Billable expense - Automatically autofill account and project code in invoices
Currently after we assigned billable expenses to a customer and subsequently when we create a new invoice with the billable expenses, noted that the tracking category named Projects as well as account code are not auto-fill. We need to fill in manually which is time-consuming, imagine there are 100 items in the invoice.
It will be very helpful and save time if the account and project code will be auto-fill in the invoice. We really appreciate your support and looking forward this can be implemented. Thank you!

Bills - Enter days for bills due
Hi
Please can we have the ability to change the settings on suppliers bills due date to move than 31 days of the following month. We have several suppliers where we do not need to pay until 60 days after the end of the month in which the bill is issued.

2 votesThanks for sharing here, Karen. To just get a better understanding would this be when creating a new bill, or perhaps a repeating bill? It'll be handy when sharing back with the team.
You could set up defaults in your Contacts to auto enter the due date for example as 60 days after the end of the invoice month, or similarly with a repeating bill you could set this up in the template.

Please have all lines be included in a remittance so clients can have full details.

Bills - Show GST/PST amount per tax type/name
Sales Tax lines in Suppliers bills - CAD
When a bill is posted as draft, Xero displays the sales tax based on the percentage of the tax and not the tax type/name. This makes it harder to review and compare and confirm with the supplier's invoice which always displays the federal tax (GST) and provincial tax (PST) in separate lines. It is even more problematic when there are more than one taxable portion in the same invoice (a portion GST and another portion GST/PST). It would be great to show the tax type in the draft mode too.6 votes -
Billable Expenses - Bulk updating of billable expenses
I have around 100 billable expenses each month, I click on the 'Billable' in Expensify and that comes through to xero, but there are many that need to be entered into xero directly.
We need a report showing unbilled expenses where we can click on the items to mark them as billable in bulk, rather than line by line, which takes up a lot of time.26 votes -
Bills - Automatically create bill from finalised activity statement
Currently when paying activity statement obligations, you need to manually create a bill or split the payment to the various tax components. These amounts are already in the Activity Statement, so it would be useful to be able to create the bill from the finalised activity statement. This would help business to reconcile ATO payments, and to manage their cash flow as they can see when tax payments are due from their bills report.

Purchase Order - Link Purchase Order to Bill
Linking Purchase Order to Bill
Purpose: To copy the details from the po to populate the forwarded bill from email fields.
This would enable the ease of processing bills; using the data already on the po and verifying the costs accordingly.
Also this is vital, so that you can match multiple bills to the same po.

Some customers have shared a possible solution for the time being of using the bill’s reference field for the PO number. We know this isn’t perfect, but might help in the interim.
I’m pleased to share that we’re refreshing purchase orders at present, and taking on board all the feedback surrounding the top requests from our customers in these forums.
Linkage between Purchase orders and Bills is a high focus for our team in this space. While we can’t give timelines atm, we’ll move the idea to In discovery and keep you updated as work progresses. 😊

Billable Expense - reassign billable expenses
To reassign or remove multiple billable expenses at once and to make edits to billable expenses from within reports.
I have a client who has 175 outstanding billable expenses, which need to be removed as the invoices have been billed manually.

Email-to-Bill / Web /upload- Record sender's email
When a bill is generated through Email-to-Bill the bill history only says System Generated and 'Received through Email-to-Bill'
It would be much more valuable to see the sender's email here (e.g. 'Received through Email-to-Bill from ***@gmail.com') in case a follow-up is needed5 votes -
Bills - Ability to assign a bill to specific approver
It would be useful to be able to assign a bill to a specific person for approval within the system - without this the function is pretty useless.
This seems like a simple thing if you have this as an option.

Invoices/Bills - Separate field for posting date and invoice date
Ability to have separate fields for posting date and invoice date.
Purpose: To make users can ensure the expense is recorded in the appropriate month (posting date), and the due date is properly calculated (invoice date).
271 votesHi community, we understand there are differing needs in this idea for why you’d like a separate posting date alongside the invoice or bill date. Whether it’s for reporting, compliance, or just a more accurate view of when things happened.
While this has been carefully considered, we want to be transparent with everyone here, that this is not something we have plans for developing in the near term.
We know given the interest in this that this is not the update you’re hoping for, and please know that we’ll continue to track votes this idea receives for future consideration. We’ll keep you posted if things change down the line.

