Files - Add Expiry/Renewal Date and Automated Reminders
Ability to add an expiration date or renewal date to files (Contract end date, Tax clearance certificates etc.) with reminders on when documents are up for renewal.
4 votesHi team, thanks for sharing your thoughts on adding expiry and renewal dates to files. It’s been useful to hear how this could support the management of compliance-related documents like insurance certificates and training records.
The idea of having reminders for upcoming renewals is a practical one, particularly for teams working in compliance-heavy environments. We’ve moved this idea to Gaining Support, which means it’s now open for the wider community to add votes and comments. If this would be helpful for your business, feel free to share how you’d use it or any specific scenarios you have in mind — that context helps shape what we look at next.
In the meantime, the current workaround is to track renewal or expiry dates outside of Xero, and archive expired files before uploading the updated versions when they’re ready.

Files - Option to retain original files in the file library inbox after attaching to transactions
Have an option to keep a file in the library such as Term & Conditions to add to Quotes or have a default Terms section instead of an empty box.
1 voteHi Shannon, appreciate your sharing here. We can understand why retaining files in the File Library Inbox after they're attached would be useful for some workflows.
I've updated the idea to Gaining Support while we gather more feedback.

Invoicing - Include contact address details when exporting invoices to CSV
Invoice Address. When exporting invoices to. csv file it would be beneficial to have customer address in the file also
1 voteWe appreciate you raising this idea. Including contact address fields in the invoice CSV export could reduce manual work for businesses that regularly use exported invoice data outside of Xero.
We've updated the status of this idea to Gaining Support while we continue monitoring community feedback.
Keep sharing your experiences and voting on the idea. The additional context helps the team understand the impact this capability could have.

Permissions - Allow Invoice Only users access to the File Library
At present the file library can only be accessed by Standard or Advisor user profiles.
When you have purchase ledger roles using the Invoice Only user profile, they should be able to see the file library in order to user Smart Document Capture.
This seems like an oversight and would make life easier for employees in clerk roles.
1 voteThanks for sharing this suggestion, Ross. Giving Invoice Only users access to the File Library could make it easier for accounts staff to manage and attach documents without needing broader user permissions.
I’ve moved this post to Gaining Support so we can continue gathering feedback. If this were available, what File Library tasks would you want Invoice Only users to be able to perform?

Xero Files - Removing Files from transactions and Adding back into Xero Files & Searching Xero Files
It doesn't appear to be possible to Remove attached files from a transaction and save it back to Xero Files. I found it to be a useful function. Would it be possible to add it back again? Also it would be really useful to be able to Search on documents in Xero Files.
4 votesThanks for sharing your idea, and letting us know the changes that matter most for you.
We've reviewed your idea and now it's up to the community to get behind and support it. Additionally, regarding the other idea on searching within the files section, I have found a similar idea to what you're suggesting and added your vote there. We'll monitor both ideas for traction.

Files - Ability to add note to a file in the library
The new layout does not support our workflow. On the contrary, it slows us down and makes the system less transparent. For practices like ours, managing hundreds of clients, clarity and efficiency are essential. The previous dashboard enabled us to see key information at a glance. The new version creates unnecessary friction.
It is crucial that you retain the option to use the previous dashboard version and allow each Xero user to decide which layout best supports their work. There are hundreds of similar requests in community forums asking for this flexibility. In light of this, the current developer stance…
3 votesAppreciate you sharing feedback, Erzsebet. However we do ask that each post be contained to a single idea in a feature to help;
- other members know what they're voting for
- product teams get a sense of the interest for a particular change
- us provide updates on any progress for a change
Being upfront, the new homepage will replace the Dashboard experience over the coming weeks, and we cannot maintain both experiences long term.
To help with some of the notes you've raised on your needs;
- You can view draft invoices/bills from the Invoices owed to you/Bills to pay widgets - This now sits beneath the graph
- # of items to reconcile should be visible from each Bank account widget, as well as within the Tasks widget
- Net profit or loss widget will provide a quick gauge of the clients FY
I'll update the title of your idea here for the…

Xero files - Add an Invoice Number field
When uploading invoices via Xero files, it would be nice to have an invoice number field as well as a reference field. It seems like an important field to miss out as it requires manually adjusting afterwards. I prefer Xero files to Hubdoc as it populates the description fields and automatically splits costings. This would be the cherry on the cake for a great tool in Xero.
1 voteHi Rhys, thanks for sharing this idea. We can see how having an Invoice Number field within Xero Files upload could make it easier to create transactions.
For now, if you're looking for automatic extraction of invoice details, Hubdoc can capture information such as the supplier, invoice number, date, and amount from uploaded documents before publishing them into Xero. We appreciate this doesn't help when you're managing documents directly within Xero Files.
I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If you're looking for a manually editable field, automatic extraction, or both, we'd love to hear more about how you'd use it.

