  1. Xero Network - include PDF on invoices sent through Xero Network when those invoices are raised every month from repeating transactions and sent automatically

Currently, only the invoices raised manually have the PDF attached if raised manually, but not on the ones that are auto posted. Its time consuming to then have to download each one and then go to multiple companies to add it

Thanks for highlighting this opportunity. We understand the request to have PDF attachments automatically follow an invoice when it's sent through the Xero Network. Having everything arrive together could make invoice processing simpler and reduce manual follow-up between businesses.

We've moved this idea to Gaining Support so we can continue gathering feedback. If this could improve your workflow, add your vote and let us know what you'd expect to be included with the invoice.

  2. The "Invoicing - Use drag & drop to copy line details" feature you have just released is not helpful.

Please bring back drag and drop text in invoicing. I used to be able to select one word in the description field (such as the purchase order number brought through from the project) and drag it to the reference field.

I also used to be able to rearrange the words in the description field by dragging and dropping words to another line or within the same line.

I still don't understand why this feature was removed and has not been put…

Thanks for submitting your idea on Xero Product Ideas. We appreciate you taking time to let us know how we could improve Xero for you.

Your feedback will soon be reviewed by our Community team, and in the meantime this can begin to build support with votes from other community members.

  3. This is not just an invoicing issue, but there is no option to choose everything.

The Invoice, Quotes, Bills and Purchase order pages all have differing layouts and features available.

For ease of use and continuity, why do all the pages not have the same layout and functionality?

I don't understand why all the services don't have the same features. You can do something in quotes, that you cant do in invoicing. Like dragging and dropping text, you can do it in quotes so surely it can't be that hard to make it available in invoicing again as well, like…

Thank you for sharing your feedback, Nicole. We’re continuing to think carefully about consistency across the actions and layout of our features as the product evolves, especially as more shared components (like the table used across invoices, purchase orders, bills, and quotes) are introduced into the new experiences.

That said, each feature also has its own distinct needs. While the new experiences across these pages will feel similar, there will be differences designed specifically to support the users and workflows for each one.

Although we’ll move this idea to Not in Pipeline as it’s too broad in scope, I do want to acknowledge that creating a more succinct and harmonised experience across features is very much top of mind for our product teams.

  4. We are a Xero user based in Malaysia and would like to submit a feature request regarding the Malaysian e-Invoicing process.

Currently, whenever we issue an Invoice, Debit Note, or Credit Note to a customer that has a valid Tax Identification Number (TIN) and Classification Code, we are required to manually add MyInvois@invoi.ci as a recipient email each time before sending the document. This manual step is repetitive and increases the risk of human error.

We would like to request that Xero automatically populate MyInvois@invoi.ci as a default recipient email (under the BCC column) for customers who have:

    • A valid…

Thanks for bringing this to the community. We understand the request to have MyInvois@invoi.ci automatically included when sending Malaysian e-invoices where the relevant TIN and classification details are in place.

This could make sending compliant invoices, credit notes and debit notes more straightforward, particularly for businesses sending these regularly.

I’ve moved this idea to Gaining Support so we can keep gathering feedback. If you’d find this useful, add your vote and share how you’d like it to work.

  5. Can Xero consider making the following improvements/updates to Invoici if these features are not currently available nor in the pipeline?

    1. Add a Bulk submit button (whereby users can check different bills/invoices to transmit to IRAS)

    2. Add a Fillter function so that users can filter the list of Invoices/Bills by identifiers such as Invoice/Bill number, Contact name, etc.

    3. Add an Export function (to export the list of Invoices/Bills as Excel, .csv, PDF, etc.)

  6. Default "Print PDF" filename for Quote PDF documents should not have spaces and dashes removed from the Quote number text before forming the document file name.

Example: If I enter "Q-5678-9 123 Fail St" into the Quote number field, Xero "grooms" the PDF file name text to be "Quote Q56789123FailSt.pdf"

This creates unnecessary additional work to un-groom the file name every time a quote is printed to PDF.

By comparison, this unnecessary false grooming does not take place when using the Print PDF function for a Xero Invoice.

Thanks for highlighting this improvement, Jonathan.

Keeping spaces and hyphens in quote PDF filenames could make downloaded files easier to identify and manage, particularly when saving or sharing multiple quotes.

