  1. Instead of referring to reconcile transactions, it would be better to refer to categorise or allocate transactions.

Bank transactions are categorised - we tell Xero what each transaction is for - answers "What was this for?" However at present this is called Reconcile transactions

Reconciling an Account - is matching the above transactions to the bank's records (statement) - checking that every transaction in Xero matches what actually happened in the bank account and the end balance matches.

The terminology seems to confuse some and they think by categorising/allocating a transaction they have reconciled the account.

Thanks for your feedback and for pointing out how the term "Reconcile" can be confusing—especially for those new to Xero or bookkeeping.

We get that using clearer terms like "Categorise" or "Allocate" might feel more intuitive and help reduce confusion when working through bank reconciliation.

Right now, this idea’s open for feedback and support, so feel free to keep voting and sharing how a change like this could help in your day-to-day.

We appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.

To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

  3. Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.

    Or Better still

Leave the old there until you've got it together and your Paid subscribers are happy.
We are seriously looking at moving away from XERO due to all the changes you impose on us without proper UAT. More often than not it creates more work for us and causes more stress we just dont need in an…

Hi team, I know it's been some time since we last updated this idea. Please know we have close eyes on this feature and this is a change our product team are currently working on.

While we can't give a definite timeframe work is progressing well and we'll keep you updated of when this is available, here. Thanks for your engagement with us through product ideas.

  4. Invoice reminders are currently "all or nothing". I dont want to chase my good clients with automated messages from Xero becuse it upsets them but I do want some of my clients to have auto reminders about invoices about to become due and invoices overdue, those who generally are bad payers. In the same way we have email and invoice templates can we have invoice reminder templates and when we raise an invoice be prompted to apply a reminder template (or not). Or can the template for reminders be part of the customer financial details, in the way we can…

  5. The email template, for example sales invoice, controls most of the email body but not all of it. If the email template starts "Hi [Client]" for example, the actual email generated automatically adds content before this, namely a logo, company name, amount and due date. I would like to be able to control this content as well, but it seems unchangeable. In contrast, the invoice template allows full control so you can apply various branding. Please can you open up all the email content to be controlled by the template.

  6. Under all the new rules and regulations set down by the Tax Practitioners Board, it is a requirement to keep a backup copy of the data file. We do not want to start a new Xero file from a backup - that is not logical. We need the ability to click on a button and run a backup to comply with the new rules. Using another app is also not a solution. It must be built in the the Xero program that we can use as bookkeepers. This is an essential feature if we are to comply and do regular…

Hi everyone, just a quick update to let you know that we are aware of this request, and we get that having a direct bank feed for Chase Bank UK would streamline your workflow and make reconciling much easier.

Currently, the best way to get your transactions into Xero is by manually importing your bank statements.

For now, we’ll keep an eye on the engagement and support for this bank feed here, and let you know when we have any updates on this.

  8. As a 1-man business I only need limited features, but the Project feature is one of these that feels essential to my line of work. It is only available in the highest pricing plan and is not available as an add-on. This appears to price out small businesses who want this feature. Please consider allowing this as an add-on, even if it isn't to be available in different pricing tiers.

Appreciate the short videos and can see what you're saying, Chris - Have you raised a case with our Xero Support team about the slowness in loading?

Actual slowness in the page loading are issues that we'd like to dig into deeper as they aren't occurring for all users so it'd be good to be able to investigate one on one with our Xero Support team who can escalate if needed. Thanks

  10. I have observed that the timesheets section in the payroll system has been updated. However, this update appears to have introduced several questionable design choices that hinder its functionality and efficiency.

Firstly, the employee list is not sorted alphabetically, which complicates the process of locating specific individuals. Secondly, the system no longer autofill's the default earnings rate, requiring unnecessary manual input. Thirdly, upon clicking the "Approve Timesheet" button, a redundant popup appears asking for confirmation of the approval, despite the action already being explicitly initiated. Lastly, when entering hours worked into a field, the system fails to clear the default…

We understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.

Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.

This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

We’ll post here with any changes or progress.

  12. Thanks for adding this feature. I'm trying it and I noticed that if you copy and paste a value with a $ in it, it will not paste properly. Sometimes when you copy paste opening or closing balances from PDF it copies including the dollar sign.

Please allow to paste the value with the $ in it.

Also, there doesnt seem to be any way of deleting a draft period. Please consider adding a small garbage bin icon in the period list and inside the period.

    Thanks!

Appreciate your feedback, Alvaro. I know you originally shared your comment on this idea however I've just turned your comment into a new idea, so we can separately gauge interest in being able to delete a draft period. We're staying close to the feedback we're receiving so we'll share if there's any plans made around this with you here.

  13. Add reference field for project.
We do a lot of project work. Our clients will generally have a tender or contract number associated with the project. I need to include this number on all invoices related to the project.

It would be great to have an optional reference field for each project that, if not blank, would automatically populate the reference field for every invoice created.

  14. The functionality to be able to raise and approve a Purchase Order which, at the point of approval, would create a double entry in the general ledger. Specifically:

    • Debit a Work in Progress (WIP) expenses account (to reflect anticipated expenditure),

    • Credit a creditors account (to reflect the anticipated liability).

This would allow the PO to reflect a commitment in the accounts, enabling better management of Work In Progress and projected costs before the supplier invoice arrives.

In an ideal world, to be able to allocate the PO to a Xero Project, so that WIP and anticipated costs appear…

Hi Tristan, thanks for sharing such a detailed and well-thought-out suggestion. We appreciate you taking the time to explain the specific accounting impact and how this would improve financial visibility.

We've reviewed your idea for having approved Purchase Orders post to the general ledger and integrate with Xero Projects. This suggestion is now ready to gain support and feedback from other community members.

Along with votes, others can now comment on how having this visibility of committed costs could improve their own project management and financial forecasting in Xero. 🙂

  15. This seems like an absolute no-brainer.

When looking for an invoice or payment, I often copy the amount from a remittance or similar, and it is a frustrating waste of time to have to manually remove the comma.

This should be easy to implement, and would make the user experience smoother seamlessly.

  16. Repeating Invoices - Ability to bulk update repeating invoices.

We provide a subscription service which some of the 470+ customers have been using for years.

At times we make changes to T&Cs, the wording, rates, payment services etc. and it would be extremely times shaving if we could do bulk changes i.e. change the Item, Due Date, Reference, Payment Services etc, without having to go into each repeating invoice individually.

  17. There are often periodic top up payments for accounts (e.g. Tolls) and a periodic statement provided after the fact.

It would be useful to be able to set up a bank rule to apply these and reconcile the prepayments as the statements come in.

  18. 1st) I suggest on embedding the Validated QR code to the normal PDF invoice so that we can print multiple invoices at one go and our normal PDF invoice also consists of banking details and credit terms whereas the Validated E-Invoicing has none of these.

2nd) I suggest on putting "Send to MyInvois" button instead of copy and paste the e-mail MyInvois@invoi.ci for every invoice. This is too troublesome.

3rd) Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The…

Hi Maggie and others in community who've voted, we appreciate hearing the changes that'd help you when sending eInvoices with Xero.

Just to note, as each point you've raised would be considered separately by our product teams it's best to have an idea for each of these that we can get a feel of the community support through - see more on the qualities of a good idea in our Xero Central article 🙂

I've updated your idea here to represent the first point for embedding the QR code on the PDF of the invoice. You'll see I've created ideas for the other points you've noted below.

If there's any progress for these we'll share on the respective idea/s. Thanks!

  19. Please remove the invoice amount from the "New Invoicing"

This should be optional for set templates like the classic invoicing where you could turn it off and on. It doesn't look great and prefer the older layout of the emails where you could control the layout more.