US Tax - Certificate of Insurance (COI) Management | Compliance
While Xero currently allows documents like Certificates of Insurance to be uploaded to a contact, it would be much more effective to have a structured compliance tracking feature similar to how W-9 information is managed. This would allow users to input and track key insurance details—such as policy type (e.g., General Liability, Workers’ Compensation), coverage limits, and expiration dates—directly within the vendor or contractor profile. With this data captured in a structured format, Xero could provide automated reminders for upcoming expirations and visual alerts for missing or non-compliant coverage, helping businesses better manage risk and ensure vendors remain compliant before…

Files - Page scrolling at top of page
As the Archive in Files expands, we need the option to scroll through pages easily by using the scroll button. This should be located at the top of the page.
1 voteHi Lynn, thanks for putting this forward. We can see how having page navigation controls available at the top of Files screen could make it easier to move through large folders and archived documents, especially for businesses that have built up a large volume of files over time.
I've updated the status of this idea to Gaining Support so we can continue gathering feedback and better understand how this could improve document management workflows.

Xero files - option to view files as a group, reducing the need to open individually
New Xero files - add option to return to the old way of viewing bills that had been uploaded?
I often log in to 80-100 bills that have been uploaded into files for me to add to a clients xero. Until the recent changes you could click on the oldest one and then scroll through each one viewing them full screen whilst working on another screen to add the information to a bill in xero. Now when you click on the file it opens in a much smaller box on the far side of the screen and you can't scroll…
4 votesThanks for sharing your idea, and letting us know the changes that matter most for you. We've reviewed your idea and now it's up to the community to get behind and support it. While that exact group view isn't available in the new design, we have a helpful trick: we recommend you try expanding the side view of the file so it fills up most of your screen. When you do that, you'll be able to quickly jump between files just by hitting the Tab and Enter keys on your keyboard. If you run into any trouble with this or need more help, please don't hesitate to reach out to our support team :)

Files - Add a secure 'Contractor Portal' and automated file sharing options for external contractors
Allow us to send files to certain contractors via email such as subject or create a contractor portal or sync to google drive or something! Sending contracts would be amazing too ! like getting signatures within Xero
And allow contractors to sync with Gusto and also add contract terms to their profile for automations1 voteThanks for sharing this idea, Jessasm. We can see how having a dedicated way to securely share files with contractors or external contacts could help streamline collaboration and reduce the need to manage documents across multiple platforms.
I've updated the status of this idea to Gaining Support. If this is something you'd like to see, please keep voting and share more about how you'd use file sharing in your workflow.

XPH | Homepage - Widget for reviewing client transactions without attachments
We would like an exportable / emailable report to show spends and bills in a period that are missing files / source documents.
We could / would use this:
- as a quick weekly review
- monthly as part of month end
- as part of GST prep
- we work for clubs, and we would use this as part of annual pre-audit process for them - so the date range is important - as their year end is 31 Oct.Please make this a permanent feature or quickly accessiable report in Xero. Please also add it as a widget…
3 votesAppreciate you sharing your idea in the forums here, Glennis. Sort of 2 pronged for a report as well as a widget I found another idea related to your first suggestion and added your vote for.
Separately, we'll get a gauge of the interest from others in a widget in Xero Partner Hub for this purpose from your idea here.

Attachments - Add preview compatibility for .eml and .msg files
Please consider adding compatibility to preview .eml files (and .msg files if possible) that are attached to invoices (and other documents) in Xero, similar to the pdf preview window.
Emails are text/HTML so this seems achievable.
This would save time needing to download correspondences to view them, which are useful attachments in Xero for audit purposes.
3 votesIt’s great to see ideas around attachment previews, especially how support for .eml and .msg files could make audit workflows smoother.
This idea is now open for the community to vote on and discuss. Adding a few details about how it would fit into your workflow can help others understand why it matters and give the product team extra context.
We’ll keep this thread updated as things develop.

Xero Accounting app | Files - Preserve rotated images when uploading via device file manager
The easiest way to save a document to the Files Inbox is to share it from the device file manager or gallery. However, if an image has been rotated to landscape (e.g. because the image was originally the wrong orientation), saving the image to Files Inbox this way removes the rotation. The Xero Accounting app should preserve the rotation when uploading.

Contacts - Show attachments for transactions in the contact overview
Under the Contact, where Xero shows the current account balance and further down the screen we can see all invoices etc for that contact. When I scroll down the list of invoices I'd love to be able to see a little icon that tells me how many files I have uploaded to each invoice. The only way to tell currently is if I click into each invoice and then I can see the number of files attached per the little file icon at the top.
32 votesWe're grateful for your engagement and letting us know the changes that matter to you.
While we don't have immediate plans for adding a file icon indicator to the Contact Activity list we're tracking the interest from our community here and will share if there are any updates planned. Thanks

Files - Allow file emails without attachments
Ability to accept emails that have no attachments in Xero Files.
Purpose: Users can upload their email invoices/quotes easily into Xero.
34 votesHi community, thanks for all your inputs here and apologies we've not engaged here before now.
As we continue to explore ways to improve efficiencies for our customers this is an idea our team are aware of and will consider in future improvements.
We have recently introduced Smart Document Capture, powered by AI that extracts data from files uploaded to your Inbox to help you create transactions in your organisation.
Coupled with this, we've also released the ability to upload multiple documents from your mobile. Meaning you can take photos of invoices you've received via email and easily upload these through your mobile, which Xero will then analyse and help you create transactions from.
We appreciate this isn't a direct solve for this idea but may bridge the gap for some here.
