  1. We are a subscription based business, so it would be great to be able to bulk update repeating invoice amounts. Either by selecting all the ones we'd like to change or by pushing through new inventory/product/service price changes. At the moment we have to change every single repeating invoice and this takes hours and hours!

    Thanks for the feedback and great to hear the use you find in repeat templates in Xero. 

    While there's no way to bulk update templates atm, you may find updating your templates through export & import of invoices more helps quicken things up?

    You could export invoices that have been generated from your template to CSV, update the amounts in the exported file, and then re-import

    This will create 'Draft' invoices in your Xero org from which you can create a Repeat template and then delete the draft. 🙂

  2. OLD vs NEW XERO INVOICING

    Customer Name search - this is when adding customer name on customer/contact field when creating a new invoice

    In the old version, the dropdown displays the full hospital name along with the contact email address. However, the new version only shows a truncated name (around 26-30 characters) without the email address. It would be better to retain the old version feature for this especially when there are multiple contacts but different departments, as it was easier to find out whether correct department was chosen and not to make additional right click just to be sure…

  3. Please make the “Save Button” omnipresent, so it hovers/tracks the page and wherever the user is working, while building Quotes & Invoices...

    I keep having to scroll up to the very top of the page, in order to hit “Save” - and found when moving too fast, i can accidentally skip back, losing changes, and then having to start again.

  4. To create a credit note from an invoice without applying it to the invoice.
    Currently the only option is ‘create and apply credit’.
    We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

    Hi team, as mentioned in my last update. In the way credit notes work in Xero today, generally this is a time saving mechanism, so you don't have to take extra steps to apply the credit to the invoice.

    However we understand from the feedback here why this doesn't match your workflow. We are continuing to track the interest from community through this idea but don't have any plans for this at present.

    Currently, from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option.

  5. It would be great if in Xero Blue you could see from the contact profile that they have a credit instead of money owed $0.00.

    It would also be helpful if when creating and invoice or before sending the invoice if a pop up appeared advising the client has credit and asking if you would like to use it.

    Also having the ability to transfer credit between groups/entities would be helpful. At the moment if someone has a credit note against one entity we need to reverse the credit note and reprocess it under the entity you want to credit.

    Thanks for your feedback here. Currently when you create a credit note/overpayment the balance is reflected in the contacts record. This shows as a negative value in the list of the customer's invoices.

    With new invoicing, if you create an invoice for a contact that has outstanding credit, you'll be asked if you'd like to allocate this credit once the invoice has been approved. You'll also see the available credit and option to apply each time you view an approved invoice. 

    While it's not possible to allocate credit from one contact to another you could edit an existing credit note to change the contact without having to recreate it from scratch. 

  6. It would be great if we could add ageing on client/customer statements. (Current, 30, 60, 90 days) Many clients have requested that the ageing be displayed on their statements. Current, overdue and total isn't detailed enough..

    Hi everybody, coming across from the previous forums we know this idea has a lot of interest.

    There is a way of using Xero's reports to accomplish what you're asking here and save the format so you can easily access and send this report to your customers outside of Xero.

    Running the Aged Receivables detail report you can choose how many ageing periods you'd like to show and set the period to '30 days'. Simply Filter the report by Contact and Update to run.

    • Once you've got it set up, save as Custom so you can easily access this format anytime
    • If you deal with groups of contacts this also means you could Filter for multiple contacts to combine the view into one report rather than multiple customer statements 🙂
    • Export the report to PDF, where you can send to customers from your email system outside of Xero

Instead of the currently available [Week] option in the repeating invoice reference field, which only shows the week number of the year, for example '34', instead allow the option for custom text that includes the date. For example to enable the customer to understand that the invoice being sent is for work that was undertaken during week ending 18/08/2024, which you want to display as WE20240818, you could allow something like this in the reference field: 'WE[yyyymmdd]'. This mitigates the issue of customers having to work out the date that e.g. week '34' applies to when reconciling invoices in Xero…

  8. At present when you create an invoice and then use the triple dot menu and "get Link" option you are presented with a overlay which gives you the Invoice link that you can give to the customer. But this link includes an extra querystring parameter utm_source - I want a setting that stops this being added to any links.

