  1. "View Online" is still in the template for Australia and I don't want to see it. I also operate in other Xero Entities in US, Singapore, UK, Canada, India. I can toggle it off there what's Australia's issue?

    Hi team, we appreciate your feedback here and I wanted to provide an update to confirm how this option currently works.

    If you do not have any payment services set up in your organisation the option to toggle off 'Text links' will be available.

    As soon as a payment service has been partially set up in your organisation this removes this option, regardless of whether that payment service is applied to that particular branding.

    We don't have any plans for changing the behaviour of this at present but will continue to gather and consider interest through this idea. Thanks

  2. Would be great to be able to save a default, or even multiple templates, for the Quote TITLE and SUMMARY. We are currently retyping or copy+pasting common quote titles and descriptions for every single quote. Most of our quotes have the same title and a similar description, that could be built into a template or default text if you'd add that feature.

    Hey Dean thanks for bringing this Idea to us, we always appreciate our customers thoughts on how we can improve Xero! This Idea has been moved to Gaining Support so others can vote and comment on this. We also wanted to let you know that there is a work around for tis idea, you can create a draft quote with all the relevant details and use that as a base to 'copy to' to reduce the time spent filling out the same details. Don't forget to let you friends and colleagues know they can vote on this idea now 🙂.

  3. Summary:
    Allow users to add a dedicated surcharge (e.g. insurance, card fee, handling) that appears as a distinct line below the subtotal on invoices, rather than as a regular line item.
    Current Limitation

    At present, any insurance recovery or surcharge must be entered as a standard line item. This:
    Makes invoices look cluttered when the fee is not tied to specific products or services.
    Can cause confusion for clients, who expect insurance/fees to be displayed separately (similar to how shipping or payment surcharges often appear).
    Requires manual placement and formatting on each invoice, reducing efficiency and consistency.

    Hi Joshua 👋It's really helpful for us to understand having the ability to add a surcharge or insurance line to invoices is a desirable option. We understand not having a dedicated field for surcharges or insurance can make it difficult to clearly communicate these extra costs to your customers. Currently manually adding a line item for the surcharge or using a custom branding theme to include the information are the only options💡Right now, we're not planning to add this as a specific feature, as our current focus is on some other features that will benefit a wider range of our customers, however we will monitor this for votes and comments from other users 📣

  4. In Recurring invoice templates provide date placeholders in numeric form, so you can format as YYYY MM, e.g. 2024 12, 2025 01, 2025 02 etc. Rather than the most similar option of 2024 December. This would also be beneficial within the decriptions of the lines to show dates from/to e.g 2024-12-03 to 2025-01-02 (for a monthly subscribtion or similar), instead of it populating as 2024-December-03 to 2025-January-02.

  5. New Invoicing My issue is that when an Invoice has been amended after it has been sent. I have found that currently the tick is still in the box as Sent . I think it should not be ticked until the amended invoice has been emailed again. I sent it twice to a customer Also The History and Notes on that Invoice Show it was updated but not emailed straight after I edited it. Anyone else having issues with this?? Maybe I should log a support call for it. If so let me know

    Thanks for your idea and feedback, Maria. I'm just checking in with the team on the history for the send in the second part of your post here.

    In terms of the sent box being ticked. This is automatically ticked when the invoice is initially sent and does not change when an invoice is subsequently edited. Appreciate this might be something that would help your processes and I've slightly amended the title of the idea for this.

    While we don't have any plans for this right now, we'll begin to get a sense of the interest in this, here.

  6. I'm invoicing for June, and I'm clicking "add last items" so that I can copy and paste the descriptions, and it added the items from the last paid invoice and not the last invoice - I know because the last invoice had line items for May, and it added the line items from April. The May invoice for the client I'm invoicing is still open but the April one is paid and closed.

    I just want the thing to do what it says on the box.

  7. Currently, to invoice from a quote = a standard invoice. There needs to be an option to create an repeating invoice also. This is consistent with the request to change a standard invoice into a repeating invoice also.

  8. Quote Titles should show up in the reporting so that clients can see which projects they are looking at. This is much different than a reference which is typically a job or project number that the client needs reference to.

  9. Permanent inventory item on a specific invoice template

    For example, we are an automotive repair shop
    If I was to have a specific invoice template for 'vehicle servicing' and would like every service invoice to come up with Sundries and Freight automatically

    This would be a great way to save time as well as making sure everything is being charged out correctly

    Hi everyone, thanks for your interest in the idea here. While we don’t have immediate work planned for adding the ability to enable permanent items within an invoice template, as mentioned in my last update an option for now would be to create a 'dummy' contact that you could create invoices for and leave in a draft status. When you want to use that invoice as the template you can then use the copy to option.

