pop up notes
In the contact card - it would be good to have a "pop up" box that you can put notes in that appear in every field when you try to invoice a client or have a payment to make for a bill etc, that links to their contact card, as an alert for what you want the box to read. Super helpful for certain contacts only -but having this ability would be great

Add a Proof of Delivery document type in the sales/invoice section
Xero has no way to produce a Proof of Delivery. When goods are handed over, we need a document the recipient signs to confirm they received the items in good order, linked to the invoice so the audit trail holds together. There is currently no document type for this at all, so businesses fall back on manual templates, or end up ordering physical rubber stamps just to add a signature block to whatever Xero prints. That is a real thing people are doing to work around your product.

Would love the ability to add a product image in a quote line or add it to a product record. Many of our clients want to see the image of the item the are being quoted on . It would also add a more professional look to our quotes. I know you can add files to attach to the email, i think this would be a valuable addition

New Credit Note
When using "Create and apply credit" function the new credit note does not show the original invoice date. See attached screenshot.

Sales - Restore deleted invoice
I would like the ability to restore voided / deleted invoices and bills. Sometimes an item is deleted by accident but to restore it I have to copy it to a new draft and then re-attach any PDFs, which is clumsy and time consuming.

Option to automatically approve bills when entered
I would really like the option to automatically approve bills when entered, rather than having to then go into the Bills section and change from draft to approved every time

Invoicing - Invoice status for An invoice that is still an order
Hi all,
I would like to float the idea of including an 'Order' button/tick box on the invoices.
The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..
This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…

Quotes - Ability to assign tracking to multiple lines at once
Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.3 votesAppreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.
You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.
For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.

Invoice: Round GST on subtotal only rather than line-by-line
This is based on an actual example.
I had an invoice for around $15000 which consisted of around 10 line items. It appears Xero calculates GST per line item which is rounded (which is fine) and then for the total at the bottom appears to add up the rounded line items. What this meant in my case was that the GST total was 1 cent out where on my invoice it showed $2037.59 and on the purchase order I had it was $2037.58. The latter was the correct amount. What this meant was that this was enough for a big…

Invoices - Expand native e-invoicing (Peppol network) support to European countries
Ability to send e-invoices to Europe (in Euro via Peppol).
This rolls up many other product ideas about sending e-invoices to European countries e.g. Spain, Germany, France, Belgium.
All that is required is an update to the Contact form (which currently just has ABN) to include a field for the Peppol Participant ID. For example, OpenPeppol (AISBL) itself has a Belgian ID of "0208:0848934496" (ISO6523-country-code:country-company-number).

Invoice | Auto pay - control emails sent to customers
All my clients are on recurring invoices. Every month they get an "Invoice Due" email & then 5 hours later they get a Payment Receipt email. Why is Xero REMINDING my clients that they are paying me money? I have over 30+ expenses on autopay on my credit card. Not one company goes out of their way to reminder me that I am paying them money. But Xero not only tells my clients that they've paid me "another" $1,000 this month, but they tell my client TWICE. 3 votesHi Sal, appreciate you raising a case with our support team about my response and understand where I have misinterpreted your idea (apologies for this).
I'll re-open and have slightly adjusted the title of your idea so we can begin to get a sense of the interest in having more control of the emails that are sent for auto pay invoices and payments.
Being open, right now this isn't something we're looking to support with this being a regulatory obligation in some regions. However we can continue to track interest here and share if there are any changes planned around this flow.

Invoice - Ability to add multi section invoice
On Invoices and Quotes, being able to add rows which sole purpose is to form a header or a group.
What I mean by this is, for example, if I was doing a decorating job for a customer where I was decorating 2 rooms, for ease of understanding, I could separate the materials and costs for each room and group them under a respective header/group, thus allowing them to be easily kept under one invoice/quote.
This would also work really well for quotes where a job may have multiple options for a customer to potentially choose from.

Credit Notes - New credit note does not show Customer Contact Account Numbers
Your NEW credit note is no use to us as it does not show the client account number (not the bank the contact account number). If you are re-designing a layout at least keep the info you could previously see! Update before this is mandatory please

AI everywhere - Use AI to add details on bills uploaded to Files
Many of my clients upload supplier invoices directly to Xero, where they appear in the Files section.
Currently, when selecting an uploaded invoice and choosing Add to new → Bill, Xero creates a blank bill rather than extracting and pre‑filling the invoice details. In contrast, invoices received via Email to Bills are automatically processed and prefilled using OCR/AI.
It would be extremely helpful if invoices uploaded to Files could be processed in the same way, allowing Xero to prefill a new bill using AI or OCR. Once you upload files Smart Document Capture will be able to analyse and create transactions on your behalf including invoices, bills, spend and receive monies.
This feature is currently available to all regions except NZ and AU which will be coming soon. 😊

Quote - "Copy to draft quote" to copy ALL details
"Copy to draft quote" to copy ALL details from the invoice.
Currently, when a new quote is created from and invoice using "Copy to draft quote", not all details are copied form the invoice.
For example, the currency is not copied from the invoice but from the customer's default currency (which may be different than the invoice's); I am not aware whether other parts of the invoice are not brought over to the quote.I contacted support who confirmed that this is a feature - it is actually done on purpose.

At this stage, we’re going to move this idea to Gaining support so we can continue tracking interest and better understand how many customers this impacts and the specific details they expect to be copied across. Invoices - Add a quick "Return to Invoices" navigation shortcut on post-payment validation screens
Add a quick button to go back to invoices especially after posting a payment or while reconciling. Invoices are the thing I use most and reference most but I have to go through like three steps to get back to where i was.
3 votesHi Courtney, thanks for the suggestion. We understand that when processing a high volume of payments, being able to move quickly between invoices could improve your workflow.
At the moment, after adding a payment directly to an invoice, you’ll be redirected back to the main invoice list. From there, there’s a “View invoice” link available in the list, which lets you quickly reopen the invoice the payment was applied to.
We can also see how having a more direct navigation option from the payment confirmation screen could help streamline the process further. We'll continue tracking interest and share an update if this progress.

Invoice - View full reference in Xero
Not a massive one, but would eliminate a really annoying thing.
On an invoice screen in the reference box, when typing any data that exceeds the box, the text doesn't follow outside that window. This then makes you mouse click into that box and arrow across to confirm what you have typed was in actual fact correct.

Invoice reminders - Create a criteria to set based on reconciliation date
It would be an easy fix to stop automatically sending reminders for "unpaid" invoices when the business has not done their reconciliation for the relevant period. We find it stressful and time consuming to check all the time. I think sending a payment demand with the proviso to "ignore it if it has already been paid" is a waste of resources. It would be way less stressful and more efficient if reminders could be pending and only be sent automatically once the reconciliation covering the due date has been completed.
