  1. Repeating Invoice: Sales Overview Screen - add a Last Updated Date to the Overview Screen

    Purpose: We use repeating invoices for the Auto Pay feature but most invoices need some form of adjustment before being sent each month. With a list of repeating invoices that goes on for pages it would be great to see the last date/time each invoice had been updated so that if you are interrupted during the monthly updating you can tell where you are up to when you come back to the Sales Overview screen, rather than needing to keep track of this somewhere else.

  3. At the moment the only option to allow us to offer Auto Pay via Stripe is to set recurring invoices to "approve for sending". Clients receive an email from Xero when their invoice is ready and an email with the payment confirmation linking to the paid invoice and their receipt. Clients on a subscription do not need to get the initial invoice and this confuses many of them. I would like the option to disable sending the invoice when Auto Pay is active, where the only email they receive is the payment confirmation.

  4. When an invoice in emailed in Workflowmax it is marked with a tick as “Sent”, however this does not carry through to Xero. Is it possible to add this feature so that invoice payment reminders in Xero automatically work without the need to manually change the invoice status to “Sent”?

  5. When a customer accepts a quote via the link the email is sent to the users email address - suggestion is to have it sent to the REPLY TO email address and / or the USERS address.

    Hi team, I know it's been sometime since this idea was initially raised and we wanted to update you all here.

    We appreciate and understand why some businesses would prefer the acceptance of a Quote be sent to the organisation's reply to email address, rather than the user that initially created the Quote.

    While our product team have reviewed and are attentive to your interest in this, we want to be upfront that this is not something we currently have direct plans for changing the behaviour of.

    Our team will continue to review this idea and when we're in a position to assess notification and communications for Quotes, we'll share if there are any updates around this, here.

  6. It would be great if we could add ageing on client/customer statements. (Current, 30, 60, 90 days) Many clients have requested that the ageing be displayed on their statements. Current, overdue and total isn't detailed enough..

    Hi everybody, coming across from the previous forums we know this idea has a lot of interest.

    There is a way of using Xero's reports to accomplish what you're asking here and save the format so you can easily access and send this report to your customers outside of Xero.

    Running the Aged Receivables detail report you can choose how many ageing periods you'd like to show and set the period to '30 days'. Simply Filter the report by Contact and Update to run.

    • Once you've got it set up, save as Custom so you can easily access this format anytime
    • If you deal with groups of contacts this also means you could Filter for multiple contacts to combine the view into one report rather than multiple customer statements 🙂
    • Export the report to PDF, where you can send to customers from your email system outside of Xero

  7. For when creating an re-occuring invoice, there is occasions, where invoices must be sent at specific times of the month, for example...

    • Last Day of the month
    • Every 2nd Tuesday
    • Last Thursday of the month

    The reason behind this, is because some companies who you are invoicing operate specific payment cycles, and in order for a small business to get paid within the terms of their invoice ( Late Payment Act 1998 & your own article on [ https://www.xero.com/uk/guides/invoice-payment-terms/ ] - Payments terms are getting shorter )

  8. How come the process of designing invoices is so painful? It would be great to have a built-in drag and drop invoice designer. I realise it won't be easy but it's mad that our only option is to design them in Word. There are so many sites that allow similar functionality, albeit for non-finance related areas like marketing.

    Hi everyone, I understand this idea is about WorkflowMax. 

    Xero is retiring its WorkflowMax product on 26 June 2024 and has entered into an agreement with tech-led business advisory firm, BlueRock, who are acquiring the brand. As part of this, they have commenced plans to offer a new product. BlueRock’s intent is that their new WorkflowMax product, WorkflowMax by BlueRock will be available to customers in early 2024. To reflect these changes we're moving this idea to 'not planned'.

    Hi community, there was a brief window in which users were able to unintentionally code line items to CIS codes. However, there is more complexity in calculations for CIS and work that's needed to reflect this appropriately.


    Thanks for starting an idea in this, we'll begin to track the appetite as a possibility for future work.

