Sales Invoices - option to change default view to 'All' Invoices
Could there be an option to change the view of how we see Sales Invoices. At the moment when I add a new invoice it then goes back to Sales Invoices Awaiting Payment as a default. I want to change this default to 'All' Invoices. You already offer the option to change the view for Bills, could it not be for Invoices also please.
1 voteHi Alison, thanks for sharing your idea, and letting us know the changes that matter most for you.

Invoicing - Add font colour customisation to Standard Branding Themes
Sometimes I need sub-headings within my quotes or invoices and it would make my sub headings more obvious to customers if I could type them in a different colour. Just one or two alternative colours for the font would make a huge difference to me
1 voteHi Dawn, thanks for sharing your idea! We can see how being able to use a couple of extra font colours in Standard Branding Themes would make sub-headings stand out and help your quotes or invoices communicate more clearly.
We’ve moved this idea to Gaining Support to gauge the community's interest. If you can, it’d be great to know which parts of your invoices you’d most want to highlight with different colours as this will help others understand the value.
In the meantime, if you want to explore more flexibility, the Advanced Invoice Template in Xero can already use different font colours. Our Xero Support team can walk you through how to set this up to achieve the look you want.

Einvoicing - add a second Reference field for Government clients
We have government clients who are asking to be sent invoices using the eInvoicing function, rather than pdf's via Xero's email function.
Some government clients will ONLY accept eInvoices from Jan-27.
BUT these government clients require a separate field to be added to the invoice header so that their system can recognise the invoice and link it to their purchase order. We are unable to comply as we alreadyusetheReferencefieldforINTERNALpurposes.
If we could add an internal reference field that can be seen on the Contact card's Activity section in the same way the Reference…
4 votesHi Jo, thanks for sharing this idea. We appreciate you explaining how dual reference fields could help meet government client requirements, especially with the January 2027 eInvoicing mandate approaching. After reviewing this with our product team, we've moved this idea to Not in pipeline, which means the product team have reviewed the idea and it isn't on the foreseeable roadmap. The idea remains open for votes, so we encourage the community to continue supporting it if this impacts their business. We'll keep monitoring feedback from the community on this topic.

Stripe autopay - warning when removing payment from invoice with past due date
ISSUE: Payment deletion triggers uncontrolled automatic charges and reminders
When a payment is deleted in Xero (even to correct a reconciliation mistake), it automatically re-triggers both autopay and invoice reminder notifications without any warning or opportunity to prevent it. This created a situation where:
- A bookkeeper deleted a payment to reconcile what appeared to be a duplicate charge in Stripe
- This action caused Xero to mark the invoice as unpaid and automatically re-charge an autopay client through Stripe without ANY notification, which cannot be recalled.
- A second client received an invoice reminder and paid again manually
THE PROBLEM:
There's currently…2 votesAppreciate your feedback and desire for a warning that Stripe auto pay will be triggered if a payment is removed from an invoice with a. past due date, Mandy.
We don't have any immediate plans for changing the behaviour of how this auto payments are triggered when payment services have been applied to an invoice but will start to feel out the interest for this from the community here.
For now we'd recommend checking for any payment services applied to an invoice before a payment is removed. If needed you can toggle off a payment service for the individual invoice before taking actions we have some help on this here just follow the second option for an approved invoice.

Quotes - Move quotes to an expired status after expiry date
At the moment, the options for quote status are: Draft, Sent, Declined, Accepted, and Invoiced. A sales quote that was sent but it's now past the date on which it expired still shows as Sent. It hasn't been Declined yet, but nor has it been Accepted, so there are quotes which are 4 years old still sitting in the list of valid quotes (see attached extract from the accounts of one of my clients). There needs to be another category for quotes which are old but which the customer may want to revisit (and therefore would be more efficient to…

New invoicing - Ability to move Create new item modal
The pop up boxes, creating a new item for example, should be able to be moved so that the underlying page can be seen. This is standard on most of the software that I use so it should be so on Xero.

Thanks for sharing this idea about being able to move popups, to see what's underneath them.

Invoicing | Add Payment - Align bank account order across UI
When using the "Add Payment" button on an Invoice, I am regularly confused because the Banks are not in the same sort order I've assigned on the Dashboard / Bank Accounts Page.
This sort order is already applied to the "New Spend Money" page. So really it would be ideal if it matched platform-wide
This is complicated for me since Stripe requires a new account for each platform.
Hopefully the attached screenshot makes the request / issue clearer.
2 votesHi Sandy thanks for raising this with us. This is a great idea , to unify the account order across the platform. We'll move this idea so it gains more support from the community. In the meantime please feel free to share this with your peers who might also benefit from this change. We will monitor this space for more traction.

