Legal Terms of Trade should be integrated into Organisation settings
Xero urgently needs native Terms of Trade support.
Right now, the only option is attaching multi-page T&Cs to invoices — this is clunky, unprofessional, and not how modern businesses operate. REF:Advanced Invoice Template (DOCX)We need:
A short-form legal clause on invoices and quotes
A clickable link to full Terms of Trade
A single, centralised setup in organisation settingsInvoices should be clean and readable, not overloaded with pages of legal text just to remain enforceable.

splitting quantities of billable expenses when applying to invoice
Please could we have the option to add billable expenses to a customer invoice by quantity.
At current we have to assign the billable expenses as a whole, or not at all. Yet we sometimes hold items in stock for clients which are then billed at different dates, however once they have been assigned to the initial invoice we can no longer see the remaining stock on hand under the billable expenses list, unless we manually split it on the purchase invoice This only works if we know the quantities ahead of time, which we usually don't. We can see why having the ability to partially assign billable expenses could be useful. The idea is to allow only part of a billable expense quantity or value to be applied to an invoice, making it easier to distribute costs across multiple invoices, customers, or projects without needing to manually track the remaining balance.

Invoicing - Annual Subscription Column (extra column added)
Looking for a way to show separate totals on quotes, itemizing "items" into separate columns. Such as one total for hardware and installation, and another for annual support or subscription costs.
Typically when we quote out jobs the subscription for annual support/subscription is billed separately. It is added to an annual bill with the rest of the subscriptions separate from the one time quote for installation of new hardware. When sending a quote over for adding more hardware, for client budgeting purposes it allows them to know total cost they need in the budget but separates the one time charge…

Credit notes - Negative symbol to differentiate from invoice
Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

Subscription Billing - Provide consolidated or grouped monthly invoicing for multi-organization owners
I receive Multiple, around 30, monthly invoices from Xero to me for each of my 30 entities.
They all come to my same email address.
They are all for my separate different entities.
I then have to open each email, click on each separate link, and download each separate pdf file of each separate invoice from Xero to each of my entities.
The common thread in these emails is that they all come to my same email address, at a staggered time over minutes / hours on the same day reach month.

Xero App - Send an invoice via SMS from the app instead
Allow the send invoice by SMS option to be available in the mobile app. Moving the option of sending an invoice by SMS to the top of the page instead of at the bottom would be much better too. Most businesses will have templates set up, so this is why it would be easier to have the option at the top of the page.
4 votesHi everyone, thanks for sharing this suggestion. We understand that when you’re working on the go, being able to send invoices quickly can make a big difference, especially when customers prefer receiving updates by text.
The suggestion here is to add a direct SMS option in the mobile app, so users can send invoice links to customers without needing to switch between apps or copy and paste details manually.
For now, you can use your device’s share options from the invoice to send the link through your preferred messaging app. While this isn’t the same as having a built-in SMS option, it can help make sharing invoices easier in the meantime.

Invoices - Adjust margin and header spacing controls within Standard invoice templates
Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
There is too much wasted space up top and could be used for more line itemsOr
Add an option to crunch the line items with none, single or double line spacing between each item listed.

The suggestion is to add margin and spacing controls to Standard invoice templates, making it easier to adjust the layout to align the logo with address and company information.
For now, Advanced DOCX templates can be used when you need more flexibility over formatting. We’ve moved this idea along to continue tracking interest.

Reporting - Include Quotes and Purchase Orders in Short-Term Cash Flow forecasts
Since Cash flow forecasting is relying on Invoices and Bills input, this is not so helpful in real life scenario especially for Project based businesses. Invoices and Bills are always late. Since they're late, they don't appear in your cash flow forecast. What I'm trying to do is to input all expected Sales and Bills in a project via Quotes for expected Sales and Purchase Orders for expected Bills. This way my forecasting will account for Sales and Bills that are expected but didn't happen yet. Can you please create that Quote and PO forecasting please?

Statements - Make the online customer statements link static
the new customer statement link should be static i.e. never changes for each customer.
the link should be visible to us from the contact page in xero.
the link should also be a placeholder item that can be selected in email templates and also in invoice templates - via clickable link or even as a QR code, both in the docx invoice template and the new style templates.

When creating a number of invoices the new invoice link is hard to find. Instead of a text link have a button for new invoice in the header on the invoicing page

Invoices - Set Recurring invoice date to none
I would like to be able to set a recurring invoice date to no date or none, so I could create the invoice when it is required

We would like the ability to assign staff members to invoices created in Xero Practice Manager (XPM) to improve workflow visibility and accountability throughout the billing process.
Currently, when an invoice is open, there are three tabs available:

In working with a client who uses Xero as their invoicing system, we’ve identified a practical workflow gap that may affect many small manufacturers and custom-service businesses.
The business does not operate a traditional point-of-sale system. Instead, they produce custom, made-to-order items such as signage and magnets for walk-in customers.

Sales invoices - Option to delete invoices <6 years past
Under GDPR, customer data can only be kept for a reasonable period of time.
In the UK, businesses must keep tax records for at least five years from 31 January following the end of the relevant tax year. In practice, this means records need to be retained for 5 years and 10 months.
Your GDPR policy can therefore state that records will be kept for 5 years and 10 months. After this period, continuing to store invoices (for example, in Xero) could put you in breach of GDPR.

Repeating Manual Journals - Provide more frequency options
Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…

Invoicing - New invoicing layout is due for an update
With the changes and improvements to the design of the Purchases overview > Bills page and tabs quite some time ago, it would be expected and easier to navigate through Xero if these design changes reflected in the Sales overview > Invoices page. Multi-currency Invoice - Do not update exchange rate on invoice after due date has been changed
Currently, when you raise an invoice in a foreign currency it will take the exchange rate as of that hour. If you later change the due date of the invoice, the exchange rate used to convert will change from the hour you raised the invoice, to the closing exchange rate on that day. This causes an issue for reporting where we have reported a revenue figure for a previous month. The invoice on a due date has been changed and therefore the revenue recognised in a previous month has changed. This makes our reports incorrect and could cause issues if…

Invoicing - Display customer overdue balance and available credits on Awaiting Approval page
On the awaiting approval invoice page can we get more details for each customer, like any overdue amount and any credit they have in their account. Currently you cannot apply a credit unless you open the invoice. This will save time and errors.

Invoicing - Add another Status under Paid | Paid Awaiting Pickup
Please add a tab in the invoices category for "Paid Awaiting Pickup".
Right now under invoices there is a tab for "All", "Draft", "Awaiting Approval", "Awaiting Payment", "Paid" and "Repeating". Our business often has invoiced paid but the customers have not picked up their products. When they come in we have to search to see if what they are picking up has been paid for. A tab for "PAID AWAITING PICKUP" would really help.

Bills - Lock the Attachment preview section when scrolling up and down invoice lines
Attached preview window to stay in locked screen on the Left, with line items to be on the right on a scroll screen. Because if you add attachments to work from, the screen will be ready to view from the top left and if you have more than 20-line items inputted and you're working from the bottom.
