UK Payroll - Holiday Pay Adjustment
Lot of employee are working overtime. Holiday should be paid adding the Holiday Pay Adjustment. This means that overtime, certain allowances and commission plans will be included in the first 20 days of leave taken in any holiday year. To put this simply, you should be no worse off financially by taking your holiday. So if you earn commissions, claim certain allowances or work overtime these will now be considered as part of your holiday pay adjustment payment. Every employer must calculate this manually, and errors may occur during the process. It would be fantastic if a formula could be added to Xero.
(Monthly pay ÷ hours worked in month) = average hourly pay

Xero Expenses - Allow one off expense claims without purchasing the "Expenses" subscription
Allow casual, one off, expense claims WITHOUT needing to purchase the "Expenses" subscription.
I am the treasurer of a Men's Shed and, occasionally, members use personal funds (either card or cash) for Shed expenses, generating an expense claim. These are rare, usually one off, and might not occur again.
Could an exception be allowed for this, within the software, that would allow a one off expense to be recorded? This could then then trigger the need to purchase the "Expense" module if that person had any future expense claims within, say, 12 or 18 months.

Tax Rate - Don't change Tax Rate if Account Type is change
Stop Xero from automatically changing the Tax Rate of an Account when the Account Type is changed. It's so annoying. Offer/suggest, sure. But don't do it by default. No, I do not want to change Wages & Salaries from BAS Excluded to GST on Expenses just because I change it from Direct Costs to Expense/Overhead or vice versa. Such a dumb default setting.

Reconciliation - Create Bill instead of Spend Money
It would be very useful to be able to generate a Bill when Reconciling, instead of just being able to "Spend Money". This would allow much better tracking of transactions, since money leaving an account via Spent Money is far less visible than when a Bill is paid.
Specifically:
When PayPal is enabled as a Payment Method, and a customer pays their Invoice this way, the associated PayPal account shows two entries in the Bank Feed ready for Reconciliation:
1) A transaction fee is deducted from the PayPal account.
2) The full amount of the payment into the PayPal account.During Reconciliation, Xero will helpfully automatically match the transaction fee line with a "Spend Money" option, allowing single-click Reconciliation of this item.
However, if you do so, there is no record of it in the Payable Invoices Report, because it has never been entered as a Bill. Listing all "Spent Money" transactions is possible on a Bank Account by Bank Account basis, but I need things like bank service charge fees to be listed as bills under the name of the Bank - PayPal in this case - in the same way as my other bills from other suppliers are listed in the Payable Invoices Report.
I've searched as far as I can for a similar feature request, but did not find anything. I wonder, therefore, if I'm the only person in the world who needs this, or if my search powers have been affected by kryptonite today.

6 votesHi Faris, generally as a bill is received prior to payment so currently it's expected that the bill would already exist in Xero when reconciling.
Appreciate your example of where this could create efficiency and we'll get an idea of the support in this here. 🙂
In the meantime, depending on your type of sales you may find an integration in our App Store that could serve by automatically creating the transactions in Xero.

Bank reconciliation - Show Account Code on spend/receive money
Bank Accounts Cash Coding problems:
xero auto enters "unknown" if payee not used
No Quantity column for shares or livestock transactions
Posted entries disappear which does not allow easy scroll up and down scrutiny of work done
account code does not show for coded entries
bank account description/particulars does not show as per bank statement

Contacts | Increase character limit for countries
The ISO 3166 country name for "United Kingdom" is "United Kingdom of Great Britain and Northern Ireland (the)", which is 58 characters. We are currently unable to use this name for our contacts as Xero throws an error (both in the UI and API).
Please consider increasing the country name maximum length to at least 60 characters.

Quote - Send an order confirmation to customer
Order book:
Ability to confirm to a customer that their quote has been accepted & processed as an order. It is either in the process of being made, or waiting in a queue of work to be done.
As the business manager I can look at my order book on a daily basis to see which orders are outstanding and in what priority they should be completed.
Deposits can be assigned to an order, the customer can receive a confirmation that their deposit has been received. This only needs to become an Invoice once the work is ready to be dispatched and full payment is legitimately demanded or the credit term is commenced.
Is this service available on Xero ?