Sales Lists - Show Total Invoice Amount
To have the option to view full invoice amounts instead of changing on the summary screens after credit notes or any payment has been deducted, as makes it very difficult to check statements when it doesn't reflect the full amount.
4 votesThanks for sharing this idea. We appreciate you explaining how viewing full invoice amounts on sales list summary screens could help with reconciliation.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their vote too!
In the meantime, if you are looking at a specific contact then you may like to view the invoices via the contacts screen for that contact as here you can add a column for the total invoice amount.

Quotes - New Status for quotes on hold
In addition to the existing quote tabs, add an On Hold status. It does not need a separate tab. The quote can stay on the Sent page with a clear visual indicator like a dot, icon, or color tag showing it is on hold. This would cover quotes that are not ready to proceed or are conditionally approved but not fully approved, without marking them as accepted. Although the notes section is quite handy, I believe having some sort of visual impact will increase the users' efficiency. :)
2 votesHi Stephanie, thanks for sharing your idea, and letting us know the changes that matter most for you. We understand the need to have an on hold status or pending status.

Workpapers - Display all Xero Journals in Workpapers to prevent duplication
Can we bring in all Journals made in the financial year not just what we create in workpapers (I picked a job we have completed to test, to see what we might like to see & this is something that would be handy, so we don't double up JNLs), also shows that the system will talk back & forth

Invoices - Ability to select Paid date for invoice with 100% discount
When an invoice is fully settled by a 100% application of a credit, discount, or retainer, Xero should automatically populate the 'Paid Date' with the date the credit/discount was applied.
3 votesThanks for your feedback and sharing here, Thamara.
It sounds like you're applying the 100% discount directly within the invoice. If the paid date differs from the invoice date you could apply a credit note which will record the paid date as the date issued in the credit note.

Hubspot CRM by Xero -Allow negative line item on unit price
An invoice line item can have a negative unit price in Xero but this cannot be done in the the Xero published Hubspot connector app when creating integrated invoices. See the screenshot for the validation error when trying to set a negative unit price on a line item.
NB the validation error makes no sense either because the negative unit price entered IS less than the product total.

Invoices - Add a Credit Terms filter to the bulk Send Statements screen
I have used other accounting packages and you can select terms as a method of who you wish to send statments too. ie 7 day Terms, or 14 Day terms etc etc It allows for easier follow up.
I find auto sending overdue invoices automatically upsets clients, especally if they are 5 days over and this covers 60 odd invoices. I have found in the past I get better response to regular statements being sent according to payment terms.
1 voteHi Annette, we can see how having more ways to filter statement recipients could help businesses manage customer communications more efficiently.
The suggestion is to add a Credit Terms filter to the bulk Send Statements screen, making it easier to group customers based on their payment arrangements.
For now, you can use contact filters or reports to help identify customers with specific payment terms before sending statements. We’ll continue tracking this idea here so the community can share feedback and use cases to help shape future improvements.

Invoicing - Ability to download a paid VAT invoice as unpaid and noted as a copy
Customers often ask for a copy of an older invoice that's been paid. When either resending or downloading it, Xero creates a new PDF that shows the invoice as paid with a 0.00 balance.
I should be able to send an exact copy of the original that clearly states it is a copy. In fact, HMRC states that a request for another copy of a VAT invoice SHOULD be as per the original and state that it's a duplicate.
4 votesHi Marianne, ✨
Thanks for sharing this idea and your feedback about HMRC requirements for VAT invoice copies is valuable. We've reviewed your idea and are moving it to Gaining support. This means the community team have reviewed the idea and it's now open for community support through votes and comments. Statements: View and Pay Online via Square

New invoicing - Assign next number in sequence when number removed
We bulk upload invoices in advance with "Draft" invoice numbers as we don't know their ultimate sequence for issue. We then assign a chronological invoice number when the invoice is approved and/or saved. In "Classic" invoicing, if I delete the invoice number it automatically assigned the next number in sequence e.g. #INV-0089, however in "New" invoicing if I delete the invoice number is warns me that I need a number and reverts to the original "Draft" number" and not the next chronological number in sequence. This is a significant backward step in functionality, can you confirm this bug will be…
112 votesHi everyone, thanks to everyone that completed and fed back through our earlier survey. We appreciate you sharing needs in sequential invoice numbering and will continue to consider these needs as we evolve invoicing in Xero.
Right now, we want to be upfront that there are no direct changes planned for how invoice numbers are assigned.
We'll keep monitoring interest of this here and will update if there are any developments.
