Sales Invoices - Add interest to late invoices (including paid/part-paid Invoices)
Ability to add interest for the late payment. This includes part-paid too
Purpose: Save time by adding the interest without having to delete the existing one and remake a new one with the additional interest.
1,096 votesHi everyone, a year on from my last engagement we wanted to provide an update for you all here.
As many will be across we're in the midst of making a lot of iterations and improvements to new invoicing leading up to the retirement of classic invoicing in September (2024).
We have a fair amount of work lined up in the teams schedule over the coming months and to give an indication there isn't any committed plans around a function to add interest to invoices.
That said, we do have a team that have picked up and are considering how we might solve this with the technology in new invoicing - It's early days on this yet, but I'll share if there's any progress on this for you all here.
In the meantime, as has been shared by others over time there are a few ways you could accomplish this…

Invoices - Feature to 'write off' as bad debt
At the moment, you need to raise a credit note to write off a bad debt, which then records the invoice as "paid" which is extremely irksome, and factually incorrect. There needs to be an actual "write off" option so that the debts don't show up constantly in your reports and you can claim a tax deduction for them, but they don't get recorded as paid.
762 votesThanks to everyone that’s shared interest in being able to write-off invoices or bills as a bad debt. We understand how a direct feature would enhance your use of Xero and flows when trading.
As shared in our last update, while not a one-click solution we appreciate the needs expressed for being able to record bad debts right now, and have a Xero Central article that provides a way of currently accommodating this in Xero today.
There are also other options that have been shared by members in this conversation that some may want to explore.
We want to be open that specific bad debts functionality isn’t planned for invoices or bills at this time, but we understand the needs here and it’ll continue to remain high on our team’s radar when reviewing and prioritising their roadmap.

Invoicing - Allow Item and Description-only lines, with no Qty or Unit Price
When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.

Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.
To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.
- We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…

Sales Invoices- Flag as 'in dispute / query'
Ability to flag an invoice or bill when it’s in dispute or query.
Purpose: To ensure users do not pay an invoice/bill when it is currently 'under query/dispute' in error.
531 votesHi community, we thank you for your feedback on the value of being able to flag a Sales invoice as in dispute. We know a clear way to mark these invoices would be helpful.
Similarly to our update for Supplier invoices there are a few options you may want to consider to currently highlight Sales invoices in this situation;
- Add a note to the invoice to serve as a clear internal reminder of the dispute.
- Utilise tracking categories: Creating a specific tracking category like "Disputed Invoices" can help you filter and report on these items.
- Update the reference to add a notation such as [reference number] - 'In dispute'
While we know these aren't perfect solutions, we hope these may help some in the conversation right now.

Quote - Ability to have quote reminder
Add feature to automatically follow up on quotes / send quote reminder *days before expiry or *days after quote issued — as there is with invoices. This feature comes standard with most other quoting interfaces.
530 votesHi community, we understand how being able to send quote reminders like you can for invoices, would help with following up on uncommitted work with your customers and potentially locking in sales.
For the time being, as many will be aware you can resend a quote that’s already been sent, by clicking the 3 dot menu in the top right and choosing ‘Send’, where you’ll have the option to change the email and who it’s being addressed to.
This is something we have intentions of diving into discovery for this year and I’ll return to share more news when things progress. Thanks

Credit notes- bulk allocation
Option to apply invoice or bill credits in bulk to invoices

We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.
Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.
Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.

Invoice - Prompt Payment / Settlement Discount
To apply a prompt payment discount/settlement discount to an Accounts Receivable invoice from the match items screen in the Bank Reconciliation.
Purpose: So users can offer early discounts to vendors/suppliers without needing to do manual credit notes or editing the invoices.
414 votesHi everyone, we thoroughly appreciate everyone’s interest and support for enabling the ability to apply a prompt payment discount to invoices.
We understand how a direct prompt payment discount feature would improve the efficiency and automate manual efforts currently involved for you all here, but would like to be transparent that this isn’t something we’ve been able to roadmap atm.
Right now, one way to indicate that your business accepts or will apply a discount for prompt payment would be to write this into the invoice payment terms. When acted on there are a few ways you could consider recording this in Xero, such as;
- Edit the invoice to apply a discount directly
- Edit the invoice to add a negative line that directly draws down the total amount of the invoice
- Apply a credit to the invoice for the portion of the discount

Invoices: Repeating Invoices - Bulk Import/Export
Ability to import/export invoices in bulk.
Purpose: It’ll save users time rather than having to create each one individually.

