  1. It isn't possible to add a quantity column to a report, nor is it possible to pull through Qty data entered in Xero or create a cell the Qty can be manually typed into.

You can add a note column but this would be to link to a section of the report pack, not a quantity loaded into Xero or a box we could manually type the quantity into. Further the notes section functionality is unable to be renamed and can only be linked to other reports in the report pack. It does not work to bring through Qty data.

Hi everyone, thanks for your engagement and support for adding a quantity column to reports in Xero. We understand there are differing reasons around wanting to add quantity to a report, like being able to track fuel for tax credits, livestock numbers, or hours worked for carbon reporting.

There's a specific idea for Livestock reporting that we'd recommend anyone interested in this joins.

    To highlight, quantity can be added within the following reports within Xero right now;

  2. Report dates
On financial reports. Instead of last financial year of this financial year wouldn’t it be better to have the years as the selection ie 2024/25 2023/24 2022/23. it will be much quicker to select the year especially is going back further than the current year.

Thanks for sharing here, Kerri. Understand why you'd find this helpful and we'll start to get a sense from others that'd like to see this here, too.

I know it's a little different to what you're directly asking here, but perhaps comparison columns and saving as custom could help where you can run the report for multiple date ranges at once and view the comparison across each?

  3. Inventory Item Details Report - Add Column "Tax Invoice Reference" separately from "Tax Invoice Number" which is givin in the Reference of Inventory Item Details Report

  4. When exporting the profit and loss transactions it would be amazing for one of the columns to show the Contact in isolation rather than merging the contact and description into one field. This would allow much easier spreadsheet analysis by contact.

Hi everyone, thanks for being a part of the conversation on filtering Profit and Loss reports by contact. We understand how this could make digging into profitability a bit easier.

There is currently the Income & Expenses by Contact report that’ll show where you’ve incurred expenses or received income or funds for each contact. You could also Group or Filter this report by contact with the ability to drill down to the transactions related to each amount.

Alternatively, some people in the discussion have also kindly shared their method which may help others.

Our product team has reviewed this idea, and while this may be a development we consider in the longer term it isn’t roadmapped at this stage. We’ll continue to keep an ear on the ground here and share if there are any updates.

  5. Essential for cash flow and projections, an annual report divided by month that includes source and base currencies.

The "Account Transactions" report currently enables us to overview all accounts (Balance Sheet and P&L) in both currencies (source and base) but lacks a feature to display 12 months alongside each other.

We're grateful for your engagement and letting us know how adding comparative options in the Account Transactions report could benefit you.

This isn't something we have direct plans of right now, however we'll continue to gather community interest in this and share if there are any updates.

In terms of cashflow projections, if not already you may want to check out Short term cashflows with Xero Analytics.

  6. Would love that within money out/in and repeating the transaction that 'quarterly option' was included.
    example: BAS, Super & PAYG

It would be great if this was an option for those using the short-term cash flow regularly.

  7. The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.

However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.

Showing the print date on these financial statements is of concern, due to various issues including the lag time between preparing and approving the report. It is also not ideal when preparing the directors resolution and…

Hi team, while this may be something we look to do in the future unfortunately we were not able to move along with the work the team had started exploring here.

We'll move to Accepted for now and if there are any updates I'll be back to share with you all. Thanks and continue to support this idea if it's something you'd like to see.

  8. In my custom income statement, I'd like to create a calculation for a debt service coverage ratio. However, I don't there's a way to set a P&I payment as "per month" in the custom features. Is there a feature to set a formula that adjusts my debt service based on the number of months the income statement covers? (E.g. monthly P&I is $5,000 per month. So a 6-month year-to-date statement would adjust P&I to be $30,000 on my printed report).

  9. When comparing the Profit & Loss by projects, it would be very helpful to have an option such as ā€œHide zero balance projectsā€ after selecting all projects. Currently, when we select all projects (we have more than 100), the report also shows those with zero balances (no transactions). This makes the report slower to display and download, and we have to manually remove those projects afterwards. Would it be possible to add such a feature to improve efficiency and reporting usability?

  10. Reports eg Transaction reports, should be able to be summarised by tracking category. Currently if a bank transaction is spread across a number of tracking categories, the transaction report will report this as 'multiple categories'. This is very unhelpful.

Appreciate what you're asking here, Simon. However when grouped or summarised by tracking and a bank transaction has multiple lines that are coded to different categories its not possible to show these all on the report.

On the flip side of this, if you run the report on a Grouped by basis you'll be able to see the transactions related to the multiple categories and can drill into the transaction to view the detail.

Alternatively, adding a Related account column to the report you'll be able to see the account the transaction is coded to. Then, running the report for the related accounts e.g Sales would give you the line by line breakdown so you can view each tracking option the transaction has been allocated to.

  11. Business snapshot - link to default custom Profit & Loss Report

We use a custom Profit & Loss Report which is default.
Unfortunately the Business snapshot links to the standard xero Profit & Loss Report not the custom default Profit & Loss report.
Can the Business snapshot be changed to link to the custom default reports?

