New invoicing | Contact - add additional people on the fly
Adding a new customer on the fly.
The drop down for adding a new customer at invoice does not have any fields for adding the customer the contact. Why8 votes -
Quotes - Option to Accept part of the quote and Decline the remaining lines
Hi, I would like to be able to complete quotes correctly please. So for example, QU-6767 was accepted by the customer. The customer later decided that only one line of the quote was required, which was invoiced. I would now like to mark the remaining part of the quote as declined.
It would therefore be helpful to have more options for the quotes system, to be able to mark the quote as partially invoiced and the remaining as declined, even after the quote has been accepted.
I create monthly reports of accepted, declined and invoiced quotes. It would be helpful to have the correct function options to gain more accurate reporting and to not leave the quotes in an un-finished status.

User role selection
Will it be possible to select multiple option for a user instead of select only one option?

Appreciate there are lots of different subsets of permissions our customers would like to see. Understanding the feature sets will help our product teams understanding.

Xero Login - Authenticate with Face ID on desktop
Hi Xero. I can log into Xero on my phone using facial recognition, but it's not available on my desktop, why is that? Should be easy to do, right? Current MFA whilst necessary is cumbersome, facial ID is simple and safe.
1 voteGreat to hear that you find the Face ID authentication on your app useful, David. This may be something we bring to the desktop over time but isn't in the plans just yet. We'll feel out the interest for this from the idea here and I'll keep you updated of there's any news to share.

UK Payroll - Auto enrolment postponements
When an employee has a postponed autoenrollment the pension doesn't prompt or show up until just before the payment run has been posted. Making any prior payroll reports and payslips incorrect as the pension then tags on at the end. So reports then need to be reprinted and balanced again.
Can the prompt no show up at the start of the pay run? This will then save any duplicated reports and potential incorrect payments.
Also the pension filing report viewable before the RTI posting.
Alternatively, enter the postponement date when posting the pay run in which the employee becomes eligible for auto enrolment. This will sync to the employee's record once the pay run is posted.

Invoicing - Issue warning when unit price is Nil
It would be great to have the ability that Xero gives you a warning when an item line in Invoicing has a $0.00 in the unit price before been approved.
We have had clients that missed completing the price and then the Invoices are sent out.
It would be handy if they got a reminder that this is $0.

This is something we may consider as an optional control longer term but want to be upfront that we don't have any plans of right now. For now we'll get a sense of the interest in this from your idea here.

COA | Create new account - Ability to add reporting name on the fly
It would save numerous steps if:
When a new account is created from within a transaction (for instance spend money or journal entry) the option to add a reporting name was available, instead of having to update later through the chart of chart of accounts.
When creating a new account, through the chart of accounts or elsewhere, that the Report Code mapping category could be allocated at the same time.

Batch Payments - Export file in a Santander-compatible format
The repsonse to my support case was to be told to post the bug here... seems a weird request, but sure...
"The best way to get our product team to consider this would be to create a new product Idea on this, which is submitted to our product team who then go ahead and make changed based in priority."The santander batch file does not follow the santander format. In the past Santander used to accept the file anyway but they have now started rejecting it.
Bills > Make Payment > Pay from (santander), Method = Create Payment File
Batch Payment > Export Batch File > "Santander Connect BACS payments"
A file is generated (date).TXT with content like this:
PAYMENT,HEADER,25112024,,1
PAYMENT,MULTIBACS,09066612345678,mysupplier,401904,12345678,214.60,25112024,paymentref
PAYMENT,TRAILER,,The import fails on Santander with message: Invalid Record Total information.
Modifying the file to include the total value of all transactions and the number of transactions solves this problem. This file works:
PAYMENT,HEADER,25112024,,1
PAYMENT,MULTIBACS,09066612345678,mysupplier,401904,12345678,214.60,25112024,paymentref
PAYMENT,TRAILER,214.60,1note after the trailer 214.60 = total and 1 = number of transaction lines in this file.

