  1. Please make the “Save Button” omnipresent, so it hovers/tracks the page and wherever the user is working, while building Quotes & Invoices...

    I keep having to scroll up to the very top of the page, in order to hit “Save” - and found when moving too fast, i can accidentally skip back, losing changes, and then having to start again.

  2. Projects - Ability to copy time entries using web platform

    Currently you can copy a time entry using the Projects app but this function does not seem to be availible using the web based software. This could be added to the hamburger menu where at present the only options are edit or delete.

  3. Can the bill or invoice number be added to the description shown when Xero automatically adds it to the short term cash flow. See picture for item added manually where we add the bill number and then item added by Xero where none is shown. This will really help where we have multiple items for the same customer/supplier for the same amount.

  4. Allow to change user name for a specific email, without changing the name on 'ALL" historical notes on profiles.
    Currently, if i have a new user/employee doing the same roll and a previous user/employee, with the same email/log in; if i change this user name, ALL of the notes for that email account log in get changed to the current user name, so it is difficult to make out who actually made that/those notes without looking at the dates to work out when that person/started or left the role!

  5. export graph of bank account - the image of a decreasing bank balance in the form of a graph over a period of up to 6 months is very telling, please could the image already available be accessible as a download so this can be shared with business owners

  6. The current bill import functionality relies primarily on contact names for matching, which creates two significant problems:

    1. Unreliable Contact Matching

    • Contact names can change over time
    • Even minor differences (single character) result in creating new duplicate contacts
    • No fallback to more reliable identifiers

    2. Character Encoding Problems

    • Special characters (e.g., apostrophes in names like "O'Connor") cause import failures
    • This particularly affects common surnames and business names

    Proposed Solution

    Implement a hierarchical matching system for contacts during bill imports:

    1. First attempt: Match by account code
    2. Second attempt: Match by database ID
    3. Final fallback: Match by contact name

  7. Other programs allow for rounding of time in timesheets to blocks of time.

    Having the ability to round to blocks of 15 minutes is a request of one of my clients as their old program allowed for this.

  8. To create a credit note from an invoice without applying it to the invoice.
    Currently the only option is ‘create and apply credit’.
    We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

    Hi team, as mentioned in my last update. In the way credit notes work in Xero today, generally this is a time saving mechanism, so you don't have to take extra steps to apply the credit to the invoice.

    However we understand from the feedback here why this doesn't match your workflow. We are continuing to track the interest from community through this idea but don't have any plans for this at present.

    Currently, from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option.

  9. I use Xero Me to upload expense receipts and assign to a client. I rename the photo of the receipt so that it should be traceable. The expenses are then visible when I create an invoice for that client. All good so far, however, there are two things that could be improved:

    1. There is no option to add the receipt file to the invoice when the expenses are added. Very often clients want to see the original invoice when expenses are charged back at cost.

    2. The expense files are saved in the fie library, however, the names I have given…

  11. Right now it's not possible to remove the Capital Gain line from the disposal journal when the sales price is more than the original purchase price.

    This means, that if you have a motor vehicle that you sold for higher than it's purchase price, the Fixed Asset register will not let you dispose of this asset without recording a capital gain - even though motor vehicles have no capital gains tax on them.

    This issue needs to be fixed.

  12. It would be great if in Xero Blue you could see from the contact profile that they have a credit instead of money owed $0.00.

    It would also be helpful if when creating and invoice or before sending the invoice if a pop up appeared advising the client has credit and asking if you would like to use it.

    Also having the ability to transfer credit between groups/entities would be helpful. At the moment if someone has a credit note against one entity we need to reverse the credit note and reprocess it under the entity you want to credit.

    Thanks for your feedback here. Currently when you create a credit note/overpayment the balance is reflected in the contacts record. This shows as a negative value in the list of the customer's invoices.

    With new invoicing, if you create an invoice for a contact that has outstanding credit, you'll be asked if you'd like to allocate this credit once the invoice has been approved. You'll also see the available credit and option to apply each time you view an approved invoice. 

    While it's not possible to allocate credit from one contact to another you could edit an existing credit note to change the contact without having to recreate it from scratch. 

  13. Currently when you are viewing the GST Audit Report , you can select an item to view in more detail. When you back arrow to return to the GST Audit Report, Xero takes you back to the first item on page 1, not at the position where you left the Audit Report . It would be beneficial to the user, and would save a lot of time scrolling, if Xero returned the user to the position where they left the report.

Instead of the currently available [Week] option in the repeating invoice reference field, which only shows the week number of the year, for example '34', instead allow the option for custom text that includes the date. For example to enable the customer to understand that the invoice being sent is for work that was undertaken during week ending 18/08/2024, which you want to display as WE20240818, you could allow something like this in the reference field: 'WE[yyyymmdd]'. This mitigates the issue of customers having to work out the date that e.g. week '34' applies to when reconciling invoices in Xero…

  16. It would be useful to add possibility of using long figures of quantity when entering inventory transactions. For now only 4 decimals are allowed. On practice it would be great if up to 10 would be possible.

    Hey everyone 👋thanks so much for your ongoing feedback and commitment to supporting this idea.

    We understand the need for a straightforward process to download all payslips at once, particularly for WorkCover claims or employee requests where multiple payslips are required. We’re excited to let you know that our product team is now actively working on a solution to allow bulk downloading of payslips.

    In the meantime, you can use the Payroll Activity Details report to get a detailed breakdown of each payslip. It's also worth noting that employees can access and download their own payslips directly through the Xero Me portal.

  19. As some employees split payments between multiple bank accounts when they're paid, it would be good to have an option where this only happens when processing a salary payment, not reimbursing expenses. Had one where there were only expense reimbursements done (no salary/PAYE etc.) but the payment was still split and majority went to IRD. Perhaps a checkbox when entering the second bank account in that says "only split on taxed earnings" or something like that to avoid having to go and delete then re-add the additional account every time.

  20. It would be great if we could add ageing on client/customer statements. (Current, 30, 60, 90 days) Many clients have requested that the ageing be displayed on their statements. Current, overdue and total isn't detailed enough..

    Hi everybody, coming across from the previous forums we know this idea has a lot of interest.

    There is a way of using Xero's reports to accomplish what you're asking here and save the format so you can easily access and send this report to your customers outside of Xero.

    Running the Aged Receivables detail report you can choose how many ageing periods you'd like to show and set the period to '30 days'. Simply Filter the report by Contact and Update to run.

    • Once you've got it set up, save as Custom so you can easily access this format anytime
    • If you deal with groups of contacts this also means you could Filter for multiple contacts to combine the view into one report rather than multiple customer statements 🙂
    • Export the report to PDF, where you can send to customers from your email system outside of Xero
