a full copy of the invoice. This also works in Bills.2 votesHi Simon, just wanted to double check if you've meant to raise this as an idea. Or trying to share advice to others in the community?

Bills - Change draft bills to spend money
I would like easier access for entering multiple spend money transactions with a preview screen
I suggest either;
1) a separate email to send spend money receipts to like bills have; or
2) when entering spend money transaction, after clicking save and add another, allow the preview pane to be available after attaching a file so you can still see the details of the receipt when entering (just like the preview is there when you enter a spend money from the files section) otherwise you have to go out of spend money and back to files just so you have the preview; or
3) ability to change a draft bill to a spend money transaction so that all receipts can be emailed directly there. This would probably be the most flexible because if people send them to the wrong address it can be fixed without having to download the file and delete the transaction and re-upload.

NZ GST - Export file to include "GST Return" in naming convention
The new modernised GST returns in Xero no longer export the report name in the exported file name. The document only has the client name and date, not the report type anymore. Should say "XXXX Ltd 30 11 2024 GST Return", whereas it currently only says XXXX Ltd 30 11 2024". Inefficient to have to manually add the words "GST Return" for each report produced in Blue Xero when sending multiple documents to clients. Is there a way to get it back? Within the document itself it says the report type, but would be preferred to be included in the file name too, when exporting a lot of documents

Xero - Version for Local Government
Hi Xero team,
I’m reaching out from a regional local government in Western Australia. We want to use Xero and appreciate its simplicity and usability. However, we’ve found that Xero’s current design is limiting for local government requirements — particularly in terms of transaction volume, internal controls, audit reporting, governance, and integrated project accounting.
I believe there’s a compelling opportunity for Xero to consider developing a dedicated “Local Government” edition or expansion, especially tailored for smaller regional councils. There are over 500 local governments in Australia, many of which are seeking modern, cloud-based, ERP solutions that balance simplicity with the robust governance and reporting requirements of the public sector.
If Xero were to build compliance-friendly modules for public sector accounting (multi-fund reporting, approval workflows, grant tracking, audit trails, etc.), you’d be well-positioned to offer an affordable alternative to the more complex and expensive ERP systems currently on the market.
I’d be happy to provide further context from the local government side or connect you with peers who are facing the same constraints. Please let me know if this is something your team would be open to exploring further.

Expense claims - Choose which fields are optional
Adding a feature in Xero that allows finance admins to designate specific fields on expense claims as mandatory or optional would ensure consistent data entry, improve financial tracking, and streamline the approval process.
Key Benefits:
Enhanced Compliance: By making certain fields mandatory, such as business function or event tracking, admins can ensure that all necessary information is provided, reducing the risk of incomplete or incorrect submissions.
Improved Data Accuracy: Mandating specific fields ensures that critical data, like cost centers or project codes, are always captured, leading to more precise financial tracking and reporting.
Flexibility: Different organizations or departments may have unique requirements for expense submissions. This feature would allow Xero to be more adaptable to various business needs, enabling admins to tailor the expense claim process to fit their specific workflows.
Streamlined Approval Process: With mandatory fields in place, expense claims are more likely to be complete upon initial submission, reducing the need for follow-up and speeding up the approval process.
This feature would not only improve the efficiency of the expense submission process but also ensure that key financial data is consistently captured across the organization.

AU Payroll - Option for Weekly PAYG Withholding period
Ability to change our PAYG Withholding period to weekly. Only options are None, Monthly or Quarterly. The ATO requires we lodge and pay PAYGW weekly now and this is not possible in Xero. We have to change our PAYGW period to None so that it does not show on the BAS and manually calculate, lodge and pay this weekly.
