New invoicing | Send - Rich text editor format
Please change the editor in the email copy, when sending an email & creating an email template, to a rich text editor. It would be useful to be able to bold/highlight particular lines especially when invoices are late & reminders are being sent
20 votesHi everyone, while we appreciate and initially provided a solution for the idea here within the new invoicing email modal, we wanted to return as after further testing this feature has needed to be removed.
That said, we know being able to add basic formatting to your emails is important to some of our customers and while the tool bar has been removed you can still add basic html formatting to your emails to bold, add italics or underline text within the invoice emails you send to customers.
- Bold = <b> and </b>
- Italics = <i> and </i>
- Underline = <u> and </u>
We understand not all customers are familiar with these tags so I've added an example image that shows the different tags that can be added and how these will show instantly within the email preview so you can make sure you email looks as you expect.
If we make any further plans around adding a tool bar back into the email window we will be sure to keep you updated of this here.

Sales invoice - Don't auto update email of contact
Is it possible for cash sales/one off payments to chose not to save an email address? Every time I do a one-off cash sale for a new/random customer, the email address automatically saves into the Cash Sale contact file. But the next cash sale invoice is going to a different email address, so while I can input the new email address, the one prior is printed on the invoice! It is getting very tedious having to go into the contact file, delete the previous email address and get back into the new invoice to reprint it every time I do a cash sale - which is a lot!!

9 votesThanks for your feedback, Carolyn. Appreciate the different use case and why you may not want information from a singular invoice to update the contact. We'll get an understanding of the demand for this here.
In the meantime, it'd be good to understand if recording as Receive money could help your flow here for cash sales so you don't have to enter contact details?

Bill Payments - Allow payments to be scheduled
When making a bill payment using open banking direct transfer from bank account, it would be nice to be able to schedule the payment - currently there is no ability to do that.
18 votesHi everyone, we have some updates in the UK with the bill payments method with Crezco. You now have more control of your cashflows with the ability to schedule bills to be paid at a future date using direct bank transfer. This helps to avoid potential bank charges for same day transactions, and missing due dates. Along with this you'll also be able to stay up to date with your payments with real-time payment status in Xero. Meaning you don't have to log into your bank to check the status of each bill payment. With an overview of all payments made using direct bank transfer, you have an accurate record of which suppliers have been paid, and when.
We know there are users from others regions also interested in the idea here and we'll share if there are any updates for expanding similar functionality in other places.

Bills - Remove compulsory Due Date on bills
Receipts sent to bills do not require due dates, having to have them as a compulsory item wastes a lot of time. Can you make this an Option?
Constantly having to fake a due dates and re-approve is not needed for 60% of bills.

Navigation | Bank Accounts - Drag and drop accounts to move
In Accounting and Bank accounts, i would love to be able to drop and drag bank accounts to put them in order, Currently you have to click each account to move it to where you need it. This is fine if you only have 10 or under bank accounts but if you get to over 100 plus it's a very slow process

Xero Product Ideas - Improve navigation & search
There seems to be a trend to hide the button that is used to post a discussion or submit a product idea amongst others. It appears that you click on a link that you think should take to the "submit new product idea" page, and when you get there and enter in your idea, you realise it was a search box that is searching for existing ideas. Fair enough, force me to search first, patronising but I guess it reduces Xero's workload (not mine though). But where is the button to submit the product idea? And how do I get rid of that drop down search box so that I can see if the submit new idea button is behind it? After some time, I discover that to submit a new idea, I need to
1) ignore the search box that I am presented with,
2) click on the "Browse Ideas" button which is not intuitive because I was just forced to search through ideas and didn't find one so why would I want to browse ideas now?
3) be presented with another search box that now turns out to be one where you can submit your new idea.
Why make it so hard? And why through implication do you want to misdirect the user?Why use the search box in one page where the user expects it to be used to submit ideas as a search only box and then in another page where the user expects the box to be used for searching only (that's why to get there you need to click the "browse ideas" button), why use that search box as one that can submit ideas?
On the first page, you suggest initially that the user will be able to submit ideas only to teach the user that the box that looks like it should submit ideas doesn't submit them, it only searches.
On the next page, you suggest that the link will take you to browsing through ideas and present another search box but this time, when the user isn't expecting it, this search box can also submit new ideas.
When designing new interfaces, count the number of clicks required and justify each and ever extra click you add to the process. And when justifying, try to ignore things that make Xero's workload easier, because Xero is here not to serve Xero, it's here to serve the users.
With the new product ideas page, change the names of buttons so they accurately reflect what the button will lead to.
When guiding the user (or forcing the user) to search first before submitting, make it clear that is what you are doing. Don't present a search box without clear and express writing saying that before you can submit an idea, we want you to search whether it has been suggested before.
When deciding whether to make the user do something, like search existing ideas, ask yourself whether the user is 1) the best suited person for that job and 2) if it is appropriate to have the user do something that Xero should be doing itself. Xero staff will be much more familiar with the existing new product ideas so they will be able to do a better job searching and will be able to do it quicker. And why would you want to have a user (who you have already frustrated due to the confusing process to submit a new idea) have that user do the search when you know they won't do as good a job and Xero staff will probably have to search for duplicates themselves anyway?

