  1. It would be great to have a feature to add permanent line items to invoice templates that automatically appear every time you create a new invoice. We require every invoice that we send out to include a FAF (Fuel Adjustment Factor) charge, and we would love the ability not to forget to add it to each invoice. I know you can do this in a 'Repeating Invoice' but this format does not suit us as none of our invoices are the same.

  2. I have used other accounting packages and you can select terms as a method of who you wish to send statments too. ie 7 day Terms, or 14 Day terms etc etc It allows for easier follow up.

    I find auto sending overdue invoices automatically upsets clients, especally if they are 5 days over and this covers 60 odd invoices. I have found in the past I get better response to regular statements being sent according to payment terms.

  3. Customers often ask for a copy of an older invoice that's been paid. When either resending or downloading it, Xero creates a new PDF that shows the invoice as paid with a 0.00 balance.

    I should be able to send an exact copy of the original that clearly states it is a copy. In fact, HMRC states that a request for another copy of a VAT invoice SHOULD be as per the original and state that it's a duplicate.

  4. There is currently no way to locate the Stock Journal posting COGS for an invoice without do a search on the number and locating it separately. This is for invoices and Stock Journals integrating form Unleashed into Xero. It would be great to have a link on the invoice to go to the related Stock Journal.

  5. Why are the subscription invoices we receive from Xero now being issued with a $0 balance? We are having to manually edit or delete the pre‑populated payment line in order to reconcile the actual payment against the invoice. The pre‑paid negative line is unnecessary and creates avoidable double handling.
    The same issue is occurring with client invoices where credits or overpayments exist. Xero has started adding a pre‑paid negative line to these invoices when they are sent. This process is impractical and will create further problems, as clients will not apply overpayments themselves. This results in additional corrective work for…

  6. You have just rolled out the pay now button on online statements, however this is only for Stripe users.

    Can you allow other payment processors such as Square to this please (like we can for invoices already)

  7. We bulk upload invoices in advance with "Draft" invoice numbers as we don't know their ultimate sequence for issue. We then assign a chronological invoice number when the invoice is approved and/or saved. In "Classic" invoicing, if I delete the invoice number it automatically assigned the next number in sequence e.g. #INV-0089, however in "New" invoicing if I delete the invoice number is warns me that I need a number and reverts to the original "Draft" number" and not the next chronological number in sequence.     Hi everyone, thanks to everyone that completed and fed back through our earlier survey. We appreciate you sharing needs in sequential invoice numbering and will continue to consider these needs as we evolve invoicing in Xero.

    Right now, we want to be upfront that there are no direct changes planned for how invoice numbers are assigned.

    We'll keep monitoring interest of this here and will update if there are any developments.

  8. If we could have a receipting screen where we don't have to go into every invoice to receive money would be great.It would save us valuable time

  9. When we create quotes for a lot of our customers we want to include a few different documents with the quote without having to manually attach it to the quote. We want to add documents like product offering, pricing sheets, terms of sale etc. below the initial quote. We want to do this by selecting a branding theme which will automatically populate the template with those extra documents for us

  10. We send out promotional items and invoice these with a 100% discount. When saving the invoice, Xero is not saving the account code that I applied. I've read this is an accounting simplification. We need to see these invoices - is there a workaround?

    Hi Vanisha, thanks for sharing this suggestion. Retaining the selected account code on zero-value or fully discounted line items could be useful for reporting and analysis, particularly for tracking promotional or non-charged allocations.

    Keeping this mapping in place would help preserve useful context in reporting, even when the line has no financial impact on the ledger.

    We’ll keep an eye on the feedback and interest in this thread.

  11. e-invoicing notification

    It would be great if we could get some kind of notification when an e-invoice was received into draft. Without going into our process, not knowing when a e-invoice was received will cause delays in processing as well as paying it.

When opening an invoice the cursor reverts to the Contacts field after a few seconds (after fully loading, presumably) so when I've clicked in a different field, by the time the Invoice is ready to accept changes, the cursor has flicked back to Contacts. It's such a time waster - either waiting on the invoice to load or re-typing everything again in the correct field. It doesn't happen in Quotes so can it not happen in Invoices?

    We understand how cursor focus shifting during page load can interrupt data entry and affect the invoicing workflow.

    Keeping the active field selected where the user clicks, rather than defaulting back to the Contact field, would help maintain a more consistent entry experience.

    We appreciate this suggestion and will continue tracking the feedback and interest shared here.

  13. The ability to add custom fields to invoices based on the industry would be a fantastic feature. I have a SaaS client who bills annually that has customers reaching out about adding the invoicing term(number of months) to their invoices. Seems like there have been other ideas submitted based on specific industry requirements.

    We appreciate the suggestion, Deanne. We understand how being able to add custom field for billing terms to invoices could help provide clearer information to customers and reduce the need for manual descriptions.

    Having dedicated fields for service start and end dates could also support businesses managing ongoing contracts, retainers, or deferred revenue workflows.

  15. To have a way to easily detect which clients need individual e-invoice in invoici, e.g., there are Tax number in Xero,
    so that we can easily select those clients who need individual e-invoice and send to Inland Revenue in Malaysia.

  16. Sales Invoice - Bulk create Sales Invoices is possible with the import of the csv file, however, the invoices entered is not marked as paid, so we either mark them all paid on one especific date (bulk payment) or go in each one of them and enter the payment...

    Going in each one is impratical, and bulk paying all, lets say, at the end of the month is ok, but not right.

    We would love to create and mark the invoice as paid in one go, just like with the import precoded bank transactions...

  17. Ability to turn off / toggle the warning for

    "The invoice was raised after the payment you are reconciling to"

    Alot of my invoices are dated after the payment date for whatever reason. It would be create to have a choice whether to receive this warning or not.

  18. "Copy to draft quote" to copy ALL details from the invoice.

    Currently, when a new quote is created from and invoice using "Copy to draft quote", not all details are copied form the invoice.
    For example, the currency is not copied from the invoice but from the customer's default currency (which may be different than the invoice's); I am not aware whether other parts of the invoice are not brought over to the quote.

    I contacted support who confirmed that this is a feature - it is actually done on purpose.

    I think this is in fact a bug and…

    Thanks for sharing your feedback on this. We understand why it would be helpful to have complete confidence that all details carry over when copying an invoice to a draft quote. At this stage, we’re going to move this idea to Gaining support so we can continue tracking interest and better understand how many customers this impacts and the specific details they expect to be copied across.     Thanks for sharing this idea. 🌟 At the moment, Xero does support attaching multiple files, but each individual file needs to be under 25MB.

    So this limit applies per file, rather than as one total cap across all files uploaded through the common file uploader.

    We understand why larger file support would be helpful, and we’ll leave this idea here so the team can continue to gauge interest and demand for changes in this area.

  20. Currently, in order to send multiple invoices at once, each invoice has it's own email address box to enter the recipient's email, there is no selection available to send multiple invoices to a custom email address in one click.

    This would be most helpful, especially when multiple invoices are required to go to a different email address (from the default contact email). At the moment this means entering a different email into each individual address box, even if this means entering the same email up to 50 times for each invoice selected.