We've updated the status to Gaining Support. Add your vote if this could help your workflow and let us know what you'd like the default filename to include.

  7. Allowing GST inclusive and GST exclusive options for all line items on an invoice.

This is an option when raising a payment in the system, where you can nominate whether a line item is either GST inclusive or exclusive.

On a invoice, it a blanket option, sometimes when you are on-charging an item and also charging a internal item and they might have different GST inclusion or exclusions

✨ Thanks for sharing this idea. We’re moving it to Gaining Support so we can build visibility and gather more feedback from the community.

The request is to choose whether each invoice line is GST inclusive or GST exclusive, rather than applying one tax treatment across the entire transaction. This would be especially useful when an invoice contains a mix of charges, such as billable expenses and services, where some lines may need to be entered inclusive of GST and others exclusive.

Having this flexibility could help reduce manual price adjustments, improve accuracy, and make it easier to pass on the correct amounts to customers. If this would help your workflow, please vote for the idea and share examples of how the current limitation affects your business.

  8. In the Xero Contact details page, it would be really useful if the GoCardless invite link was shown, at the moment we have to log into GoCardless separately and find the link to invite new customers. it would save time logging into separate sites.

Hi Paul, thanks for sharing this idea. We can understand how having the GoCardless mandate link available directly from the contact record could make setting up and following up on direct debit arrangements easier.

I've updated the status to Gaining Support so we can continue tracking community interest.

It would also be helpful to hear how you'd like this to work. Sharing your preferred workflow will help give the team a clearer picture of what would be most useful.

  9. Show optional CC processing fee in the quote if customer chooses to pay that way. I am currently having to create a new line item and manually calculate CC fees. Would save alot of time if the quote total showed the stripe fee automatically.

Appreciate your time to suggest this, Greg.

Being able to show estimated Stripe processing fees on a quote could give customers greater visibility of the potential payment cost before deciding on their payment method.

We’ve updated the status to Gaining Support so we can continue tracking interest. Add your vote and share your feedback if this could help your workflow.

  10. The long awaited for deposit/part payment option on invoices is finally here however when you send these invoices, the system will not record them as "sent" which means reminders do not go out. Once the deposit is paid, if you resend the invoice, it still does not show as sent and no reminders go out. You have to remember to go back in to every invoice and manually tick the sent box at the top. Please can we have a system which allows reminders to be sent on invoices that were sent asking for a deposit.

Thanks for highlighting this improvement, Kirsty. Having invoices with deposits automatically marked as Sent to trigger payment reminders could reduce the need for manual work.

  11. Sending invoices from WFM and receipting the payments in Xero - the standard receipt template in Xero needs an option to show just the billing address name without the contact name appearing as well. At the moment the standard receipt template in Xero can’t be changed, it would be good to be able to have an option to hide the contact name while keeping the billing address name visible, especially when the billing name is different from the contact name. The only way to change what appears on receipts is by using a custom DOCX template but this won’t work…

Thanks for raising this idea, Trina. Being able to hide the individual contact name on standard receipts could help in situation when it differs from the business being billed.

I’ve moved this post to Gaining Support so we can continue tracking interest. What other information on a receipt would you like to customise on standard template?

  12. Can we have the ability to automatically have each sales invoice shown as surname first, followed by their first name. Instead of the manual task of having to go into their contact details and changing this manually. In our business (as I am sure many other businesses also do) we reference our customers by surname for their jobs.

We appreciate you raising this idea, Julie. Having the ability to choose how customer names are displayed on invoice list could make it easier to meet different business, cultural, or regional naming preferences.

We've updated the status of this idea to Gaining Support while we continue monitoring community interest.

Currently, the name shown on an invoice reflects the contact name saved in Xero. If required, you can edit the contact name so it displays in your preferred order.

Your votes and feedback help us understand how valuable configurable name formatting could be.

  13. Allow customer to choose payment amount especially in iPhone app tap
And pay feature. My clients pay a deposit but sometimes pay in instalments. There’s no option to choose a specific amount … it’s all or nothing.

Thanks for sharing this idea — I can see why this would make a difference for businesses taking deposits or stage payments 🙂

I’m going to move this idea to Gaining Support so we can get a better sense of how many people want this too. If it would help your workflow, please add your vote and share a comment about how you’d use it — that kind of detail really helps the product team understand the need.

