Invoicing - Include PDF attachment when emailing invoice
When Xero are emailing out their invoices please can you go back to attaching the invoices as a pdf as it quicker to be able to forward them rather than having to sign in and save them as draft, especially when you are having to do loads for clients.
49 votesThanks for sharing back on this, everyone. We'd like to confirm the way the options works now when sending in new invoicing - This is triggered by previous behaviour.
So, when you send using new invoicing, the selection for 'Attach PDF' is driven by the last invoice you sent. If the last selection was unticked the next invoice you send will automatically be unticked, and vice versa.
What's worth noting is that this is a browser based setting. For example if you change computers or browsers your setting will revert to default where both options are unticked. As you'll see from my recent update on this similar idea this is something we may explore further down the line but we don't have any immediate changed planned for.
We also appreciate your feedback relating to where a customer's taken when clicking Review and pay. Our team have done a lot of research and testing around this flow - finding that businesses that have a payment service attached are likely to get paid faster, along with this taking customers directly to the payment screen has increased the rate at which businesses receive payment.
While it's only shown for some users that have payment services set up at present, we're looking to roll this change out wider to all invoices. We know it can take a bit of getting used to the change but believe that many people will quickly grow familiar with this.

AU BAS - Lodgment for grouped entities BAS
Where you have multiple legal entities that are able to lodge a consolidated BAS/GST return for the Group, having an ability to lodge the one return from Xero, without having to manually consolidate the various legal entities data outside of Xero via excel or some other means.

UK Payroll - SMP advance
UK Payroll - allow employers who have received SMP advance funding to enter the amount received so that the SMP paid is not recovered, and the correct amount owing to HMRC shows on the Taxes and Filings page.

It would be so helpful for Xero to have the ability to calculate rolled up holiday pay based on timesheets entered and show this as a separate line for holiday pay on the payslip.

New Invoicing - Type the date manually, without / delimiters
It would be really useful to have a way of typing the date without having to use a / in between the numbers, like you could on classic invoicing
e.g. 20012024 used to convert automatically to 20th January 2024 on classic invoicing

Based on feedback our team are looking at improvements to the date pickers in new invoicing. While I can't confirm exactly what these will entail atm, we'll shift the idea to working on it and I'll be back to confirm when we have more of the detail.

Bank Accounts page - Filter bank accounts by unreconciled
I have 22 bank accounts and loans on the "Bank accounts page". It would be good if I could quickly filter the unreconciled ones to the top, rather than scrolling through looking for unreconciled accounts.

What I need is for it to look like the Payroll Employee Summary, but with additional columns for Annual & Personal leave taken and the value of that leave.

Report improvements for GDPR
Since Xero has little to no features to help manage data privacy, please can we have the ability to show date added on Contacts. Even better, date of last activity - and show them on reports?
If this isn't possible, custom fields would do as notes do not show up on the export.

Contact - Font color
If we cannot put a warning against the bad payers, surely it cannot be that hard to be able to change the customers business names into another color (Red) So when you search or create a new invoice, alarm bells will ring and hopefully avoid more loss
5 votesHi Todd, have you seen credit limits? These will allow you to set a limit to how much spending a customer can make with your business. When they reach that limit you can also choose whether to restrict invoicing for that customer. This may help with the scenario you're noting here.

Email invoice address to depend on customer department
We are using the Xero API to post invoices from a POS system we have created.
Our customer some large customers with multiple departments. They would like to specify which email address the invoice is sent to.The simplest solution would be to include the email address in the invoice data sent from our system to Xero. (If omitted, the main email address for the customer would be used.)
A more secure solution would require that the email address be one of those entered in Xero for the customer or their contacts.
An alternate solution would be to specify the id of the contact entered in Xero as an additional contact.

It would help if the expected settlement dates for invoices (and bills) were based on past history rather than due dates

Batch Payments - Keep multiple payments to the same payee as separate lines
Currently when creating batch payment files, multiple bills to the same payee are combined into a single line with only one set of bank payment details (although they appear separate on the batch payment screen in Xero).
Sometimes different bank reference details are needed for each payment, and sending the details in a remittance advice is inappropriate - it would be helpful if the lines could remain separate rather than combined so that unique bank reference details could be added against each line for the same payee

Invoices - Show paid date on invoices screen
Put the paid date on the Invoices screen. It would be really nice to have the paid date showing so I wouldn't have to click on the invoice to see when it was paid.

Contact - Sub Categories
Would it be possible to create a contact who is a "sub contact" of an existing contact. For example we perform work for a strata management company. Every invoice is made out to [name of strata company] but the contact details, email address and physical address are all the same - that of the management company. I would love to create [strata management company] as the main contact with all the strata "divisions" they manage below them without having to create a new contact for every single new building. What are my chances?

Right now you could create a Contact Group, and have each related contact assigned to that contact group. Get what you're saying with the efficiency when having most of the same details - for now perhaps importing via csv would help create these in less time.
We also have an idea for the ability to copy a contact, and another for contact group statements that you might like to join and follow.
We'll start to get a feel of the interest for this type of feature here, and I'll let you know if there's any change planned.

Purchase orders - Online view with option to convert to Quote
Purchase Orders - ability for the suppliers that you send the Purchase Order, to view the document online and have the option to import the Purchase Order to Quotes and Sales Invoices.
The Purchase order area of Xero feels a bit underdeveloped at the moment. However, one strong step would be to allow Purchase orders sent by Company A from their Xero account to be transferred to Company B's Xero Sales area at the click of a button (giving an option of Quote or direct to sales invoice).
This is already set up on the Sale side, where Company A sends an Sales invoice to Company B and Company B can add it to their draft bills directly. Creating a similar flow from Purchase Order to Sales Invoice/Quote would be a logical step.

New invoicing - Change layout of buttons/options
What's most wrong with the new invoicing template is that the most useful features have been shifted to to the bottom of the layout , so you have to scroll to the bottom to use them. Also the default of approve and send is not the best option , approve would be better ( or perhaps a way to choose that box default would be terrific. Also to attach files , all the way to the bottom we go, thats crazy . also the size of the template is too big , it needs to be more compact its adds to the scrolling required to add lines to the invoice and why was the add 5, 10 or 20 lines removed, that proved to be very helpful ( at least put back the add 5 lines) why because to not have it there at the start of making the invoice ,means due to visual overwhelming of the layout, it seem to have made every invoice line 3 times as big and the length of the invoice 3 times longer . its very slow and time consuming and very unfriendly. I am sure there are improvements and this is most welcome, but why cause everyone to feel so frustrated to offer some badly needed benefits ( I do like the add previous used items and the save and close button...
Honestly, it the visual appeal and effort it takes ( extra clicks taken) o find , action and do , what was so easy in the classic version.IS anyone actually listening to us the users???. or is it all mandated , if mandated, I think you will lose customers over time, which is a shame, as xero is very functional now and does offer people great choices, value for money is questionable, but as far as features go, it has become one of the leaders. If payroll wasn't so expensive on number of employees ( larger numbers) then I would say Xero was very reasonable generally speaking...