Prepayments & Accrual Schedules
Instead of using spreadsheets, it would be very handy for Xero to have prepayment & accruals schedules built-in that act similar to the Fixed Asset function.
For example, when you allocated a new invoice to the prepayment nominal, Xero would detect that transaction and add it to the schedule. At the end of the month, you access the Prepayment & Accruals screen, go to drafts, and fill out a form giving it the period with su[plier, start date, end date and number of days/weeks/months it lasts (this would determine how often a journal is created when ran). I’d like you to know your idea's been carefully reviewed by our product team. They appreciate and understand the need for tracking revenue and expenditure related to prepayments and accruals, however at this time with other initiatives in the roadmap such as improving the bill creation and payment processes there are currently no plans for this in the pipeline.
We’re keeping a close account of the support in this here, and will continue to review this opportunity within future planning. If there’s any progress made I’ll be sure to share with you all, here.

Sales Invoices - Combine and hide line items for customers

Purpose: To have good accounting and tracking of sales without showing the client the breakdown of all the items involved
257 votesHi everyone, thank you for your continued passion, and sharing how having the ability to group or combine line items within an invoice would give you the control to present information to your clients in the best way for your business.
In lieu of a direct feature, while I appreciate it won’t fit all needs here, the inbuilt calculator may help in some cases to combine costs of multiple lines to one, and we appreciate there are some customers that have explored third-party apps with more extensive functionality for the time being to full-fill their needs.
We’re updating the status of this idea to Accepted - While this isn’t on our roadmap atm, we see the value in this suggestion and it’ll be considered as we plan our future roadmap. We’ll update this thread if we have any more news to share.

Sales Invoices - Bulk remove/void
It is all too easy to accidentally upload a batch of sales invoices to Xero from the wrong period. It can then take absolutely hours to delete these as Xero does not have the functionality to remove these en masse.

Right now in Xero, invoices with a Draft status can be deleted in bulk from the list view - simply select the invoices and you’ll see an option to Delete at the top of the list.
We understand that for many in the thread here you’re referring to the ability to bulk remove invoices that have an approved status(bulk void) and I have just updated the title of this idea to better reflect this.
This isn’t a feature we have planned at this stage, but maybe something we explore longer term as a possible enhancement to the list view. For the time being, while not within the product for those with more technical resources there’s capability via our API that you may like to consider.

Invoices - Date columns for individual line items
Ability to add date columns for individual line items.
Purpose: To make users easily put a date for each item. The scenario that can benefit users is for them to show a specific date of when the product/service is delivered.

While this specific idea isn't directly in our pipeline at present, we're looking more broadly at how we may extend documents to better suit more of our customers' needs. We'll be taking this idea into close consideration as part of that work.
For now, as noted in my last update the best option to accommodate this in lieu of a direct field is to add the detail to the Description field of the line.

Sales Invoices - Field for Customer's Purchase Order Number
Adding customer’s purchase order number in the sales invoices.
Purpose: because some companies will not pay an Invoice without a PO, so it’ll make users’ workflow easier when they can search #PO to find the right invoice.

We understand how having a dedicated field for a customer purchase order number on sales invoices is important for many of you, whether that’s to meet customer payment requirements, support bulk invoicing, or keep your own internal reference separate.
While we can’t make any commitments at this stage, this is an area our product teams are interested in exploring. We'll make sure to share any progress toward providing a field to accommodate a purchase order number.