E-Invoicing - Automate Xero Network connection when company details match
When a Xero customer is creating an invoice for another Xero customer - why not allow this to automatically show up in the Bills section, if the receiver agrees to this. Would save a heap of time and coding.

An option in Xero to raise commission invoices which are deducted from supplier payments or being able to differentiate from sales invoices and commission invoices raised to suppliers.

Invoice - Ability to transfer name and address directly to Label Printer
Label printing. It would be so much easier if having entered the name and address on an invoice we could then print the name and address directly onto a label writer (something easily done using Sage software). We are a publisher, selling books via a website to people who usually only ever make one purchase, so we don't want to create an unnecessarily massive contact list. At the moment we have to type their name and address onto the invoice, then type it all over again on the label writer software, thus doing the same thing twice with the chance of making a mistake. Plus the label writer automatically included our name and the invoice number at the foot of the label. This should be pretty simple to incorporate into Xero.

Files - Extend file upload limit
Currently, the number of files that can be uploaded is limited to 50. It would be useful to be able to upload more than 50 files. For example, to a loan account we might need to attach the original loan documents, associated invoices, monthly statements and letters relating to interest rate increases. For a 5 year loan, more than 50 documents would be required for monthly statements alone.

Manual Journals: Allow placeholders in standard manual journals
Placeholders are really useful in repeating manual journal entry - could we please have them in regular manual journals?
Oftentimes it will be necessary to repeat a series of manual entries when realising income in advance as revenue however the amounts will vary so a manual journal is required for each instance.
Being able to have [Month] etc in the narration would make it much faster to populate each entry. [Example: "Revenue realised in [Month]"

Email templates - Ability to send statements using different email templates
I would like to be able to send statements using different email templates depending on how old the debts are. Smart lists seem to have the functionality to filter what I want but no option to send statements based on those lists.

For those who aren't aware, within the Email Settings it is possible to create a number of different templates to reflect the wording you'd like to use, depending on the age of the debt. The Add email templates support article has detailed steps on how to do this 😊
As mentioned, Smart Lists are a great way to filter your customers and can be used as a tool to identify the customers who should receive their statement with each template.
However as you have found, it is currently not possible to send statements directly to the customers from the Smart List. We understand this is the main ask of this idea, so we'll continue to monitor the suggestion to get a clearer understanding of users that'd like to see this developed.

Dashboard Graphs - able to extract them to add to reports
To be able to export the graphs from the dashboard into excel or PDF, the same as you can reports from the reports page. There are no graphs that I can extract and those on the dashboard would be useful in adding to reports I send to board members who are not on Xero.

Bills | Make payment - Wider Fields for "Paid From" and "Reference"
Can you make the "Paid From" and "Reference" fields wider in the Make a Payment section of the bills and invoices? I like detail in my Reference field and there are only 14 characters that you can see and in the Paid From field, you can't see both the account number and the text.

AU Payroll - Prompt to enter Leave loading rates
When ticking the "eligible to receive leave loading" box under taxes, have a pop-up to enter the leave loading rate. A lot of clients tick the box, but are not aware they need to manually enter the rate under leave in the payroll settings as well for it to occur.

Xero UX designers seem to be under the impression that users want to select accounts by scrolling though a list of 100 entries every time.
You removed the ability to search for the appropriate account by typing the account name when adding payroll categories a while ago. Most recently, you've removed this from the Bank Rules screen without having to use extra clicks.
Anywhere we're supposed to select an account, either tabbing or clicking into the field and typing the name of the account should search for and select the account, as it used to everywhere and as it still does on Reconcile and Cash coding screens.
I appreciate you finally making some effort to have a consistent UI after years of beta-testing in production, and the new design is more legible and clean, but you have to stop decreasing usability in the name of aesthetics.
