Email to bills - Auto exclude 'extra' attachments like social tiles & email signature
Bills - Ability to remove extra attachments exported from emails.
when forward invoices and delivery docs to Xero, the email signature (which includes the company logo) is also captured and exported to Xero Bill as a separate attachment.
While this doe does not impact payments, it's still frustrating. There should be a way to prevent logos or email template elements from being exported.
🌟 Thanks for raising this idea and for taking the time to share how this affects your workflow.
We understand that when logos or images from email signatures are pulled through with documents, it can create extra clean-up, clutter the files that are imported, and make it harder to quickly identify and process the documents you actually need.
We’ve reviewed your idea and moved it to Gaining Support, so other customers can vote and add comments to share how this behaviour impacts their experience and why improving it would be valuable.
The feedback and examples shared here are helpful for our product teams as they build a better understanding of the real-world impact this has on customers using Smart Capture.
We’ll continue to keep an eye on the support and feedback this idea receives, and we’ll share any updates here as we learn more.

As highlighted by fellow XERO users, whilst this function may seem trivial, the inability to disregard images from email signatures does not align with XERO's efficient program. As highlighted by C O'Keefe in Aug 2023, when multiple bills are attached to the email, the intention of this function is interrupted and trust in XERO's functionality is diminished.

We're experiencing issues when an invoice is emailed in - Smart Capture adds any images in an email signature to Xero files as a document. These .png or .jpeg files are logos or social media buttons in the email signature.
I've emailed in 2 invoices to test the function and now have 14 files to review. If I ask my client to email in receipts these additional images will need to be reviewed and deleted one by one to check they aren't an invoice or receipt; this wastes time. We also use Dext for invoice processing and don't experience this issue using their email in feature.
If Smart Capture could recognise when duplicates have been added then we would only need to delete these images once. Is this something you can look into please?

Automating supplier invoices via Xero’s forwarding email is currently inefficient.
When emails are forwarded, Xero attaches all embedded files from the email (e.g. signatures, logos, web images), not just the invoice. This creates unnecessary manual work to remove unwanted attachments before processing.
Request:
Enable a filter so that only PDF attachments are imported when using the forwarding email address, or provide an option to exclude embedded images and non-PDF files. This would allow us to set up email rules to automatically forward supplier invoices to Xero, with only the relevant invoice attached, significantly improving efficiency and reducing manual handling.

Block email body attachments from creating draft bills or attaching to existing bills. When forwarding bills to Xero it either adds the email signature tiles or thinks they are separate bills which it then can't read details for because they don't exist. This wastes significant time deleting the extra documents to complete the drafted bill as well as deleting bills that aren't actually bills but rather someone's email signature. When sending multiple pngs/jpegs on one email the confusion with the email signature has meant all bills end up as one draft. Eg. You send 5 png/jpeg bills to Xero, instead of 5 different drafts you get one plus all of the email tiles.

Allow an option to specify extension types that don't get added to the Email bills to Xero.
Currently when forwarding emails to xero bills, it adds all images from email signatures, or other attachments someone has included
This seems to create alot of attachments in the preview when trying to add the bill and view the PDF..

When emailing a bill to Xero, it automatically recognises the signature as separate files. If more than 10 attachments to an invoice xero is unable to prepopulate the information from the original invoice. Meaning there is more room for errors and not very time efficient.

I concur, it's messy and time consuming to delete