New Invoicing | Copy to - Purchase order
When a selecting the new invoicing platform, you lose certain functions.
The first function that has been lost is the ability to copy invoice data to a purchase order - this feature needs to added to the new platform as some business use this to purchase items that have been sold from a supplier and makes sure there are no errors.
The second function is when invoicing from Project the time entered for that project is no longer being allocated to an invoice and showing in the project as not invoiced, this will cause doubling up on billing.182 votesHi everyone, appreciate the continued interest and support this idea receives.
I know it's been sometime since our last update, and I understand frustration in recent comments wanting more news on where this is at.
I want to confirm our product teams still have good intentions to develop the ability to copy to a purchase order from within an invoice, however with the current option of being able to copy to from the invoice list and prioritisation of other pieces of work this isn't roadmapped just yet.

Proforma Invoice - Ability to apply part payments before converting to invoices
Ability to create a separate proforma invoice function which allows you to make part payments against the proforma invoice, before being able to convert it to a sales invoice.
Purpose: Users can easily manage part payments before sending their sales invoices to their contacts.

Atm, deposits can only be taken against approved invoices(powered by Stripe), and taking payment against quotes or draft invoices isn’t supported at this point.
We understand that pre-invoice and proforma-style workflows matter for some businesses, especially where payment needs to be secured before the final invoice is raised.
Earlier-stage deposit workflows is something we’re considering for the direction in this space, and we’ll share more here if that progresses further.

Repeating Invoices - Schedule a specific time for repeating invoices to be generated and sent
Ability to schedule time for repeating invoices to be generated and sent.
Purpose: To make repeating invoices are generated and sent to the contact/supplier/customer’s preferred time.
127 votesHi everyone, we wanted to share another update here. The ability to schedule and send a one-off invoice at a date and time that works best is now available to all organisations.
You can find this feature in the send window by clicking the dropdown arrow next to the Send email button.
As mentioned in my last update, we understand there’s strong interest in extending this functionality to repeating invoices as well. While this isn’t currently in the pipeline, it’s something our product team will closely consider as they shape the future of repeating invoices in Xero.

Bill - Copy a paid bill to a Credit Note
Hi,
You can only create credit notes to Invoices or Bills if these aren't marked as paid on Xero, or by creating them as new items from contacts or using upload via Hubdoc.
I think it would be beneficial to allow the creation of credit notes from bills or invoices that are already paid. Very often, there is a requirement for a credit note to be created when the bill/invoice is already paid. Adding the feature to allow creating credit notes based on the information already recorded on paid bills/invoices would save a lot of time in dealing with creating…

To provide a little more clarity here, it’s currently possible to create a Credit note within an individual awaiting payment invoice or bill. This’ll copy the contents of the invoice/bill into a Draft Credit note where you can edit if needed. To save many users time, once approved the credit is auto applied to the related invoice or bill, but you can remove this if not applicable.
We appreciate this feature is not available for a Paid Invoice or Bill and we understand the importance of this for some organisations.
To help our product teams get a better view of the interest for the feature in Bills and Invoices it would help to track these through separate ideas - I’ll change the title of this idea to reflect Bills and we have an existing idea…

New invoicing - Assign next number in sequence when number removed
We bulk upload invoices in advance with "Draft" invoice numbers as we don't know their ultimate sequence for issue. We then assign a chronological invoice number when the invoice is approved and/or saved. In "Classic" invoicing, if I delete the invoice number it automatically assigned the next number in sequence e.g. #INV-0089, however in "New" invoicing if I delete the invoice number is warns me that I need a number and reverts to the original "Draft" number" and not the next chronological number in sequence. Right now, we want to be upfront that there are no direct changes planned for how invoice numbers are assigned.

Over the coming months our product team will be looking into updates to Xero’s repeat invoices templates and support for eInvoicing within these is something that's on our teams radar. Sales Invoice - Show associated Project name on the invoice
Currently, while raising the invoice, it is not possible to show the project names in the invoice above the works done. The works indicated in the invoice should be linked to the project and this project name should be shown in the invoice.

You’ve explained the need in displaying the related Project name on an invoice clearly and your feedback here is really helpful.
While we don’t currently have this work roadmapped, our product team's looking more broadly at how invoices can include richer information. This idea will be part of that consideration as the work develops.
Though we can’t commit to development of projects on invoices at this stage, we wanted to acknowledge the feedback here and let you know we will make more efforts to share any updates on this idea as that broader work progresses.
