  1. Viewer permissions - Ability to customize Viewer permission for users. Eg If I want to provide viewing access to only Bills but not for Bank accounts. Also, ability to provide access to users based on Reporting tracking category, this is very useful for not-for-profit organization, where many staff are volunteer and we would like to assign user based on reporting category.

Thanks for raising this, Reshma. We understand the request for more flexible View Only permissions, so access could be limited to specific areas.

I’ve updated the status to Gaining Support so we can continue tracking community interest. What would you want to be able to include or exclude when setting up Viewer access?

  2. Hierarchy of approvals of bills and Purchase orders

eg Invoices over £1000 go to tom to approve

We appreciate the feedback and interest in being able to set different levels of approval across different transaction types in Xero atm. Currently the draft permission will enable a user to create draft transactions in an org with out the ability to approve, while the Sales Invoice Only role will enable a user to create and approve invoices or quotes without access to purchases, and similarly the Invoice Only Purchases role will allow a user to create and approve Purchase transactions without access to Sales.

To better understand the ask in this idea can you share exactly the type of set up you would be looking to achieve to help with entering information in your organisation.

  3. Standard user to be able to run and publish reports. Standard user to be able to prepare BAS but not submit (current set up), able to lock period but not modify locked period.

  4. Xero has recently improved user permissions so that users with the Sales & Purchases – reports for sales & purchases role can access Aged Receivables and Aged Payables reports without also being given access to all financial reports.
This is a very welcome improvement, particularly for administration staff who need access to debtor and creditor information as part of their day-to-day roles, but who should not have access to sensitive reports such as the Profit & Loss, Balance Sheet or bank account information.
Unfortunately, these users can currently view and run the Aged Receivables and Aged Payables reports but cannot…

Thanks so much for taking the time to share this idea with us. We’re pleased to let you know that it’s now open for votes and comments in Xero Product Ideas. We encourage others in the community who would benefit from this functionality to vote and join the conversation. Thanks again for helping us make Xero better! 😊

  5. I have read the Xero feedback that multiple approval levels in XeroMe expenses is not on the roadmap (disspointing) but I would like to make a case for a specific situation. I have team managers that can approve other expenses, but they should not be able to approve their own expenses.

Can we please have a check box, or option, that if someone is granted approver status, that they should or should not be able to approve their own expenses? Everyone needs a reviewer, but as it stands, if someone is granted approval rights, that individual can approve their own…

Hi Brian, thanks for sharing your feedback. We understand the point in having an option to prevent users from approving their own expense claims, particularly for larger teams or businesses with more structured approval workflows.

I’ve moved this idea to Gaining Support so we can continue tracking interest and help our product teams better understand the demand for this type of approval permission setting.

  6. Read Only - Allow viewing imported bank statement

Have it so Read Only users can view imported bank statement, I don't know why this isn't already a thing....

  7. It would be great to be able to select/deselect more options under each role if the role isn't quite right.

E.g. I need a user to be able to view all the previous invoices and create new ones but not be able to approve invoices. Neither Sales nor Draft sales roles offer this option.

Thanks for sharing this idea and for letting us know you’d like to give a user access to view all previous invoices and create new invoices, without giving them permission to approve invoices 🙂

We’ve opened this idea up for the Xero community to vote, comment and share their feedback. The more support and discussion an idea receives, the better we can understand how broadly this capability is needed.

  8. We really need to be able create a read only role where you can restrict by type (eg invoice/purchase), by client (ie restrict what clients can be seen), by "office" (ie by tracking category. The current roles are way to broad and businesses have teams that need more restricted access.

  9. Proposed Feature: Quote Only User Role with Restricted Inventory Access

Introduce a Quote Only user role in Xero that allows a user to create, edit, send and approve quotes while restricting access to all other parts of the system. The user should only see the quotes they created themselves and nothing else.

The Quote Only user should be able to create quotes, edit their own quotes, send quotes to customers, and view inventory items with read only access. Inventory visibility should include item descriptions, prices, tax settings, and available stock quantities, but the user should not be able to modify…

  10. If a user has access to Invoices and Purchases and they have the ability to change Customer detail the role or an additional role should be to be able to export customer lists details as well as a seperate roll to access the age receivables.

This would give the Debtos managment role full access to follow up on all debtors and be able to update details for customers in bulk.

Hi Rozane, thanks for raising this idea. We can see how being able to export contacts with Invoice Only permissions could help businesses delegate tasks to team members without giving extra permission.

I've updated the status of this idea to Gaining Support so we can continue gathering feedback and better understand the workflows where this level of access would be valuable.

  11. Currently when you grant a user the ability to draft sales and purchases, this comes with the ability for that user to access the notes & history for all contacts. This contains sensitive financial information associated with that contact.

It would be useful to add in to Settings > Users > Permissions to be able to restrict access to contact notes & history as an option across all user permissions.