Xero to Xero - Send the attached files on the invoice
When sending invoices from Xero to Xero it doesn't attach the actual invoice in the draft bill as an attached so we don't have this invoice for record keeping purposes and can't even see if there's VAT or No VAT charged on the invoice as it is not attached to the bill. This needs to be added.
12 votesHi team, apologies as we have jumped the gun a little - While it's currently possible to include a PDF of the invoice when sending via the Xero network, including attached files is not available just yet.
However, I want to confirm this is something the team are currently working on and we will share as soon as there is another update on this.

Bills - Quick option to add a new Supplier Credit Note
When you enter a bill and save it as a draft or approve a bill up the top it gives you the option to enter a new bill but it doesn't give you the option to enter a credit note. Because I can click add a new bill I enter all my invoices first but if Xero gave me the option to enter a credit note I would use this very much. Right now I have 14 supplier credit notes to enter and that is not unusual and it is very time consuming having to go back to the bill…

Bills - Filter and view bills by tracking category
The ability to filter bills to pay by tracking category and select invoices for batch payments by tracking category to enable businesses with multiple locations/businesses within the one Xero account to manage, approve and pay bills based on the location/business the bill is applicable to.

Bill Payment - Ability to review attached bill when creating an ABA file
With scamming on the rise checking bank details is a priority.
I would love to see the ability to open each of the bills in the review section when creating a batch payment (ABA file).
Even better if you could open any attached files direct from the batch payment review section users could quickly check if the bank details in Xero Contacts match the latest bill. If there is any discrepancy the user could investigate before processing the payment.

Bills - Email to bills without requiring it to be an attachment
Often companies email invoices but they aren't a PDF - just an email.
So you have to print the email as a PDF - then send to Xero Bills.
It would be good if you could just send through the email invoice (no PDF) to Xero Bills and it was processed without being a PDF.14 votesHi team, apologies for the mismatch in my last update and appreciate the feedback we received on this.
While our new bills upload feature might be handy for some customers in automating their bills process, reviewing the idea here I can totally understand how this does not solve for where you receive an invoice within the body of an email.
We'll open this idea back up, and I want to be transparent that this isn't something we have direct plans for developing atm, however we'll continue to keep eyes on the support here and share if there is any progress surrounding this, here. Thanks

To have an option to set up e-mail notifications to receive a report when an invoice payable becomes due
Purpose: To easily be reminded when invoices/bills due through email.

As a current workaround, you can use the existing due date field in Xero to sort your bills and set a separate calendar reminder in your preferred app. While we work on assessing this idea, I want to share that we're exploring bill payment reminders for users with multiple initiatives in progress. Profit & Loss - Include bills Awaiting Approval
We always have a significant number of bills "Awaiting Approval". As such our P&L is never accurate and for our large company it is out significantly.
It is the exception and rare that a bill will not be approved (ie didnt receive stock). Therefore the P&L would finally be closest and most accurate if it included "Awaiting Approval"
This should be included. If not then a button should be available so that the company can make this decision themselves and include the "Awaiting Payment" bills.
46 votesHi everyone, we appreciate why some customers would like to have bills that are still in a draft or awaiting approval status included in reporting results.
These transaction types do not impact the general ledger until they are approved within your organisation, which is why they cannot be included in the Profit & Loss report.
Understand that is not within the report that you're asking here, however the Payable Invoice reports (Summary and Detail) can be run to include these transaction types, so you could get a view of the amounts related to these type of transactions.
We want to be upfront that this isn't something we have intentions of developing financial reports to accommodate for in Xero.

Bills - Allow invoice number duplication when importing
When importing bills from a csv file, Xero will currently treat all lines with the same invoice number as one transaction, even if the separate lines are from different suppliers. The system should ideally not ignore the fact that the supplier name is not the same. Would be good to assume that the bill is posted against the correct supplier, even if it happens to have the same invoice number as another supplier's invoice.

Bills - Ability to edit or reinstate voided bills
Reinstate "Voided" bills and invoices
We have had an invoice created accidentally with sensitive payroll info, it was then voided without thinking and now that info is permanently in the xero file - we need to at LEAST be able to edit voided invoices (as you can at any other stage - ie maybe a "reinstate" so we can edit to remove this sensitive data, then re-void??!!20 votes