User Roles - Ability to filter and sort list by roles and permissions
As part of our QA, we review the list of users to check that it is up to date, eg, remove terminated employees, remove auditors at the completion of the audit or revert to Read Only, etc.
It would be great to be able to filter/sort the view by access type, such as looking only at Payroll Employees, or filtering them out.

AU Payroll - Ability to pay staff with joint bank account in same pay run
Please enable the ability to pay staff with a joint bank account in same pay run. We currently have to pay two couples with a joint bank account into separate accounts each run. Xero does not permit two payments into the same bank account in one pay run. I have confirmed with our bank that this is not an error on their end. Xero support have informed me that this is not a function that Xero currently offers.

Billable expenses - show invoice date
Please show the date of invoices in billable expenses.. It is easier for us to search the invoice..
25 votesHi everyone, appreciate the feedback of the layout of detail in the Billable expenses modal of new invoicing. I've made sure to share your feedback here with the team.
To confirm, right now the date column is still included in this view however if you have a few billable expenses to assign you'll need to scroll down and then will see a horizontal scroll bar so you can scroll across to the date. Understand this isn't the most obvious atm, and I'll keep you updated here of any planned change.

New invoicing - Searching items by start of field
New Invoicing - Type in Item - please change back to only searching start of field, as per old invoicing.
Now that typing in the Item field in the new invoicing brings up every item with that word or part word in anywhere, we either need to learn all the codes, or make sure our items all contain totally different words. It takes ages to find the item required.18 votes -
New invoicing - Increase Transaction lines in invoices
Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

Billable Expenses - Assigning items to customers, make clicking "OK" act like the "Assign" button
I regularly forget to click "assign" before "OK" when assigning a customer to a billable expense. In the attached screenshot, I've identified an expense, found the customer, and the line item is ticked. It's infuriating to have to remember to click "Assign" before "OK", when the rest of the interface is telling me that everything is all set and saved. While I try to remember to press the wretched "Assign" button first, could you please change the default so that clicking "OK" has the effect of clicking "Assign" automatically? There shouldn't be a separate "Assign" button.

Manual Journals - Setting to turn off "Show journal on cash basis reports"
As default, can you please turn off the check box "Show journal on cash basis reports"
For users that rely on the 'Cash Summary' report, non-cash journals create significant difficulty getting a true read on the cash position of the business, a key requirement for this report. Thanks36 votes -

Oustanding supplier invoices
Being able to access supplier invoices using the link in the email. Currently we can only access the invoice related to the email. When trying to view other outstanding invoices, I get the message that I don't have permission to view that page and to have my access upgraded even though I have full access (bar subscriber). It would be great to be able to, as a bookkeeper, access other outstanding invoices. A lot of clients will use the link, see that they can access the other invoices, and not see an issue.

NZ GST - Allow users to open multiple GST returns in different tabs
New NZ GST return - brings up the GST return for the wrong entity.
This is not a new idea, but a critical flaw in the new GST return that needs to be addressed right away. I have gone to support and they confirm that it is a Xero issue. "Currently, the Product Team have confirmed it’s not possible to work on multiple GST returns across multiple browsers using the new GST return." Then they said the best way is to put the idea on this page, so here goes.
We prepare GST returns for clients that often have one or more related parties. We use Edge browser. The related party current account balances need to be checked that they match before a GST return can be filed. To do this we go into an incognito browser (cntrl, shift, n) and bring up the xero ledger for that related party. I can check the balance, and then go back to my original edge browser, do all sorts of reports and transactions in there with no problems. The moment I go to the GST return it will bring up the GST return for the related party that is or was in the incognito browser - even if I have closed it down, even if they are not GST registered. If you are not aware of this issue the wrong GST return could get filed! This used to work with the old GST report, and I have had no issues with any other report, journal or fixed asset transaction so is a new GST report issue only. Projects - Assign New staff to all Projects in Bulk
It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.