Hi Laura, thanks for sharing this idea. We understand your outline that contact notes may contain sensitive financial information, and that more granular controls over access to contact Notes & History could help businesses protect this information while still delegating sales and purchasing tasks. This idea is now open for community support through votes and comments, helping us understand the level of interest. We'll keep a pulse on the interest this idea receives and share if there are any updates. ✨

  12. ability to allow some users access to connected apps but NOT bank accounts. Currently you can't have one without the other. We currently have a user who should not be seeing the bank accounts or have the ability to reconcile and make changes etc but needs access to connected apps which puts our not-for-profit organization in a vulnerable situation.

  13. There needs to an option in user permissions that allows a user to create purchase orders, bills & credit notes, but not approve them. They also need view the chart of accounts so they can see which account to use, and be able to view purchasing reports (but not edit them!)

Currently, we have to set a user as "Standard" to allow them them to create a purchase order or bill, but that automatically gives them permission to approve. We want to restrict approval to a higher lever

Hi Kevin, not exactly the level to which you're asking here, however rather than Standard access it sounds like Sales and purchases would allow a little more restriction while still providing access to the areas needed.

With the Sales and purchases role a user will be able to enter sales or purchase transactions, and you can also select to give them access to Purchase reports specifically.

With this role a user won't be able to access the Chart of Accounts, however within transactions they would be able to select the account and view accounts in the chart of accounts.

We don't have plans for this specific level of access right now, however we're continuing to evolve our permissions across Xero and will keep an eye on the interest this builds here.

  14. Permissions - User Roles to Submit and Approve Journals.

There is currently just an option to "save as draft" or "post" so no approval workflow or audit trail on approvals.

Users should have custom permission to create/submit or approve journals.

Thanks for sharing your feedback. We understand the need for more flexibility around who can create and post manual journals. A dedicated approval workflow could make it easier for teams to delegate journal preparation.

We've moved this idea to Gaining Support so we can continue gathering feedback. If this could help your team, add your vote and share what you'd like the approval workflow to include.

  15. I am going through a bad divorce and I have to give my ex wife read only access to my company file however i am going against court orders and not giving her access as i know she will take invoices, purchase orders and product sell and buy prices to my competitors once our settlement is complete.

I need xero to create a read only service that does not show invoices, purchase orders, bills, inventory and also removes the report tab. pretty much just allow her to see bank accounts and where money is getting allocated.

    i really feel like…

Thanks for sharing your idea, and letting us know the changes that matter most for you. Xero’s current roles (including Read only) are intentionally broad, but we know they’re often too ‘all or nothing’. We can’t give a timeline for specific changes to Read only yet, but the direction is definitely toward more configurable roles and tighter control over what view-only users can see.

  16. Remove the ability from certain users to delete bank line transactions.

We need clients to update bank login details etc however we don't want them to have the ability to delete line transactions.

Hi Zak, thanks for sharing this idea. We understand how having more granular user permissions to prevent specific users from deleting bank transactions could help strengthen internal controls while still allowing users to complete their task.

I've updated the status of this idea to Gaining Support so we can continue tracking community interest. If this permission would be valuable for your business, we'd love to hear more about how you manage bank permission across your team.

  17. New Inventory Permissions - Standard user automatically gets full control of inventory. Is it possible to customise this like you have in Invoice only to View,Edit etc?

Could we please request further customisation of inventory permissions?

Under the current permission structure (NEW), a standard user has the ability to edit and manage inventory. However, if reduced to Invoice only, they can view inventory items (which is helpful) but they lose the ability to view all invoices for a contact. This makes it difficult for them to properly review customer purchasing history.

At present, the only way to allow visibility of…

Thanks for the additional feedback! Understand how having these permissions for the Standard role would be beneficial, and this is something we do want to support but don't have a clear timeframe for just yet.

I'll shift your idea for Accepted right now and keep you updated of any progress around this here.

  18. Standard User Roles - Toggle ability to reconcile transactions. Would like the option for Standard Users to have full visibility of the bank (Reconcile tab included) but just not be able to reconcile any invoices/bills/spend moneys

Hi there, thanks for sharing this idea about allowing users to view bank accounts and the Reconcile tab without being able to reconcile transactions. Thanks for letting us know how separating visibility from the ability to make changes could help businesses delegate banking tasks while keeping tighter control over financial actions. We’ve opened this idea for community support so others can vote and add context. This will help us understand the broader need and gauge the impact for other Xero users.

We’ll continue to monitor the feedback and engagement on this idea and update the thread if there’s more to share.

  19. Please bring back Find and Recode as an option to add to standard role users. Our bookkeeper could do this before and it was very helpful. Now we need to assign admin privileges (temporarily) to provide access to find and recode and it causes me angst. Working with a few growing businesses they are adding new expense GL accounts (after the fact) and this feature was really great for the bookkeeper to use in the past.

  20. Good day. I would like to suggest to create an inventory access only role. This is due to confidentiality of customer data which are accessible by all sales role user. Alternatively, if can enhance Customer data access permission for sales role user as optional also will work. Thank you.
