  1. Please add a tab in the invoices category for "Paid Awaiting Pickup".

    Right now under invoices there is a tab for "All", "Draft", "Awaiting Approval", "Awaiting Payment", "Paid" and "Repeating". Our business often has invoiced paid but the customers have not picked up their products. When they come in we have to search to see if what they are picking up has been paid for. A tab for "PAID AWAITING PICKUP" would really help.

  2. Attached preview window to stay in locked screen on the Left, with line items to be on the right on a scroll screen. Because if you add attachments to work from, the screen will be ready to view from the top left and if you have more than 20-line items inputted and you're working from the bottom. You can't see what the attachment is to work from. Look at pictures to see the mark up of issue. This issue is same as the bills.   3. When two users open the same invoice draft on different devices and make changes simultaneously, only the changes made by the last person to save and close the invoice are retained, resulting in earlier changes being overwritten.

    It would be very helpful if Xero could restrict invoice drafts to be opened by only one user at a time, or provide a warning/lock to prevent simultaneous editing and accidental data loss.

  4. Quickly get invoice links from invoice list (instead of going into every individual invoice) to share in separate CRM so team can easily follow up outstanding invoices.

  5. Prior to the latest update of Xero, users could select 'due in 0 days', which would enable reminder invoices to be sent on the due date.

    Now there is only the ability to send an invoice reminder just before or just after the due date.

    Please reinstate the option to automate invoice reminders on due date, not just before or after.

  6. PREVENTING INVENTORY UNIT AMOUNTS FROM BEING EDITED IN INVOICES.
    ON A COUPLE OF OCCASIONS NOW I HAVE ACCIDENTALLY TABBED TO THE AMOUNT COLUMN AND ENTERED A QTY. WHICH HAS OVERWRITTEN AN ITEM AMOUNT FOR THAT INVOICE - AS I HAVE MANY SIMILAR INVENTORY ITEMS FOR A CUSTOMER I OFTEN USE " LOAD LAST ITEMS " THAT HAS CAUSED ME MULTIPLE INCORRECT INVOICES AS IT LOADS THE EDITED PRICE NOT THE STD ITEM PRICE LOOSING ME $100s OF DOLLARS THAT HAVE BEEN PAST PAID. CANT SEE A WAY OF MAKING THE INCOICE AMOUNT COLUMN UN EDITABLE -

  7. I would like to be able to check an option that automatically adds the accout number to the reference field on invoices. This would save a lot of time.
    I'm sure there would be options that people would like ot autofill this field so make ot part of the settings

    Hi 👋 thanks for engaging in the product idea forums. To check, when you say you'd like the Invoice reference to autofill from the account number - would this be the Contact Account Number from their contact record?

  8. Ability to link a bill/expense to a customers invoice but not have it itemise. So you can track cost of goods per job especially for small businesses only utilizing invoicing and not having to do projects

    Hi Phil, it'd be good to get a bit more detail to better understand your needs from what is currently available with billable expenses.

    Right now, you can assign lines of a bill directly to a customer (rather than project). When you add the items to your customers invoice you can edit the remove the item code if you don't want it directly associated to the inventory item.

    Would it be more something like the idea here that you're after with more visibility of the linkage between the invoice and bill?

  9. When processing a number of customer remittance advices, it would be very useful to have a button to get you straight back to sales invoices awaiting payments list. Currently, when finalising a deposit, the system takes to the bank account that you have selected for the deposit. You then have to go back to Sales>Invoices>Awaiting Payment which the system does lag in loading.

  10. We have government clients who are asking to be sent invoices using the eInvoicing function, rather than pdf's via Xero's email function.
    Some government clients will ONLY accept eInvoices from Jan-27.
    BUT these government clients require a separate field to be added to the invoice header so that their system can recognise the invoice and link it to their purchase order.

    We are unable to comply as we alreadyusetheReferencefieldforINTERNALpurposes.

