  1. There is no reason to keep the previous bank holidays on every payslip.

    I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.

    Hi everyone, returning now a few weeks on from our last update, we’re going to move this idea to ‘Delivered’ with the change the team made to Payslip PDFs. We have now combined all previous earnings as one YTD line so that your employees only see the most relevant information 🥳

  2. Change the Alternate Holiday accrual to days not hours. Legally when someone works on a statutory holiday they get to accrue 1 days alternate holiday, which is the hours that they would normally work when they take the day off, not the hours they worked on the stat day. It's misleading putting in hours instead of days, especially if every day if not an 8 hour day. Reports need to be run every time an Alternate Holiday is taken to ensure they still have that day available.

    Hi all, thanks for your patience. We've recently rolled out a change for all NZ payroll organisations, which will allow payroll admins to convert employees' leave balances from Hours to Days.

    Going forward leave will accrue and be visible as days.

    Thanks for supporting this idea and being the voice of change.

    Hey team, if you'd like to see a report that shows changes made to payroll such as salary changes, you can use the Payroll History report.

    It can be run for a specified date range and will show the date the changes were made, what the changes were, the employee affected and the user who made the changes.

  4. UK Payroll - need a summary report showing leave taken / remaining by employee for a given leave year - This is already available in AU payroll

    Hi team, as an update to my last post, we have now rolled out the Leave Requests report in UK Payroll. This report lists the details for leave requested, approved and taken, for all employees or can be run for a singular employee, and will help when planning rosters or work schedules. Payroll Admins will be able to find and access it through the Reports Centre found in the Accounting menu. We're aware that the Leave Requests report does not meet all of the requirements as outlined in the comments of this idea, and we have created a new idea for a Leave Transactions Report. We will track interest of this idea and keep an eye on this separately, so please do join and support if this is of interest to you.

  5. Payroll - Victorian Public Holidays -

    Please add:
    Friday before the AFL Grand Final Friday 27 September

    I tried but was not able to manually add this as an extra Public Holiday

    Thanks for sharing in the idea here, Faye! While we don't have plans to change the current set up - as suggested when you choose to "Add Holiday" rather than selecting one of the drop down options, you can just type in the Holiday that you want to add.

    Hi everyone, thanks for your feedback on improving the schedule of accrual for sick leave.

    We've now rolled out a change to all NZ Payroll organisations. We’ve added a custom leave accrual option to the leave schedule of accrual. Once an organisation has converted their sick leave entitlements to Days, you can adjust the sick leave entitlement schedule as needed.

    By default, you can choose to accrue from start date or annually after 6 months, but there is now a custom option that allows you to set other schedules, for example, after 3 months.

Where an employee takes unpaid leave for more than one week, it would be helpful if you could enter in the date in which the unpaid leave applies from so that the anniversary date can automatically be reset. The current set up is rather antiquated, and needs to be automated to ensure accuracy and ease of use.

    Hi everyone, thanks for your feedback on the option to change and employee's leave accrual anniversary date.

    We’ve rolled out changes to all NZ Payroll organisations that allow key leave types to be recorded in days and weeks.

    Once an organisation has converted leave to weeks, you can go to the employee’s record, open the Leave tab, and select Edit next to Annual leave. From there, you can adjust the annual leave anniversary date as needed.

    We really appreciate everyone who supported this idea and hope this gives you more control and accuracy when managing leave anniversaries in Xero.

  8. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

    Hi everyone, back to announce that employee profile updates have now been rolled out across NZ, UK and AU 😊

    With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;

    • Contact number & email address
    • Residential address (excluding State/Country)
    • Emergency contact information

  9. UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates

    We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl

    Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets. 

  10. Offering a simple update to the Xero system which would dramatically improve one grey area:

    I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.

    Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.

    We would all very much appreciate it if you at least give the option…

    Hi team, we're happy to share that we've recently released a couple of updates to solve for the needs here!

    • Payroll admins can now view employee leaves balance in weeks, days and hours where the employee has a consistent working pattern set up.
    • On the employee front, you'll be able to view leave balances in hours and (days) within the Xero Me app.

    We'd like to say a big thank you to everyone for contributing here and being engaged with our product team to deliver functionality that's most impactful for our customers.

    We have more enhancements coming to the Xero Me app soon, stay in the know through the Long and Short of it, and releases on Xero Central.

  11. There has always been a date column - add it back - why mess with something that has been used for so many years. Absolutely so desruptive to our professional services.

    Hiya Simona, sorry for not updating you on this sooner.

    Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.

    This new report includes additional columns such as DOB, Start & Termination dates, and Employment Groups.

    We hope this report helps you with managing your workflows.

    Hi everyone, we’re pleased to share that we’ve now released working patterns to all UK organisations that use Xero Payroll.

    This change reduces manual workarounds enabling you to enter more information employees’ working patterns to support accurate allocations of leave and earnings rates. You’ll find you can now;

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

    We’ve shared a few videos on YouTube that’ll help guide you through the change 😊

    We really appreciate everyone who’s engaged with us on this idea and those who’ve been involved in testing some of the functionality with us through the journey.

  15. It would be great if Xero could implement an automatic change/suggestion to change to category A after an H-category employee doesn't meet the criteria anymore.
    One of our employees just had his birthday and I noticed the category doesn't automatically update and there's no flag to say they might now be ineligible for a certain code.
    I imagine there are more companies with the same problem where it's gone unnoticed that the National Insurance Category hasn't automatically updated as nearly everything else does and it's easy to miss a birthday!

    Hi community, we've rolled out a change to Xero Payroll (UK), and now Xero will automatically apply the new NI category to a pay run based on an employees birthdate, and if they are entering into a new NI category. Meaning you no longer have to manually track and updates these.

With ever changing minimum wage requirements (UK only) which are based on an employees age it would be useful to be able to have a 'one pager' report that lists the employee name and the current age. Their age is data which is already in Xero as part of the employee profile. A report would be useful to help payroll staff check who needs to move onto new wages / salaries based on age groups.

    Hi everyone, thanks for your feedback on having a seamless way to record shutdown leave in Xero.

    We recently released an update to all NZ Payroll organisations which now makes it easier to manage shutdown leave in Xero.

    Once an organisation has migrated to having leave balances in weeks and days, the leave anniversary for an employee is decoupled from their start date.

  19. Ability for Payroll Admin to delete holidays. When an employee books the wrong day or is off sick during a period of pre-booked holiday and wants his/her holidays cancelled, the payroll admin should be able to delete the holiday but cannot.

    Hi team, rounding back on the idea here I want to confirm that currently Payroll admins can reject approved leave requests which will delete it.

    If the leave request has been included in a draft or posted payrun, the payroll admin will need to revert to draft and delete the payrun before the leave request can be rejected.

  20. Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?

    Hi Laura, it looks like you also raised a support case about this which has since been resolved. 

    To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.

    For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.
