  1. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

    Thanks for the great discussion and all the votes on this idea. We know that without the ability to set specific leave approvers, it can be harder to keep governance clear, avoid self-approval and ensure requests go to the right person.

    While we’re not planning to develop dedicated approval workflows in the near term, we want to share a tip that many have found useful. You can help streamline the process by guiding employees to select their direct manager from the approver list. While all payroll admins and leave approvers are listed, this step helps make sure requests reach the right person and keeps oversight clear.

    Your feedback here is incredibly valuable for future planning and we’ll continue to keep an eye on this idea’s traction. We’ll keep it open for voting and will share any updates if plans change down the track.

  2. Could we include a notification when a staff member has a birthday? This has multiple benefits including allowing us to check if their award salary or benefits need to change and also be able to congratulate them on their birthday. Surely it wouldn't be a huge change to make but would be a unique and helpful change for many SME as I currently need to create a new Google calendar for staff birthdays, creating additional work especially when we have 50+ staff and low retention in hospitality. Thank you.

    Hi everyone, thanks for your feedback and votes on adding birthday notifications to Australian payroll - we understand how this could help with team celebrations and managing age-based award rate compliance.

    After reviewing with our product team, this feature isn't currently on our roadmap, and we'll update the status to 'Not in Pipeline'. Right now, setting up an external calendar could help you track these important dates.

    Our product team has reviewed this suggestion. While we understand the value it'd bring, it isn't on our foreseeable roadmap. As a result, we're updating the status of this idea to 'Not in Pipeline'.

    Hey everyone, we thank you for the detailed feedback on improving how leave requests work for part-time employees in Australian payroll. 

    We understand the value of shifting the task of adjusting hours to employees, freeing up payroll administrators’ time for other priorities and we also appreciate the points raised around accuracy and compliance.

    While we don’t have current plans to deliver exactly what’s been suggested here, our product team is continuing to focus on developing working patterns within AU Payroll. Based on what we’ve seen in other regions, this'll likely address many of the needs discussed here.

    We’ll move this idea to Not in pipeline for now, but we’ll keep you posted on any updates that could help achieve what’s being asked.

  5. For permanent employees, all XERO business customers should be able to calculate their future leave balances. This will allow a business owner to know if they can approve the leave or not, or what conversation to have with a team member.

    I hope this idea is backed and implemented.

    Hi community, thanks for all your discussion and votes on this idea. We can see the appetite in being able to project future leave balances in AU Payroll. We understand that you're looking for an easier way to see an employee's accrued leave for a future date, which would make planning for things like company shutdowns and approving leave requests simpler.

    Our product team has taken a look at this suggestion, however building this functionality isn't on our foreseeable roadmap. For that reason, we'll be changing the status of this idea to ‘Not in Pipeline’. The idea will remain open for votes, so we can continue to gauge interest when we next review our priorities for payroll.

    As some have shared - exporting and combining reports outside of Xero is one way to get the information you need, although we understand its not the solution you'd like here.

  6. We want to be able to open and complete the employees draft timesheet, if it has already been started. We have enough to do without starting again from scratch what the employee may have already done but just not clicked the submit button.

    It is idiotic that, as the owner and payroll manager, that we cannot see an employee's draft timesheets.

    As the business owner and Payroll Admin, we should:

    • not have compromise our recordkeeping by putting hours directly into the pay slip.

    Hey Community, thanks for all the support shown for this idea. We understand that the core of this request is for business owners and payroll admins to be able to view, edit and complete draft timesheets.

    Our product teams have carefully considered this, however we want to be upfront that developing this capability isn't on our foreseeable roadmap at this time.

    Thanks for your support and joining in this idea. We get the challenges involved in manually chasing up employees to complete timesheets each pay period.

    Although it's not the integrated solution you’re looking for, you could look to set up recurring calendar events or using external communication tools to prompt your team members.

    We want to be transparent that we don't have any plans for adjusting the existing notifications for timesheets.

    We'll continue to monitor this idea, and should our priorities shift in the future we'll let everyone know here.

  8. At the moment this isn't an available feature, and HMRCs basic PAYE tools need to be used. It would be good to see this as an option in Xero.

    Hi everyone, thanks for all of your engagement with this idea. We appreciate you taking the time to share your thoughts on being able to claim previous year's employment allowances in Xero.

    We understand this would save time and provide a more complete payroll solution.

    As noted by others in this thread, the current workaround is to process prior year claims using HMRC's Basic PAYE Tools.