    The links currently look like this:
    https://in.xero.com/XXXXXXXXXX?utm_source=newInvoicingGetLinkButton

    And I want them to look like this:
    https://in.xero.com/XXXXXXXXXX

    They are long and ugly looking with the UTM parameter and current I have to remove this manually from every link. I also think adding…

    Thanks for your response, Elsa. If the user has access to the organisation you could share the browser URL of the invoice or bill you're on. This contains a transactions ID. The user would need to be logged into Xero and then when they go to that link it'd open that invoice.

    I guess the second part of your idea here when you mention the hyperlink - Is there somewhere specific or a method you're using that you'd want to share the link?

  10. There doesn't seem to be an option to delete the due date on sales invoices, my client doesn't want this to show on their sales invoices so it would be really useful if this could just be excluded

  11. Allow charities to add an option for customers to make a voluntary donation when paying their invoice.

    When making a payment through the pay now link, they would be able to add an additional amount as a donation, if they choose to.

    HI team, appreciate not directly within the Customer statement at present and being open we don't have immediate change planned for adding this to the customer statement. However, for the time being you could look to run the Customer Invoice Activity report which has a few more options for the columns and detail shown. 

    Once you've set up as you like you could save as Custom to make this readily available in your org and export to share externally with a customer/client. 

  13. Currently you can put titles and notes etc on quotes and invoices etc. However the client does not see any of this. This is critical to be able to add notes etc that don't belong on a line item

    Hi team, thank you for your support and ongoing engagement in this idea. We understand the benefits some customers would find in being able to add notes or a free text field to invoices so you can add additional detail for your customers.

    Being open, this isn't something we have in our roadmap atm, but will continue to consider for future enhancements.

    For the time being, a couple of options that may be useful;

    • Using only the description field of a line item to add additional details
    • For more static messaging you could add the details to the payment advice of a standard template, or
    • Add static text with an advanced template editing the template with DOCX

    We appreciate this is not the complete solution and will continue to keep a close watch on this idea and share if there are any updates, here.

    Hi everyone, thanks for your feedback on sending statements from the mobile app. We appreciate you sharing how important this is for managing your business on the go.

    The product team have reviewed this idea and we're updating the status to Accepted, which means it's an idea they would like to explore, but it isn't currently on the roadmap. We'll keep you updated as things progress.


  15. Thank you for the 'Today - tomorrow' options in date selections but we would really benefit, and use regularly, a 'Yesterday' option given we often Invoice customers 'after' they have collected goods etc.

    Hi team, as mentioned in my last update this isn't available from the Sales overview at present. However if you select Send Statements you can view Overdue amounts high to low (Just click the Overdue column header to re-order). 😊

    While we'll continue to track interest of this here I want to be upfront that this isn't something we have plans for.

  17. Reports - Quote Summary pulls incorrect column references. Xero dont accept this is an error and think its a product enhancement.
    Currently when you produce a quote report you cannot have a column titled Quote Ref or "Quote date". Xero has a bug which is using "Invoice Ref" and Invoice Date". Obviously for customers of our business they get annoyed that we are sending them reports implying a quote has been accepted and invoiced rather than purely pending. Such a basic error in Xero but they just dont accept the error

  18. I run a braille transcription business and must submit braille files along with invoice. I would like to send all from once source, Xero, rather than in a separate email. Attach .cdr (CorelDraw) and .B2K (Braille2000) files (other file types, too).

  19. The new feature sets the discount column to numeric value by standard. My business uses % and it's incredibly tedious having to type % each time. We can do 10-20 quotes a day with an average of 30 products per quote. So a feature that would allow us to click a button to default to percentage, so when you type a number the % appears (like in old Xero).

    Hi everyone, we appreciate the interest his idea has received. Introducing the ability to add a discount amount was highly requested by our community. We recognise for customers that discount by % this means you'll need to enter a % symbol where y ou wouldn't have done so before.

    With quite a few items drawing our teams attention at present we want to be upfront that developing a default option for discounts isn't in the pipeline atm. This is something we'll keep reviewing and consider as a future improvement in this space. If there is any change or progress around this I'll let you know on the idea, here.

  20. Quote Titles should show up in the reporting so that clients can see which projects they are looking at. This is much different than a reference which is typically a job or project number that the client needs reference to.