4 votesAppreciate the feedback, Martin. As you noted you do need to search ideas first and to create one you'll need to enter a forum and search where you'll then get an option to Post a new idea if lone of the results doesn't match what you're after.
Understand how this could be simpler and while we don't have any immediate plans on this, we;ll update you here if any are made.

Find and Recode - Grand total for line total column
When using find and recode it would be helpful to show the grand total of the line total column at the bottom. This way you know if the isolated transactions in your Excel worksheet matches with all the conditional filtered transactions in find and recode.

Reporting - Sankey Diagrams
I would like to suggest adding the capability to generate Sankey diagrams within Xero. Sankey diagrams are highly effective in visualizing the flow of resources, such as money, energy, or data, through different stages or categories. They could be used to illustrate cash flow, revenue distribution, and expense breakdowns in a more intuitive and engaging way.
By adding Sankey diagrams, Xero could offer users a more dynamic and insightful view of their financial data, helping them better understand how money moves through their business, leading to improved decision-making and reporting.

Hubdoc - Link bills uploaded from Hubdoc to Purchase Orders in Xero
We publish a large quantity of bills from Hubdoc to Xero. To implement a purchase order system we will need to be able to link these bills from Hubdoc to Purchase orders created in Xero. Otherwise Hubdoc is not really of use to us and will make the work load more.

NZ GST - Option to convert GST Return into a Bill
Once a GST return is filed, rather than creating a bill could there be an option to 'convert this GST return into a bill'? Then it will sit in the payables report (as a reminder to set the payment!)

Ever since Xero updated the online view to hide invoice info, I get one or two clients a month asking me what they're being billed for.
Of course all they have to is click for details, but users are funny that way... they're not seeing it, and there's really no good reason to have this info hidden. I wish there were at least a setting to show them as expanded/visible by default, or even just have the first bit revealed so people would notice that they can click to expand.
As it stands I have people who think I'm invoicing them with no explanation and no line items. For every 1-2 who ask, I'm sure there are at least 1-2 more who don't.

UK Payroll - Notification for cancelled leave
I have had a few scenarios where an employee requests leave and then I have gone into Xero and there are no requests. The employee has cancelled the request, but I have no visibility on this and so I have to reach out to the employee and check so could a notification be sent if an employee cancels a leave request before it is approved? Or if the leave request was left in Xero, but with a 'cancelled by employee' status or something? It is important to have visibility in some form.

New invoicing - View payments details within invoice screen
When reviewing a payment for an invoice, you need to click 3 times to review the transaction details..going into 4 screens, as it's on a separate screen (1-invoice 2-payment 3-transaction 4-transaction details). It would be more efficient to have the transaction details screen build into the same screen as the transaction screen. I don't see a need for a 4th screen, especially when you have click to go back to the previous screens when investigating multiple payments.

6 votesHi Tom, it's already possible to pay superannuation contributions weekly. Auto Super allows you to make superannuation payments as regularly as you'd like. Are there further enhancements to this process that you feel would make it easier for you to make weekly super payments?