    On a separate note, our teams are doing some more discovery to better understand our invoicing users and we wanted to engage you all here. 

    As we continue to plan further developments within invoicing, our product teams would like to better understand our invoicing users for future improvements.   11. Make the Customer Field AutoFill in new invoicing

    In the old invoicing - which by the way was must better and more reliable, the customer field would autofill if it was setup to autofill within the customer set up. With the new invoicing this field no longer autofills. Please Fix

  12. With PayNow, we want the customer to use our stripe and pay on the quote. The idea behind this is that customer pays and then we send the product and issue the invoice. If we issue the invoice and then customer changes mind and doesn't pay, it will be a problem and we need to delete the invoice. So, adding Pay Now to the quote will solve this problem.

    Thanks for sharing details behind your needs in this request, everyone.

    Right now, accepting deposits with Stripe (that’s in the process of being rolled out) is limited to approved invoices rather than quotes, so paying directly from a quote isn’t supported in the current release.

    We do see the value in enabling payment earlier in the sales flow, and future plans for deposits include exploring earlier stages such as quote-based workflows. We’ll return with more news here if, and when that becomes more concrete.

  13. When we create a bilk of invoices we are stuck with Xero trying each time to allocate an existing Credit Note that will possibly never be allocated. How do we disable this annoying function?

  14. Allow invoices to be paid VIA Zelle. Some business bank accounts hook directly to zelle, they don't have any fees like stripe, etc. I prefer to get paid VIA Zelle so I can keep more of the money I earned.

    Hi everyone, while we don't have a direct integration with Zelle as a payment service, you could look to setting this up as a custom URL. We have some information on this here.

    One important thing to note is that when an invoice is paid via a custom URL, you need to manually apply a payment to the invoice, or reconcile the statement line when it shows in your bank account.

    While we are continuing to track the interest around a integration with Zelle as a payment service here, we want to be open that we don't have any plans for this at this time.

  15. For years, Xero’s search bar worked in a way that allowed power users to click the search icon and immediately start typing or pasting. The input would automatically receive keyboard focus, so workflows that rely on quick data entry were seamless and efficient.

  17. There is system wide error in the back-end template that you use to generate invoice emails. Please refer screen captures attached. You will see that I have two lines in my Invoice 005614 that are text descriptions of services only so are effectively subheadings and have no account code and no "value". They appear correctly in the PDF invoice with a blank in the "Amount NZD" column but they appear incorrectly with a value of "0.00" on the email the customer receives. I'm annoyed at myself that I have never noticed and reported this bug before because it looks these…

  18. In old invoicing, when you used Copy and Merge into a new invoice, it kept each of the original invoice's items together in order, including the first line description. In the new Invoicing, it groups together all of the like items from each invoice which is incorrect. This needs to be addressed.

    Hi Lisa, it'd be good to get a closer look at some of the invoices you've copied and merged from and to, so we can get a better look at what's going on for you here.

    I've just tested creating invoices with Copy and merge from the list view using the same inventory items, however these are created as separate lines on the new draft invoice.

    If you can raise a case with our team of specialists through the Contact Xero Support option at the bottom of this page, they can get more detail to investigate and confirm.

  19. Is it possible for cash sales/one off payments to chose not to save an email address? Every time I do a one-off cash sale for a new/random customer, the email address automatically saves into the Cash Sale contact file. But the next cash sale invoice is going to a different email address, so while I can input the new email address, the one prior is printed on the invoice! It is getting very tedious having to go into the contact file, delete the previous email address and get back into the new invoice to reprint it every time I do…

    Thanks for your feedback, Carolyn. Appreciate the different use case and why you may not want information from a singular invoice to update the contact. We'll get an understanding of the demand for this here. 

    In the meantime, it'd be good to understand if recording as Receive money could help your flow here for cash sales so you don't have to enter contact details?

  20. To create a credit note from an invoice without applying it to the invoice.
    Currently the only option is ‘create and apply credit’.
    We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

    Hi team, as mentioned in my last update. In the way credit notes work in Xero today, generally this is a time saving mechanism, so you don't have to take extra steps to apply the credit to the invoice.

    However we understand from the feedback here why this doesn't match your workflow. We are continuing to track the interest from community through this idea but don't have any plans for this at present.

    Currently, from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option.
