New Invoicing - Show quantity in Item drop down
You've finally forced us into the new invoicing. Lots of promises were made to fix what was broken with it. Unfortunately these promises are just as broken as the new invoicing. Here's what needs fixed:
When a new invoice comes up automatically set the focus to the name field so it's ready to receive data. Have to click on it.
Fix the date field. If I use the down arrow key it opens up the date widget But then using the left and right arrow keys should move the date off of the current date to either tomorrow or yesterday.…
1 voteThanks for your feedback, Randall. I want to assure you we're still working on features and improvements within new invoicing.
In order for others in community to know what they're voting for and help our product teams get understanding of the specific changes our customers would like to see it's best that these are tracked separately on product ideas site. There are existing ideas for some of the points you've raised here.
Relating to your point on the date field - I'd recommend connecting with our specialists to confirm the behaviour that you're getting and the specific date field this is related to. Once you press enter or space after opening the calendar widget you should be able to use your keyboard arrow keys to navigate the calendar.
I'll update the title of your idea…

New invoicing - Use persons name from Contact record (rather than contact name)
We would like to see customers contact person's name appearing on the invoice we send. One customer can have different people/contacts for different projects/invoices. Currently we can only pull out the PRIMARY contact's name to the invoice, which means if we would like to add a different name, we have to REMERMBER to edit customer's primary contact to a different person. It is very time consuming and easy to forget too.
Is there any ways we could simply add a contact person against each invoice instead of against each customer? It could be any extra fields we can use, even…10 votes -
New invoicing - View payments details within invoice screen
When reviewing a payment for an invoice, you need to click 3 times to review the transaction details..going into 4 screens, as it's on a separate screen (1-invoice 2-payment 3-transaction 4-transaction details). It would be more efficient to have the transaction details screen build into the same screen as the transaction screen. I don't see a need for a 4th screen, especially when you have click to go back to the previous screens when investigating multiple payments.

Invoice Template - Associate files to a specific template that are included with invoice raised
Can you please add a function for adding and associated file to invoice setting in order that it automatically associates to every invoiced raised using a standard template
3 votesHi team, appreciate the logic and that there may be certain files that you would always want to include when sending invoices to a customer with a specific branding theme.
While it's not possible to attach files as separate documents on a theme, you could look to use advanced branding and customise the Docx template to include the relevant files as additional pages on the template.

Supplier Credit Notes - Search feature when applying credits
Being able to search for original bill to apply credit against rather than scroll through whole list of open bills. This will save a lot of time & errors.

Invoices - Identify invoices not assigned to a Project
When using Xero Projects, we can assigned Bills and Sales Invoices to a Project.
However, it is possible to create a Sales Invoice and easily overlook assigning it to a Project.
There is no way to identify Sales Invoices which have not been assigned to a Project. (A recent update provided a feature to do this for Bills but not Sales invoices)

New Invoicing - Add 'attach file' button at payment
Reducing clicks:
When applying a payment to a bill or an invoice, I usually want to attach a source document (image of check, confirmation of our POS system, etc.). Right now I cannot do it while applying the payment. Right now (in 'old' invoicing/bill) I have to instead apply the payment, find myself in the accounts transaction overview, go back to invoice, click on the payment I just applied and then I have to option of uploading/attaching a document. Very inconvenient.13 votesHi community, thanks for your input for the idea here. While we're in the process of releasing an update for applying payments to an invoice we want to be upfront here that this does not involve being able to attach a file when making a payment, from the invoice.
Once a payment is applied, you can click within the banner to 'View invoice' then on the payment link within the invoice where you can attach a file directly within the payment transaction.
We will continue to keep a track and share if there are any plans made around this idea, here.

New invoicing - View total Net GST position
- New invoice screen – in needing to see the NET Total GST position, this appears to be no longer available. How can calculating it manually be avoided now?

New Invoicing - Keep Invoice Options to copy invoice and retain all the data
We create multiple invoices with deferred income. Currently I can approve the sales invoice then under "Invoice Options" copy to a new invoice and all the data is pulled over. I can then adjust the nominal ledger to the balance sheet and approve that, then again from the "Invoice Options" I can add a credit note to the P&L. I can then copy again to create a new sales invoice for the date when the income is due to the P&L and create that and once again add a credit note to credit the balance sheet. I realise this might…
2 votesThanks for sharing your feedback and the detail on how you use invoicing here. Just to make sure I understand fully and can share back with the team - when you say you want to retain all the data. It is currently possible to copy an invoice to a new draft invoice for the same contact, however is it that you are wanting the contacts defaults to be applied to the new invoice?

