  1. Would it be possible to add a feature to colour code our chart of accounts - especially expenses? When I am at the petrol station adding a receipt for a fuel purchase, it would be great to scroll down to a colour (with the account number). Another idea would be to have a favourites for expenses - we could add the ones we use most often.

  2. Next to ‘Date’ and ‘Due Date’ on the New Bill/Edit Bill page, it would be a massive time saver to also have a ‘Planned Date’ field. This would match the layout on the “Awaiting Payment” page.

    Right now, after entering a bill you have to jump out, find it in the list, then enter the Planned Date. It would be a lot cleaner and more efficient if you could enter the Planned Date directly after the Due Date when creating or editing the bill.

  3. When creating a new invoice, the search scope includes every contact in the database, every vendor, evert coffee shop or gas station anyone ever used a credit card at. Xero knows which contacts are Customers (there's a Customer Invoice report), it should pull from Customers only. For the use case where someone is invoicing someone for the first time, they can open that Contact and then click New Invoice.

  5. Hi Xero Team,

    I’m really disappointed to discover that the Xero Mobile App doesn’t provide any way to view the Balance Sheet - a core financial statement that forms half of any set of accounts and is the backbone of understanding a business’s position.

    As a property developer, tracking CAPEX spends per project is critical, and not having quick access to this information on the go is a significant limitation. Even a simple dashboard or quick-glance view in the app would make a huge difference for users like me who rely on Xero to manage their businesses efficiently.

    This isn't something we have direct plans for atm, but we'll get a sens of the interest for viewing the Balance Sheet in the Xero Accounting app from the community here and I'll let you know if there are any plans made.

  6. Suggestion to format payslips in Payroll so that the earnings quantity and earnings rate are limited to two decimal points for ease of readability for staff.

  7. Add a photo to a customer file.

    The companies I work for have over 100 tenants.
    It would be great to be able to add a photo of the tenant for recognition purposes.

    It will make phone and email queries easier.

    The photo can then be displayed next to the customer's name

  8. It would be great if Xero Payroll could produce a Monthly P30 report which we can send to our clients with HMRC bank details and the Accounts reference, with the month reference on the end.
    Other payroll software do this and it is really helpful for our clients.

  9. When calculating annual leave the ordinary hours changes to include allowances. The loading is then based on this figure. However the allowances are still included as separate lines on the pay template and need to be removed manually. Can this be automated as it needs to be done manually for all employees for every annual leave period?
    I can opt not to include allowances in the calculation, but it makes sense to gross up allowances in the ordinary rate for this purpose.

  10. Dear Xero Team,

    I am a regular user of the Xero Cloud Portal and appreciate the platform's intuitive features for managing business finances.

    However, I am currently facing a challenge when reconciling bank transactions. I frequently receive bulk deposits that are made up of a large number of small invoices—often exceeding 100. Unfortunately, Xero's current system limits me to matching only up to 100 invoices against a single deposit. This creates a significant bottleneck in my reconciliation process and affects my workflow efficiency.

  11. Allow self employed who are not VAT registered to use MTD.
    I've just signed up to submit accounts via MTD with HMRC but Xero currently don't allow me to do this unless I use an accountant. I use Xero so I don't need an accountant... I'm now a bit stuck as HMRC require me to submit account for the current 2025-2026 tax year this way and I have no way of doing this. Please help! thanks.

  13. Xero to xero network - send purchase orders. Want to be able to send my regular supplier a Xero Purchase order via Xero network, who can then create a bill in their Xero, who can then send me their Invoice via Xero network. Would be super helpful given the start of the workflow is typically the purchase order.

    We'll gauge the interest from the community in expanding the use of the network to send purchase orders. This isn't something we have plans for at this stage but we'll let you know if there are any updates.

  14. Please add option in Xero Payment Services to pass Zip transaction fees to customer on top of my invoice amount. At least most of the invoice amount will be paid to me.

    Like Stripe card payment service, pop-up could prompt payee to accept the fee on top of invoice amount. The 5-8% zip fee is too high to absorb for my sole trader businesses.

    In Xero > Settings > Payment Services - the Zip payment service could have some settings just like Stripe card payments has to choose that option of including fees in the amount or adding the zip…

    Hi christine, is this a common situation you find yourself or business running into? It'd be good to understand more detail if there are common circumstances that lead you to needing to edit a batch payment after it's been created.

  16. On Xero bills, as well as being able to filter and search for purchase invoices by contact or invoice reference, being able to search by a nominal code would be helpful. For example, making a payment run for all of one type of cost; finding any invoices that have not been allocated properly or for finding amounts that need to be included in management accounts.

Expenses - I want to be able to give an employee the ability to submit on another's behalf but not to be able to approve them or see everyone else's expenses e.g. Executive PA should only be able to submit her the Executive and not have the option to approve or see another employee's expenses.

  19. Invoice Settings - Branding Themes - Prepayment title

    Why can't we alter what shows on a prepayment? We have several customers who mistakenly pay us twice for invoices, this is made worse when we send them the prepayments (of the double payments) which say "Tax Invoice" suggesting this is money owing to us. Why can't we change the title to "Credit Note" or similar, so that our customers know that they've overpaid without us needing to manually contact each customer.

  20. Timesheets - aside from just having an employee enter hours worked against each, it would be good to have a customizable timesheet that other fields could be recorded against the day that are not hours driven. For example - for one day have the employee enter 5hrs of time worked but also another field for a quantity driver - eg; enter quantity of 3. We have one client with a large number of employees that are remunerated via an hourly rate plus a quantity driver. The current workaround is the employee to submit the timesheet but also send a separate…