    If we could add an internal reference field that can be seen on the Contact card's Activity section in the same way the Reference…

    Hi Jo, thanks for sharing this idea. We appreciate you explaining how dual reference fields could help meet government client requirements, especially with the January 2027 eInvoicing mandate approaching. After reviewing this with our product team, we've moved this idea to Not in pipeline, which means the product team have reviewed the idea and it isn't on the foreseeable roadmap. The idea remains open for votes, so we encourage the community to continue supporting it if this impacts their business. We'll keep monitoring feedback from the community on this topic.

  11. Currently I can sort my draft invoices by "To" which seems to then default to "Number" as a second level. I have multiple invoices for the one client each month and it would be great if I could sort by "Ref" then sort by "To" and the "Ref" would remain the second level field, instead of "Number."

The best way to work around this at the moment is to search the contact name on the search field in Draft invoices and then use the sort filter for the references.

  12. When using the mobile app, currently once an invoice has been completed and emailed, it says "unpaid invoice" in a blue banner at the top. It is sometimes difficult to notice the little popup which says "invoice sent" at the bottom, and this could lead to the invoice being sent again.

    Changing the color of the banner at the top (i.e. to green) would be a nice visual indicator the email has already been sent.

We can see how a color-coded banner could make it easier to manage on the mobile app. We have moved this idea to Gaining Support, which means the Xero community can now vote and comment to show their interest.   14. Description / Pain Points:

    1. Refunds: Manual credit notes are required for Shopify order refunds, which is time-consuming and error-prone for high-volume merchants.

    2. Taxes: Xero only supports reporting for one region. Duties and taxes from other regions must be tracked manually, causing discrepancies and extra work.

    Suggested Improvement:
    - Auto-generate credit notes for refunds.
    - Support multi-region tax reporting to match Shopify calculations.

    Hi Sherry, thanks for sharing this idea with us. We've noticed that there are 2 ideas in here. We've found one similar to the Multi-region tax here, so we've added your vote to it. As support shared, Xero won't automatically create credit notes for refund via the Shopify integration, so we'll keep an eye on the support your idea gets here.

  15. It is common for subscriptions to automatically attempt rebill 3 times, most customers expect this if there is a temporary card issue, it can be communicated with them in the failed payment notification. They shouldn't have to manually setup up the subscription again, especially if using the same card.

    Also if a customer is going going ahead with a subscription service, it makes sense that autopay is the default setting on the invoice. There needs to be the ability to disable it if they want to pay by bank transfer for example, but the default should be that their card…

    I've adjusted the idea for the re-billing of Failed payments and we will track support from other users on this here.

  16. Xero does not alert you if a customer has a credit that could be applied during batch approval of invoices.

    We batch approve and batch email all our invoices; it it is frustrating that we are sending out invoices without credits being applied.

    Surely this would be easy to implement?

  17. Have recently had a client complain that the card processing description says 'credit card processing fee' however the client paid with debit card and therefore doesn't think they should have been charged processing fee. This terminology needs to be updated to 'card processing fee' for more transparency.

  18. In app version, when we click omn Quotes then we see 2 options to choose- numer of quotes sent & number of quotes to invoice.
    When we click on number of quotes to invoice then we see all the quotes converted to invoice. But they appear as increasing order means oldest quote on top, we should have option to change the order i.e newest quote on top.

  19. Currently it is possible to change the branding applied to invoices even after they are paid. It is not possible to do the same for a credit note which means that if there is a change in corporate branding that any credit notes that have been posted need to be recreated to be able to make the change. This should not be so difficult.

  20. Invoice Settings - Branding Themes - Prepayment title

    Why can't we alter what shows on a prepayment? We have several customers who mistakenly pay us twice for invoices, this is made worse when we send them the prepayments (of the double payments) which say "Tax Invoice" suggesting this is money owing to us. Why can't we change the title to "Credit Note" or similar, so that our customers know that they've overpaid without us needing to manually contact each customer.
    It should be a fairly easy fix, seeing that most types of invoices, quotes, drafts, etc have the ability to…
