Account Transactions - Payments to Include Invoice Number
When running Payment Reports such as Bank Account Transactions or Accounts Receivable reports when you select the Column option of 'Invoice Number' the report includes Invoice Number in the report headings but does not actual provide the Invoice Number for each transaction. We would expect the reports to be able to show the Invoice Number field.
4 votesHi all, this depends on the type of transaction that you're viewing in the Account Transactions report.
Payment transactions don't have an 'Invoice Number' field in themselves, instead they are associated to an invoice. If you have not entered a separate reference the invoice number it's associated too will show in the Reference column of the report.

Invoice - Make invoice templates location available within the sales overview page
Invoice templates should not be in the "settings" but in the actual part where the invoices are, this is product development 101 stuff guys seriously...
Adding/altering/deleting invoice templates should be accessible right from within the sales overview and invoice section. I shouldn't have to google for this stuff, it's really quite terrible.

'Include with the online invoice' setting in templates for all invoices
It seems I am only able to tick individual invoices to include the PDF attachment (invoice from our stock system) that is loaded on the Xero invoice. It would be extremely helpful to have the option to turn on the 'include with online invoice' as a default for all invoices.
This would allow our customers to be able to download our itemised invoice via their statement rather than the basic Xero templated version.

Add Email-to-Sales Invoice Capture in Xero
Xero allows bills to be emailed into the system, but not sales invoices.
Many small businesses generate invoices through rental systems, Airbnb managing agents, or external platforms. These invoices must then be manually recreated in Xero, or uploaded via third-party apps like Dext.
For small rental businesses with only one or two properties, paying for extra software isn’t financially viable.
Please introduce a built-in Email-to-Sales-Invoice feature that creates draft sales invoices from emailed PDFs.
This would save time, reduce errors, support small businesses, and close a clear automation gap in Xero.

Option to delete invoices more than 6 years past
Under GDPR, customer data can only be kept for a reasonable period of time.
In the UK, businesses must keep tax records for at least five years from 31 January following the end of the relevant tax year. In practice, this means records need to be retained for 5 years and 10 months.
Your GDPR policy can therefore state that records will be kept for 5 years and 10 months. After this period, continuing to store invoices (for example, in Xero) could put you in breach of GDPR.

Sales Order Entry
We switched over from QB and were told it would be so much better but come to find out there is no sales order feature and we are in shambles trying to find a workaround. I highly suggest XERO creates this feature to keep up with current programs and workflows.

everytime i update a price shange in an invoice, it should automatically update the price in the inventory system.
Every time i send an invoice, I update the new pricing for an inventory item in the invoice. This is manual but it should then automatically update the inventory price as well. so in short, the inventory should be following the latest invoice pricing to keep up to date.

History to record details the invoice was copied from
When I copy an invoice to a new invoice, the NEW invoice does not record in history the details of the invoice it was copied from (used to in classic invoicing).

Selecting different bank accounts when invoicing to customers
Xero users need more flexibility when choosing which bank accounts customers must pay in. Majority companies have more than 1 bank account, but there is no easy way to specify per invoice which bank account the customer must pay in besides changing the company settings back and forth. Give Xero users the option when invoicing to select via a drop down (for example) which business account this customer must pay in.

description / work carried out box
Please add a description box so that we can add additional information about the reason for the invoice. Being a garage we have to add description of car repairs carried out in the item line. Even if we could go right along the page with the text it would help a lot. At the moment invoices look messy and take up a lot of the page.

unmarked sent
Invoices are being automatically "Unmarked Sent" even after manually marking as sent. This defeats the purpose of having notifications/reminders for clients. This needs fixing ASAP.

gmail integration
QuickBooks already has this, support for Gmail integration for sending invoices through your own Gmail account, not from generic Xero email address.
Would be more personal, professional and functional, as well as supporting record of sent emails (invoices etc) in Gmail sent items. Some services also do not accept emails of invoices unless from a recognised email address, so xero address is rejected.

Search bar - Instant Search Focus for Faster Pasting / Typing
For years, Xero’s search bar worked in a way that allowed power users to click the search icon and immediately start typing or pasting. The input would automatically receive keyboard focus, so workflows that rely on quick data entry were seamless and efficient.
How it used to work:
Click the search icon (or press the search keyboard shortcut).
The search input was immediately focused.
Users could paste or type text instantly with no delay.
How it works now:
Clicking the search icon no longer guarantees immediate keyboard focus.

Receipt - Show full amount paid including overpayment
When a customer overpays an invoice the receipt does not show the full amount received, only the amount allocated to the Invoice. Can you please allow full amount paid to be on the receipt!

Navigation - Quick Switching Between Invoices, Quotes & Bills
Be able to swipe (or buttons on the desktop) - left and right between invoices, quotes etc (both for all of them and for each company)
3 votesHi Mark, it’s clear that being able to move between different transaction lists more easily would make workflows smoother, especially when you’re juggling multiple parts of the business—like checking a quote one moment and verifying a bill the next.
At the moment, switching between Invoices, Bills, and other areas often means going back to the main list, which adds extra clicks and interrupts your flow.
As a workaround for now, you can right-click on Invoices or Bills in the Business menu and select Open link in new tab. This lets you keep multiple screens open at once and toggle between them without losing your place.
This idea has been moved to Gaining Support so we can track interest in a built-in quick-switch feature.

Quotes - Edit inventory item from within a quote
I would like the ability to edit inventory item costs directly from the quote page, similar to the option available on the invoice page. I don't mean the price on the quote itself, I mean the cost in the inventory. This would save me a lot of time.

Invoicing - Display customer overdue balance and available credits on Awaiting Approval page
On the awaiting approval invoice page can we get more details for each customer, like any overdue amount and any credit they have in their account. Currently you cannot apply a credit unless you open the invoice. This will save time and errors.
