Purchase orders - Ability to assign lines to a Project
Ability to assign purchase orders to a project in Xero.
Purpose: To make Xero projects overview shows everything ordered/billed & invoiced to the customers.
Hi community, some time passed since our last update in the thread here we do want to return and share - while our product teams explored possibilities for how we might represent Purchase Orders in Projects research has confirmed that there is underlying work needed to the platform Purchase Orders are built on before we can achieve any good outcomes of your needs here.
We have enthusiasm and a close eye remaining on the support for this, but want to be honest that this is not something that we’ll be able to focus our attentions on in the near future.
Once we have completed work first needed in the Purchase Orders space we can reassess how to integrate purchase Orders into Projects and will update you all of steps forward, here.

Agreed, this is really dissapointing. XERO is focusing on areas that are truly NOT useful to their clients and just gimicky. WHO cares about the beautiful dashboard if you cannot even use projects correctly. It baffles me.
Additionnaly, the same issues exists with the dev api not being able to link lines to projects.... so we have to hack it with tracking categories knowing very well that the safe 200 categories will be exploded in no time.... Please focus on what is important. Thanks. -

I don't even understand why this needs to be requested as it is basic functionality. I'm in the same boat that if it isn't fixed soon, I will be looking at alternative software. I get the feeling that Xero just want to make a front end and take commission from other parties to write add on software to provide the functionality. The fact that I need the Projects add on to have jobs is ridiculous and then it doesn't even cover the most basic functions.
I just checked and this is has the 6th highest vote count but wasn't included in the 75 most asked for upgrades. Obviously the people writing accounting software can't count. -

This is getting really frustrating. We have been asking for this for as long as we can remember but Xero seems to be more concerned about updating widgets on the dashboard. Nobody cares about the widgets. If I want to look at my analytics I will easily click on a tab like it used to be. I would rather be able to see the purchase orders I have raised for a project in that project so I dont have to search every time. If we open a project we see quotes and invoices so I dont understand how doing the same for purchase orders is so complicated. I dont think Xero care too much because they have tripled their prices since we first signed up seven years ago and they just rely on people not having the time to look for alternatives. We will be looking into alternatives this financial year and if this is not fixed will be transitioning at the end of the financial year.

I strongly agree with the recent comments. This feature should be a high priority for Xero. When they release an update with "we have listened and made this change" it does not come across that way. We are seriously considering moving off Xero Projects because of this missing function!

Agree Elizabeth Waite. We have been patient, we are now looking at other software solutions and moving on to better things.

Hi Xero,
Another new dashboard we don't need and still this essential function has not been addressed. It's embarrassing in meetings when I say this isn't part of software I recommended and setup.
Please prioritise before we have to switch software!

It's really disappointing to see that work has been completed on areas which essentially makes the software look a bit different, yet the functionality we are screaming out for is not being progressed. Please can you focus on some useful improvements that your customers have been requesting for years!!

Hi Xero,
Could you please provide an update on whether this feature is being developed? There have been many recent layout improvements across the Xero platform, yet the ability to assign a Project to a purchase order still isn’t available.
Is there a reason this can’t be added as an optional field within the purchase order—similar to the other elements that can be shown or hidden using tick‑box selections?
This functionality would be incredibly useful, so any update or insight would be appreciated. -

Introducing the ability to raise purchase orders within projects or assign them directly to projects would be a game-changer for Xero users. This feature would eliminate unnecessary manual steps, streamline the entire process from service receipting to proforma invoice handling and bill entry, and ensure accurate project cost allocation. By improving efficiency and reducing errors, it would save valuable time for businesses, enhance visibility of project expenses, and strengthen Xero’s position as a leading solution for integrated project and financial management. This functionality would not only improve user experience but also deliver tangible productivity gains for organisations.

Finally decided to ditch Xero as they just do not listen to their users.

I should be able to open a project & raise a PO directly from within the project, this would then capture commitments on the project.

Head in the sand reply this I'm afraid. Most businesses have or should have a No Client Purchase Order No Activity policy but Xero is encouraging Projects / Activities to slip through the cracks. You need to get this sorted and stop concentrating on revenue traps like " Pay Invoice" traps which result in even more "Charges"

This is 100% required. It would strengthen the reporting and provide foresight of purchase orders that have been committed but not billed yet.

Wow, I am really keen to move from my current CRM system and provide Project Cost Analysis and all finance functions for projects within Xero so that it can then be linked with Syft forecasting.
I am very confused as to why a PO can't be allocated against a Project to track projected costs against the actuals once the final invoice is received as the timeline of a project can be months until all invoices are received and reconciled. This is a no-brainer of an addition to Xero Projects and may be the sticking point to not move my Projects Team on to this! Surely this is a simple function to be added and critical!

This is extremely important to enable subcontractor commitments to be fully understood in Xero Projects.
Another great addition to Xero Projects would be Cost to Complete to understand the total project cost but one thing at a time. Cheers.