  11. Some larger companies with automated systems do not want reminders going to the same email address that the invoices go to. Doing this results in a duplicate invoice going into their system, which stops the payment going through as they then need to manually sort out what's going on. They have one email address for the invoice and another for reminders, to avoid that duplication.
    Currently, we need to leave the email address on the contact, then turn off invoice reminders and make a note to manually send reminders.

  12. I would like to be able to send statements using different email templates depending on how old the debts are. Smart lists seem to have the functionality to filter what I want but no option to send statements based on those lists.

    Hey community, thanks for sharing this idea.

    For those who aren't aware, within the Email Settings it is possible to create a number of different templates to reflect the wording you'd like to use, depending on the age of the debt. The Add email templates support article has detailed steps on how to do this 😊

    As mentioned, Smart Lists are a great way to filter your customers and can be used as a tool to identify the customers who should receive their statement with each template.

    However as you have found, it is currently not possible to send statements directly to the customers from the Smart List. We understand this is the main ask of this idea, so we'll continue to monitor the suggestion to get a clearer understanding of users that'd like to see this developed.

  13. Ability to create Sales Orders as well as Quotes and Invoices to make it easier to see what is on order but not yet completed and invoiced.

  15. When using the search fund for INVOICES current options are: Enter Number, Reference, Contact or Amount. It would be nice to also be able to search by the account number issued to your clients.

  16. Encryption of PDF documents from within Xero.

    Purpose: To ensure Tax Invoices are SARS compliant (VAT404 Guide - Tax invoices must be sent in encrypted format (at least 128 bytes), over a secure line or contain an electronic signature)

  17. On an invoice search from 'All' or 'Paid' Invoices - it would be useful to able to select any or all invoices, and see the £ total of the items selected. This function exists in the Invoices 'Awaiting Payments', and 'Drafts'. On the 'Paid' invoice section, you can select the invoices but it does not show you the total £, only number of items selected. From the 'All' section there is no ability to select any invoices. It would be great if in all sections where you wanted to you can select any / all invoices and it calculates the…

  18. It is all too easy to accidentally upload a batch of sales invoices to Xero from the wrong period. It can then take absolutely hours to delete these as Xero does not have the functionality to remove these en masse.

    Hi community, thanks for sharing the challenges you face around deleting invoices.

    Right now in Xero, invoices with a Draft status can be deleted in bulk from the list view - simply select the invoices and you’ll see an option to Delete at the top of the list.

    We understand that for many in the thread here you’re referring to the ability to bulk remove invoices that have an approved status(bulk void) and I have just updated the title of this idea to better reflect this.

    This isn’t a feature we have planned at this stage, but maybe something we explore longer term as a possible enhancement to the list view. For the time being, while not within the product for those with more technical resources there’s capability via our API that you may like to consider.

  19. Entering multiple payments to an Invoice in Xero. Currently it exits the invoice when you enter a part payment in the payment section. I often want to enter several payments for cash received and card payment received on several days and have to keep going back into the invoice for each payment.

    Hi team, thanks for your interest and sharing in this idea. We appreciate if you're making manual payments against an invoice and have more than one to apply, why you'd like to remain on that invoice, however we want to be open that this isn't something we have planned right now.

  20. Draft Bills - Ability to create Credits from Draft Bill sent directly to Xero email

    Suppliers email credits as well as Bills, why not have the ability to process a bill or credit through this area, a supplier is not going to invoice credits to one email address and invoices to another. Why can we not select if it is a bill or credit and process.

    Purpose: to allow processing of credits through the Draft Bills seamless

    Hi community, thank you to everyone who's shared and supported the ability to email credit notes to Xero.

    We understand why you'd like to be able to automate the flow and entry of Credit Notes in Xero, however this isn't something we have plans of developing within Xero right now.

    As mentioned in my last update it's possible to currently automate entry of Credit Notes in Xero, by publishing these through Hubdoc -You can find steps to connecting Hubdoc to your Xero organisation, or detail on publishing Credit notes, on Xero Central.

    If there are any changes put in place for this, we'll let you know.