    We've reviewed our upcoming development roadmap, and at this time building the functionality to process prior year Employment Allowance claims is not in our immediate pipeline.

    We will keep this idea under consideration for future development, and should our plans change, we will provide an update here.

  9. Create the ability to allocate payroll items (eg Wages & Super) to multiple sets of tracking categories within payroll.

    The only way that wages can be allocated to tracking categories is via timesheets or Journals (and only one set of tracking categories is able to be included in the timesheet).

    This would be really helpful for many NFP's who require the ability to use two sets of tracking categories for all their expenses including Wages & Super (One set of tracking categories for departments and another for funding sources/grants).

    Heya team, thanks for all your input here. We hear you, and understand that being able to assign multiple tracking categories to pay items would improve your reporting capabilities, and simplify tracking costs for various projects, locations, or departments.

    For now, we’d suggest using manual journals to split and reallocate payroll costs after a pay run. Alternatively as some have shared, you could create specific pay items for each tracking category combination, although we recognise this may not be suitable for all.

    While this isn’t in our plans at this stage we understand the rationale here and will consider how tracking works within payroll closely as we continue to develop our roadmap.

    If there are any changes or news for tracking in payroll we’ll be sure to update you of this here.

  10. When running employee leave transaction reports, it would be good for this report to also include employee unpaid leave, as presently this option is not available. The only way to run an unpaid leave report is to run a leave request report, export and edit as required. We have to submit reports to the ADMS for our apprentice claims, and a report including all leave is required.

    We really value the contributions and support this idea has received from the community here - Thanks everyone. 

    While we've evaluated and fully get why you'd like more visibility of your employees unpaid leave, we want to be transparent that atm leave reporting isn't in the roadmap for the near term. You can see some of the recent development for the AU Payroll space on The Long and Short Of It.  

    For the time being you could add a few filters within the Leave Requests report, and then export to a spreadsheet to gather the unpaid leave data you need.

    We know this will be disappointing news, but we really appreciate you taking the time to share your thoughts with us. Though we have updated the status to Not in pipeline members can continue to add votes here and we'll keep tracking the trend for future considerations. Thanks 

  11. Streamlining " Multiple of Employee's Ordinary Earnings Rate" .
    I have a client who has 14 employees and 4 Ordinary Earnings Rate for each employee as their business trades 7 days a week. Each Employee is on a different Ordinary Earnings Rate. The current system on Xero requires you to create and select Multiple of employees ordinary earnings rate in the payroll settings and calculate and enter the multiplier % for each earnings rate for each employee in order for the ordinary earnings rate to be calculated and for the annual leave and carers/personal leave to be calculated.     Hi everyone, thanks for your feedback on this idea. We appreciate you sharing how important accurate leave accruals are for managing payroll when employees work at different rates across various days or departments.

    While we aren't able to add this to our roadmap right now, we want to make sure you are aware that it is currently possible to set up leave to accrue on more than one earnings rate.

    As mentioned in this thread, the key is to set the Rate Type for these additional items to "Multiple of Employee's Ordinary Earnings Rate".

    Please refer to our support article Set up overtime or earnings that accrue leave for a guide on how to do this. We'll keep this thread active for future feedback.

  12. Have automatic superannuation payments be able to be paid via credit card, through xero. Currently there seems to only be the ability to make automatic payment via direct debit but it would be good if it could be made by a credit card.

    Hi everyone, we appreciate and understand the desire to use a credit card for Auto Super payments.

    We've looked into the possibility of introducing this feature. However, Australian regulations currently do not support credit cards as a payment method for Superannuation. Until these regulations change we’re unable to develop this feature.

    For this reason we’ll be changing the status of this idea to Not in pipeline. We’ll continue to monitor regulations in this area and will revisit this idea if the situation changes. Thank you for taking the time to share your feedback with us.

  13. We cannot see/create leave liability in our reports and/or our balance sheet.
    I wonder how a true business value is going to be shown on balance sheet without this liability.

    To be frank and honest, it is not an idea, but quite basic necessity.

    Firstly, thank you for all the support and detailed input on this idea. We know an automated Leave Liability Report could be a valuable tool for accurately reflecting a business’s financial position in AU Payroll.

    While it’s not something we’re planning to build in the immediate future, we’ve seen some useful suggestions from the community, such as using manual journal entries or tracking in spreadsheets, though we recognise these aren’t perfect solutions.

