Sales invoice - Add Notes that are visible to the customer
Currently you can put titles and notes etc on quotes and invoices etc. However the client does not see any of this. This is critical to be able to add notes etc that don't belong on a line item
Hi team, thank you for your support and ongoing engagement in this idea. We understand the benefits some customers would find in being able to add notes or a free text field to invoices so you can add additional detail for your customers.
Being open, this isn't something we have in our roadmap atm, but will continue to consider for future enhancements.
For the time being, a couple of options that may be useful;
- Using only the description field of a line item to add additional details
- For more static messaging you could add the details to the payment advice of a standard template, or
- Add static text with an advanced template editing the template with DOCX
We appreciate this is not the complete solution and will continue to keep a close watch on this idea and share if there are any updates, here.

Please give Xero Accounting invoices a proper Notes field—or two!
Please, Xero: give us one or two general-purpose text fields on each sales invoice that we can populate through the API and place independently in a custom DOCX template.
Reference is already doing its job. Line-item Description is already doing its job. Neither should have to carry every other piece of information we need to communicate to a client.
Our example is simple: we want to display “15% early engagement discount applied”. The discount is already reflected in our rates. We aren’t asking Xero to calculate anything—just store the wording against that particular invoice and print it where we put the field.
Putting it inside Description ties it to the work narrative and its formatting. Repurposing a contact field doesn’t solve it either: the same client can have different terms on different projects.
Partner Hub appears to have a much richer set of notes and custom fields for its invoice templates. Those options don’t appear to extend to ordinary Xero Accounting invoices.
What we need is straightforward:
One or two invoice-specific Notes fields.
Editable in Xero and writable through the Accounting API.
Corresponding DOCX merge fields we can position and format independently.
Enough room for useful wording, including line breaks.
No effect on amounts, discounts or tax.
A separate note field for each invoice line would be welcome too.
We can customise the invoice’s appearance, but we’re missing somewhere to put the words. Please give us the fields.

As a new user, this would be crucial for our business. I am doubling the work, creating notes on headed paper for customers when I could add it on the invoice. Very frustrating already!

I've just had to move over from MYOB to Xero and I'm extremely disappointed that this isn't a feature. We have to add shipping consignment note details to our invoices and putting it as a line item will just look very unprofessional. We also have to add different payment terms for multiple customers, along with other necessary details that our customers need to know. I'm finding it very hard to like the move we have made.

The above solutions for the lacking feature are not conducive to invoicing since adding details to payment advice changes for each customer or project and must be resaved or changed before sending another invoice...picking different templates is also not the solution as the information provided is so specific to the project or customer. Creating a text field at the bottom near terms' appearance seems to be most logical, not just for users of Xero but also for the needs of customers.

It is absolutely crazy to me that this isn't an option. Coming from QBO, I'm finding the Xero invoice customizations (yes...docx templates too) to be missing so many basic fields/options that QBO includes as standard.

Please consider adding a field in the invices that we can note special instructions (like cutomised payment link, payment required prior to dispatch) to customers in each invoices. At the moment we a line item to add these notes.

This should be one of the simplest changes you could make, and it's in huge demand. If you're not adding it to the roadmap, at least give us an explanation as to why you don't want to add something that your users obviously want.

It's sad that Xero seems to have unlimited time for trendy (but useless) AI bells and whistles, but can't add a simple description to invoices (just like you already have for quotes) after all these years?! I hope Xero will reconsider!

What concerns me is that you state that this is still not on your roadmap at present. A review of the comments here and of most other invoices sent/received by businesses shows that this is a normal practice.

This would be really helpful. We invoice on a standard set of services, but each "unit" of service could be different so a free text field would be v helpful for client to see summary of what the invoice covers

After significant price increases in at least Australia due to the new AI features added, it'd be great if the dev team could please add the text box many have been asking for.
Yes, we can use a line item, but sometimes bunching information into the description field doesn't fit well and it doesn't look great having a $0 product to add a note that's unique to the invoice. -

This has been my most-needed feature for all the years I've been using Xero. The other options are sticking the notes in the area intended for product descriptions (which looks terrible) or sticking them in the email (which is lost when they pass the PDF to someone else and also isn't saved if I have to email the invoice again to them or someone else). Quotes already have title and summary fields which work great--Xero should just add them to invoices. Xero should focus on basic functionality like this rather than invest huge amounts in trendy AI bells and whistles.

Super important for mechanical workshop - for example. You'll need to change your brakes at next service, or we found an oil leak that you should have repaired.
A free text box would be ideal for these ad-hoc notes for customers