Sales invoice - Don't auto update email of contact
Is it possible for cash sales/one off payments to chose not to save an email address? Every time I do a one-off cash sale for a new/random customer, the email address automatically saves into the Cash Sale contact file. But the next cash sale invoice is going to a different email address, so while I can input the new email address, the one prior is printed on the invoice! It is getting very tedious having to go into the contact file, delete the previous email address and get back into the new invoice to reprint it every time I do…
11 votesThanks for your feedback, Carolyn. Appreciate the different use case and why you may not want information from a singular invoice to update the contact. We'll get an understanding of the demand for this here.
In the meantime, it'd be good to understand if recording as Receive money could help your flow here for cash sales so you don't have to enter contact details?

Quotes - Ability to change the PDF file name
Have the ability to rename the PDF file attachment so when you update your system to send Estimates you can rename the PDF as they always get sent as quote and this is unable to be changed or you can have the PDF file name anything you like just having the option would be nice
23 votesHi team, we appreciate the idea raised here and can understand how this could help with customer visibility and file management. Being open this isn't something we have plans for right now but will continue to keep a pulse on the support for this here and share if there are any plans made.

New invoicing | Send - Rich text editor format
Please change the editor in the email copy, when sending an email & creating an email template, to a rich text editor. It would be useful to be able to bold/highlight particular lines especially when invoices are late & reminders are being sent
23 votesHi team, I know it's been some time since we last updated this idea and want you to know that we're still keeping a close watch on the support for formatting in invoices here
As shared in my last update, currently you can add basic html formatting to your emails to bold, add italics or underline text within the invoice emails you send to customers.
- Bold = <b> and </b>
- Italics = <i> and </i>
- Underline = <u> and </u>
You can see my attachment below that shows an example of how these can be added and the side by side email preview that'll reflect how this is shown in your email.
Right now, this isn't something we have plans for changing but will be sure to share an update if there's any progress. Thanks

Customer Statements - Totals for each column
It would be useful to look at an activity statement to see how much a certain contact has been invoiced regardless of whether they have paid or not. At present, I can only see outstanding balances.

Invoices - Checklist templates to print and attach
allowing users to create proffessional comprehensive mechanial & electrical checklists, printable files attachable to jbs cards
job card creations with details on faults
parts sheets for parts used & ordered1 voteHi Zachary, appreciate your feedback here however this isn't something we have plans for and not getting a lot of community support we will soon remove your idea from the forums.
One way you could look to achieve this, would be to use description only lines within your invoices where you specify faults. You could also use the Packing slip option (available from the Print button) to export a PDF of the invoice that just includes the description and quantity of your lines.

Nab BookKeeper Intergrations
Intergrating with Nab Bookkeeper
1 voteHi Zachary, appreciate you sharing your feedback on how you'd find Xero even more powerful for your business.
Being upfront we don't typically develop integrations ourselves. However we have a Developer Centre where interested parties can get information if they'd like to develop an integration with Xero.
I'd recommend connecting with Nab bookKeeper to see if this is something they'd be interested in building and you're welcome to share the link above.

Quotes - Tax status & Delivery Address when invoice is created from quote
It would be nice if when converting a quote to an invoice that Xero would be able to recognize tax status of customer, and would automatically bring up delivery address.

Customer Statements - Include prepayments
Customer Statements - Would be good if customer statements could include a prepayment balance somewhere on the statement. My client receives a lot of prepayments and would like customers to be able to see at a glance their remaining credit.
22 votesHi team, wanting to jump in to provide a little clarity as there are 2 different points arising through this idea.
Currently, customer prepayments will only be shown on a customer's Activity statement, not Outstanding statements.
The way prepayments work in Xero, these only impact the Accounts receivable once it's applied to an invoice, therefore they don't impact the total of the statement balance.
If you want to impact the total balance, you may want to consider entering these sort of payments as Overpayments in your account. You can read more on how this works in our Xero central article.
To be open here, we don't have any short term plans for changing how these transaction types are treated in statements.

Payments - Autofill for writing cheques/payments to the same Payee/supplier
When writing Cheques or payments would it be possible for an auto infill/ recall of the previous payment made to the Payee/Supplier, this would save time if the details are always the same and only the amount may vary, it would ensure that the correct/same account is always used giving consistency.
Should any of the details differ then these can be input as currently but an auto infill would save me an awful lot of time as I don't have a bank feed to all the bank accounts I oversee.6 votesAppreciate it's been some time since you originally started this idea, John - Just to confirm what you're asking here. Would this be when adding a manually applied payment to a bill? Or when reconciling in the bank account?
- Don't see your idea?