  12. We would like to automatically transfer daily sales data (excluding GST) from Xero into our custom system. However, the current sales reporting options in Xero do not allow us to select a ā€œTodayā€ filter.

At present, we have to manually set the date each day to get the daily sales amount, which makes automation difficult and time-consuming.

    Idea / Request:
Please add a ā€œTodayā€ filter option (similar to existing options like ā€œThis Monthā€ or ā€œLast Monthā€) so that businesses can easily pull daily sales data without manual date entry.

    This would:

Enable easier automation with integrations and custom systems

Thank you for your valuable contribution and for providing a clear, detailed explanation of your need for a "Today" filter in sales reporting. We appreciate you highlighting how this feature would significantly improve the automation of daily sales data transfers to your custom system.

We have completed our initial review of your idea, and it is now open for community feedback and voting. We understand that enabling more efficient, real-time data access is crucial for many businesses.

To help your suggestion gain traction, we encourage you to share it with colleagues and other professionals who would also benefit from this change. Their votes and comments will provide essential insight into how this improvement could enhance the Xero experience for everyone.

Hi Bethany, thanks for sharing this suggestion for improving our reports.

We've reviewed your idea for an option to have Year-to-Date reports automatically generate columns for each month, which then total to the YTD figure. We can see how this dynamic layout would make monthly analysis much clearer and save time on report setup.

Your suggestion is now ready to gain support from other community members. Along with votes, others can now comment to share how a report that automatically adds monthly columns as the year progresses would improve their own financial analysis.

  14. Customise comparison dates

When running a P&L or any other report with comparison data, it would be handy to be able to customise the date range of the comparison data. Some reports have an option of custom date range, but it's greyed out.

We understand that customising comparison dates in the Profit & Loss report would give you more control over how you view and analyse business performance, especially when you're working with non-standard reporting periods.

Currently in Xero, if you run the P&L for a custom date range (e.g. 1 Jan 2025 to 27 Jan 2025), you can compare that period with the previous:

    • Year – shows 1 Jan 2024 to 27 Jan 2024
    • Quarter – shows 1 Oct 2024 to 27 Oct 2024
    • Custom – automatically sets the comparison period to the same length (in this case, 27 days) immediately before your selected range, so it would show 5 Dec 2024 to 31 Dec 2024

This idea’s now in Gaining Support. If this would be helpful for your workflow, feel free to add a vote or comment to share how you’d use it. Your input helps the team better understand what…

  15. I would LOVE to be able to produce tracking reports where I can select ALL items within CATERGORY A, but then display them in columns by CATEGORY B.
Eg. I use Department and Job.
I would like to see all Jobs for a particular Department in a P&L.
Is this something that may be possible in the future or would behelpful to others?
    Thanks x

  16. We have clients where a sigificant proportion of their sales are Zero rated, which can significanly affect both net and VAT totals in certain boxes as well as the overall value in box 5 to be paid/repaid.

Could you create a report that allows the totals in boxes 1-9 to be listed, allowing comparison with prior months or periods or years.

This will be useful to see, say, the last 3 months or the corresponding prior year amounts so that percentages can be reviewed.

  17. Shortcuts for Financial Statement Reports

It would be extremely helpful to have shortcuts to navigate financial statements.
E.g. 1 would go to the first page of the report, 2 would go to profit and loss, 3 to balance sheet etc. this would assist with quickly switching between different reports in the financial statements.

Hi Emile, appreciate you sharing this suggestion for specific shortcuts that would improve efficiency when working in reports. This idea is open for fellow community members to support through voting and comments.

We also have an existing idea for more shortcuts in Xero - we'd encourage you to also add your vote to that broader idea here: Navigation - More keyboard shortcuts in Xero.

Voting on both helps us in two ways: it shows our Reporting team the specific need you have, and it also contributes to the overall demand for more keyboard efficiency across all of Xero.

Thanks again for your valuable contribution to the community!

We understand that a single report for all invoices and receive money transactions, including key details like Quantity and Unit Price, would be a big help šŸ¤”. We know it can be time-consuming to switch between different reports to get a full view of a contact’s activity. While this specific report isn't on our immediate development roadmap, we're always looking to improve Xero's reporting. For now, you can use the Contact Transactions Summary report for a quick overview or combine exported data from multiple reports into a spreadsheet. We'll keep monitoring this idea and use your votes and comments to help prioritise our future work.

  19. Currently, when generating management reports in Xero, users have the ability to compare data across prior months and multiple periods. Some reports, like the Cash Summary, also include an ā€œAverageā€ option, which is a helpful feature for identifying trends.

It would be highly beneficial to extend this ā€œAverageā€ functionality to all relevant reports—particularly the Profit & Loss report—to provide more consistent and insightful analysis.

Additionally, the current average is calculated based on the financial year to date. This approach becomes less useful at the start of a new financial year when only limited data is available. To improve this, it…