We’ll keep an eye on the feedback here and share any updates when we have them.

  14. Invoices - Please could we have an option for due date to calculate 45 after the invoice date and then end of the month? EG invoice date 1st May 26, due date is 1st May 26 plus 45 days = 14th June, EOM = 30th June (due date). This is a common way to calculate due date in Southern Europe. Thank you!

  15. Kia ora,

I live and operate in New Zealand, where Xero was first created. With living in New Zealand, we use a lot of Māori words in our everyday lives.

That said, I just created a quote for an upcoming photoshoot which is going to be held in a town in the Bay of Plenty called Ōmokoroa. But fortunately, the marcon that appears above the Ō turns into an L when the quote is exported. Can you please let the development team know about this issue please?

Appreciate you raising this, Caleb. Supporting macrons consistently throughout Xero could help ensure names and other information are recorded accurately.

We've moved this idea to Gaining Support so we can continue gathering feedback. We'll keep the team updated on the interest and use cases shared here as they consider future improvements.

  16. I want to delete a number of invoice templates in Xero as the bank accounts relating to these templates are closed and we no longer require the invoice templates. I'd like to be able to do this cleanly without having to 'delete and replace'. I simply want to delete an invoice template without having to replace it with another invoice template that is unrelated. My methodology is to clean up, remove and simplify the invoice template options.

Thanks for bringing this idea to the community.

We understand the request to delete invoice templates that are no longer needed without having to replace them with another template. Having more flexibility to manage historical templates could help keep your invoice settings organised.

Hi Roy, thanks for sharing this idea. We can see how having more flexibility in the Products and Services list view, including the ability to customise or add columns, could make it easier to review item details at a glance.

At the moment, additional item information can be accessed by opening individual records or exporting the list to CSV for review in a spreadsheet.

I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are specific fields or columns you'd find most useful, we'd love to hear more about them.

  18. Is anyone else having issues with previewing an invoice?

After generating an invoice, I always preview it and then copy the customer name and then download a pdf to save on my shared drive. Now the Preview is showing all distorted and Xero will not allow me to copy. Some times when clicking on preview. it works and and some times it doesn't. Doesn't matter what browser I am Using it happens. I have even used another laptop and it is happening. Even changed the invoice template to older one and still happens. This is doing my head in.

Hi Mark, thanks for all the detail you've shared with our Xero Support team surrounding the invoice preview and drag & drop within invoices.

I see you've already voted for the idea around drag & drop within invoicing and if there are any updates for this we'll share with you there.

I'll also re-open your idea here so we can get a better sense of the wider interest in being able to copy & paste contents from the invoice preview. We'll make sure to let you know here if there's any progress.

  19. Invoicing - Awaiting Payment list - Display average number of days they pay in

When looking at the Invoices Awaiting Payment list, it would be very helpful to see the average number of days that customer pays in – so I know if it’s time to start chasing them.

Purpose: There’s no point in chasing an overdue invoice if I can see that it’ll likely be paid tomorrow. As it is, it takes 3 clicks to find that stat.

Thanks for sharing this idea 😊. We can see why having the average number of days a customer usually takes to pay visible directly in the Awaiting Payment list would be helpful.

At the moment, this information is available on an individual contact record rather than in the invoice list view. We’re moving this idea to Gaining Support so we can better understand how many customers would like to see this surfaced more directly in the invoicing workflow.

We’ll continue to keep an eye on the feedback and update you here if there’s any news to share.

  20. Serious limitation in Xero is TB period control. Currently the TB is created using transaction date, so late bills effect prior period instead of falling into the current account period. This is a key feature of any accounting system and a major limitation of Xero for SMEs.

To make this work it feels like a very simple change is required:

    • ability to select period when entering a bill, sales invoice or journal (drop down field)
    • ability to produce TB by either date (current set up) or period (field referenced above)

This seems like such a simple alteration and would open…

Hi Ben, thanks for sharing this idea. We can see how having separate document and posting dates could provide more flexibility when recording late supplier bills, while helping preserve reporting for closed periods.

I've updated the status of this idea to Gaining Support so we can continue tracking community interest. If you use this workflow, it'd be helpful to know whether you're mainly looking to improve month-end reporting, audit requirements, or both.
