Expenses - Introduce Bulk Actions for Submission and Approval
Bulk Actions for Expenses: Restore Submit/Approve Many. With the retirement of Classic Expenses, a major efficiency feature has been lost: the ability to process expense claims in bulk.
The Problem: Currently, each individual expense claim must be opened, reviewed, and actioned one-by-one. For anyone who needs to approve 20 claims at the end of the week, this is an incredibly tedious and time-consuming process. What was once a 30-second task now takes many times longer.
The Solution: Reintroduce checkboxes and a bulk action menu to the expense claims overview screen. This would allow users to:

Xero Expenses - Ability to bulk import Expenses
Problem
The migration to the new Xero Expenses module has created a significant regression in workflow efficiency. Specifically:No bulk entry path exists. Organizations processing high volumes of expenses must manually create each item one-by-one through the new expense form — which is itself slower and more cumbersome than the legacy interface it replaced.

In terms of the API we have a separate idea forum where these ideas can be raised and experts that are better suited to handle and review these sort of requests.

Enable editing of paid expenses without reverting payment
Xero currently prevents us from editing expenses without first reverting the payment, which is incredibly inefficient. There are many instances where we simply need to update a tracking category or adjust a description without affecting the total amount paid, yet Xero Me offers no flexibility for these minor changes.
Could Xero align the functionality of the Expenses module with the Bills module? Since these expenses ultimately sit within Bills anyway, it is frustrating to have to revert a payment just to fix a typo or add a word to a description.

Xero Me - Ability to reconcile credit card expenses from a bank feed
It is impossible to us the credit card bankfeed function and allow for the credit card user to account for these expenses in Xero Me.
Solution: allow for credit card transactions to pull through into Xero Me via automatic sychronisation. Classic Expense Claims widget - reinstate it
It is a nonsense that Xero has removed the Classic Expense Claims widget from the homepage. I have been using it for 11 years and it is unacceptable that this has just been taken away - now we have to pay more for the new Expenses module if we want it to feature on our homepages. This is the type of product deterioration under the guise of “improvement” which brings tech companies into disrepute. Just put it back please :(

Expense Claim - Option to make 'tracking category' required field
Ability to make a 'tracking category' a required field on expense claim form. Currently this is in optional fields and isn't obvious to the expense submitters. This would also be relevant for 'customer', 'project' and 'label' fields depending on how an organisation has set up their Xero.

Expense Claims - Populate contact for reimbursable expense claims
Re-introduce Vendor Auto-fill in New Expenses to Save Time & Prevent Data Duplication. The new Expenses experience is missing the vendor auto-fill/suggestion feature that existed in Classic Expenses. This is a critical time-saving tool that also prevents the creation of duplicate vendor records due to minor spelling variations or typos. Re-adding this feature would greatly improve efficiency and data hygiene.

Segregate expenses to be reconciled through different bank accounts and make forex conversion better
Problem: Our organisation has over 60 monthly subscription in foreign currency that is paid through our business credit card account and the foreign currency amounts aren't matched properly causing manual matching.
Solution: Firstly improve the reconciling so that the forex amount on the invoice is converted at the forex rate and appears on the bank recon screen in green. Secondly add functionality that all bills are separated between which accounts they are to be settled from so that they show up green in the bank recon screen in the bank account they were selected to be paid from

Expenses - Pick Expenses attendees from directory
I’d like to submit a feature request for an enhancement to Xero Expenses, specifically around team meal and group expense submissions.
Current Challenge
When employees submit expenses such as team meals, client lunches, or group events, there is currently no built-in way to select the attendees from within the organisation.At the moment, users can only enter attendee details manually (e.g., typing names into the description), which leads to:

Xero Expenses - Add custom fields for SARS

Xero Expenses currently captures the following for mileage claims: date, distance, and a description. This is wholly inadequate for South African tax compliance and exposes every South African business using Xero Expenses for travel reimbursement to material tax risk.
The South African Revenue Service (SARS) prescribes specific logbook requirements under the Income Tax Act 58 of 1962 and the Seventh Schedule thereto. A valid SARS travel logbook must record the following for every trip:Date of travel

Expenses - Mileage tracking to alert when 10,000KM's are reached
For mileage expenses a way to have a total amount of miles used so that I can track once I reach 10,000 miles and adjust the rate from 45p to 25p. Or have this set to automatically.
6 votesThanks for the idea ✨ and for explaining the need to be alerted at a mileage threshold so the rate can be updated. We’ve reviewed this and, at this stage, we’re not planning to progress it. The approach needed here would rely on a GPS component for automated tracking, and this isn’t something we’re exploring right now. In the meantime, you can continue recording mileage manually and adjust the rate when you reach your threshold. We’ll keep monitoring interest in this space, and if our direction changes, we’ll update here. Thanks again for sharing your use case and helping us understand your needs 🙏

Expenses Claim
We are currently facing an issue where we are unable to download supporting documents as PDF files before approving claims.
When a PDF file contains many pages, we are forced to save each page individually as an image. In some cases, the images are unclear, which makes it difficult for us to properly review and approve the claims. Saving pages one by one is extremely time-consuming and greatly reduces our work efficiency.
Previously, in Xero, we were able to download documents before approving claims, but this function is no longer available. It feels like the system has been downgraded instead…

Previously, PDF receipts uploaded in Expense Claims could be previewed and downloaded directly from the Expense Claim screen. Currently, PDFs only appear as image previews, and the original PDF file cannot be downloaded until the claim is approved and converted into a Bill.
It would be great if the previous behavior could be restored, where PDF files can be previewed and downloaded as PDFs, while image files can be previewed and downloaded as images. Mobile App - Scan receipts as Documents instead of photos
On the Hnry App when I wanted to upload a Receipt I could go Add image/document and then it would scan the document and only show the receipt. This functionality would be great in the Xero app. Onedrive even has this functionality.

Add the Same Add receipt function in the Phone app to the web app
In the mobile App you can add a receipt using the Plus Button. When you go to do the same in the Web app there is not Add Receipt.

Expense Claim without staff using XeroMe
Would be great to be able to create an expense claim for all the staff members listed in Payroll without them having XeroMe access.
Our staff don't use XeroMe at all, but submit expense claims on the odd occasion. The Expense option is a great idea but very limiting to the staff members that we can use it for.3 votesHi Vanessa. Thank you for this suggestion.
We understand that for staff who rarely claim expenses, setting them up as a Xero user just to process a single reimbursement can be administratively heavy.
As you have found, the current Expenses module requires the "Claimant" to be an invited Xero user. Because your request is to allow claims for "non-users", we are classifying this as a new idea to Gain Support.
A note on Xero Me access: If the main barrier is that your staff prefer not to use the mobile app, it is worth noting that they can also submit their claims via the web version of Xero Me (logging in via a desktop) instead of using the app.