    We appreciate the time and thought you’ve put into sharing your feedback. While we’re moving this idea to Not in pipeline for now, we’ll continue to monitor its traction and share any updates if plans change.

    Hi everyone, we really appreciate the sentiment and engagement on the idea of being able to forecast leave balances.

    We know this feature could make planning ahead and managing leave approvals much easier, but at this stage it’s not something we’re planning to develop in the near term, so we’ll be moving it to 'Not in pipeline'.

    We’ll continue to keep an eye on how this idea trends in the community and will leave it open for voting. If our plans change, we’ll share an update here.

  15. We need to know how much to provide for on the balance sheet for annual leave and long service leave each month and track these for our financial statements. All the information is available via Xero payroll (leave balances and pay rates for each employee as well as leave accrued and leave taken) but in order to account for this correctly we are expected to export reports and do the calculations ourselves. And we need to maintain external files to reconcile this to each month.

    Hi everyone, thanks for your feedback on automating leave provisions. Currently Xero does not automatically include leave liabilities on the Balance Sheet. Some of you have mentioned workarounds such as reviewing the Leave Balances Report and creating Manual Journals to include the liability in your reporting.

    While we’re dedicated to streamlining payroll calculations, our product team confirmed this specific idea isn't on our foreseeable roadmap. We’ll be updating the status to Not in pipeline. The idea will remain open for votes so we can continue to monitor community interest.

  16. The report should be able to generate Employee Name (First & Last in separate columns), DOB, TFN, Bank Details provided, Super Funds & Address.

    We need various information like from time to time for reporting purposes but we cannot get it without having to click in to every single employees - which is hectic

    Thank you all for sharing your feedback on how important consolidated employee details are for your businesses.

    In November 2023, we released updated payroll reports which allow greater flexibility, however we understand this doesn't fully meet your needs

    While employee’s date of birth and account details are accessible from two separate reports, due to the sensitive nature of TFNs, there’s no plans to include these in exportable reports.

    While we truly appreciate your feedback and support in this idea, we want to be upfront that we don’t have intentions of combining all the data requested here into a single report that can be exported from Xero Payroll.

    Hey everyone, we've been following the conversation closely and appreciate the invaluable feedback regarding expenses in Xero.

    Whilst we can see how forwarding expenses to an email address would be useful for your staff, this is currently a functionality that is not on our product team’s roadmap. In line with our new Xero Product Idea status, we’ve now updated this to Not In Pipeline.

    We’ll continue to monitor the support for this idea and will keep you updated with any future changes.

  18. Include a new field in Payroll Employee data with employee number. Employees will have a unique identifier in Xero. For any new employees, Xero will generate a unique number.

    Currently Xero uses unique identifiers for employees which are included in STP files sent to the ATO, however there’s currently no ability to add employee numbers to employment records.

    After reviewing with our product team, this feature isn't currently on our roadmap so we'll update the status to 'Not in Pipeline'. As an alternative, payroll admins can use the Notes section or adapt an existing field in the employees record to assist with identifying employees.

    Whilst we understand this may not be the outcome you’d hoped for, we appreciate you taking the time to provide us with feedback to help shape Xero.

    Hi everyone, thanks for all your feedback. We understand how important customisable payroll access is for many of our customers to effectively run their business. As you may have seen in other parts of Xero (like inventory & reporting) we’re beginning to develop more granular controls for permissions in some areas.

    While we’ll continue to consider how we develop access to other features across Xero, we want to be upfront here that we don’t have any plans for providing the ability to disable access to timesheets or leave through the Xero Me app.

    With this in mind, we’ll move this idea to Not in pipeline. You’ll see there are other ideas surrounding Payroll permissions that may solve for what you’d be after in this idea, and I’d recommend adding your vote to those so we can share if there’s any progress toward that functionality as we keep developing.

  20. If this has already been suggested I would like to add in the payroll items an Employer Expense (not a deduction or reimbursement), similar to the way Superannuation is treated, with an expense and liability account. This would account for the BERT & BEWT that is required in the building industry.

    Hi team, we appreciate your engagement here and wanted to provide you with an update.

    There are many good suggestions shared in this thread on how to currently process this in Xero. Alternatively, you could create a bill to make and track these payments. Employees can then review their balance directly with the scheme provider.

    Atm, the changes required to implement this aren’t on our road map, however we’ll continue to monitor the support for this idea. We'll be sure to keep you updated if there are any changes in the future.
