Invoicing - Select default for 'Approve' Button e.g not 'Approve & Email
Can there be a system setting which controls the default option on Invoices for the Approve button.
It is currently Approve & Email and we would like to have the default as just Approve. If it was a system setting companies could chose best option for them.
421 votesHi community, we’ve just released some new keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry options.
There’s a range of different shortcuts that you can explore, and in particular a few that I wanted to call out for ‘Approve’ options that I know will be of most interest to you, here;
- Approve (Ctrl-Alt-A OR Cmd-Opt-A on a Mac)
- Approve & add another (Ctrl-Alt-O OR Cmd-Opt-O on a Mac)
- Approve & print PDF (Ctrl-Alt-R OR Cmd-Opt-R on a Mac)
- Approve & email / send eInvoice (Ctrl-Alt-E OR Cmd-Opt-E on a Mac)
While you get used to the combinations of shortcuts our product team have added small prompts to highlight these in the product, and if you’d like to view the full list of options you can see them all on Xero Central.

Invoicing - Remember default settings
New Invoicing should be the same as the classic in that it remembers default settings for emailing like sending yourself a copy and attaching files. Until this is resolved do not discontinue the classic invoicing setup.
It's going to be very frustrating otherwise :)421 votesThanks for your continued engagement with us through this idea, team. As mentioned in my last update this idea spans different areas that you see defaults automating and improving efficiencies in how you invoice with Xero.
Since my last update, we've released some keyboard shortcuts to help with navigation and entry in some areas of invoicing, and we delivered the ability to invoice to your contact groups within the new experience.
As mentioned while we don't have plans for changing the behaviour of the select options when sending an invoice, these are driven by your last selection, using web browser settings.
Recently, we made a slight change to the way defaults are applied when you copy and invoice for a contact. So, now when you copy and invoice to the same contact defaults from their contact will be applied to the draft invoice, which aligns with the way this worked…

Invoicing - Customers to pay deposits on invoices
To have the ability for customers to pay deposit through invoices
Purposes: Business can just send one invoice to customer/client, so they don’t have to send multiple invoices when it comes to part payment.
418 votesHey community, we want to acknowledge all the feedback you’ve provided on this idea. We know from your comments here and through other channels that taking deposits or partial payments on invoices is a crucial part of the workflow for many businesses, whether it's to cover initial costs or to confirm a new project.
In terms of current options, within Xero there is the ability to create prepayments. Alternatively there are some third-party apps that serve these needs, too.
However, we do want to share that our product team is actively working on a solution that'll allow you to request and accept deposit payments.
While we can't give specifics on a timeline as yet, please know that this is a priority for us. We're grateful for the detailed feedback you've provided so far, which has been invaluable in getting us to this point.
We’ll be sure to keep you updated…

History & Notes - Xero Mail - Log of mail sent via Xero
Have a log or register of all emails sent from a Xero organisation with detail of content, recipients, senders, and date of send.
Purpose: Validity when being queried by customers about a transaction, verifying payments and collecting debtor payments. Proof of interaction.
410 votesHey community, we get the vying interest in this and how having a copy of the invoice sent within Xero would help when following up with debtors, or in disputes.
As many of you have pointed out, the best option that exists within Xero for now is to use the 'send me a copy' checkbox. This gives you a solid record in your own email inbox to fall back on. While it takes a little setting up you could create a filter in your email inbox to route these to a specific folder for reference.
Another smart tip as shared here could be setting up a dedicated email address to file these automatically, and keep things organised.
Though not a solve for the body of the email that's being asked here, a change that we recently made for invoices is that all sent invoices will include the primary To: email address…

New Invoicing - History to include if invoice is resent
When an amendment is made and the invoice resent it needs to record who it has been sent to
389 votesHi everyone, we want to share that we've released a change to history for each time an invoice is sent.
Invoice history will now show the primary recipient email whenever an invoice is sent. This includes the initial and any subsequent send of an invoice.
We appreciate this has been a pain point for everyone that's joined in the idea here and hope this visibility improves your experience in invoicing.
We'd like to confirm how this works;
- This record is only applicable from here on in, there are no updates to any historical entries for sending.
- History will show the email of the initial recipient entered in the 'To' field any emails that you include as a CC or BCC option will not be shown.
We do want to highlight, that while the email will be recorded in majority of cases, there are a few scenarios our team have picked…

Xero Mail - Send as @company-name.com not message-service@post.xero.com
Ability to make an email sent from Xero appear as @company-name.com instead of message-service@post.xero.com, when users send an email to their client/customer.
Purpose: To provide more validity when sending communications from Xero out to clients/customers and avoid items ending up in Spam/Junk mail.
374 votesHi community, thanks for sharing your continued interest here. We appreciate the importance of having assurance that mail you send from Xero is being received, and that being able to send from your own company email would increase confidence in this process.
I can confirm this idea has been continually reviewed by our product teams, and being able to send from your own company email is on their radar. Currently there are other priorities, and platform work that requires their attention, before they can consider this more deeply.
When there is opportunity to pick this up, I will share any news with you all here.

Manual Journals - Journal in foreign currency and see FX rate on journal
Ability to process a manual journal in foreign currency and to pull the exchange rate on the date of the journal.
Purpose: It’s beneficial for organisations who are dealing and operate with multiple currencies
371 votesHi community, first off thank you for contributing and detailing why posting manual journals in a foreign currency is of interest to you all.
We appreciate our customers would like to see more capability in accounting for and dealing in foreign currencies across Xero.
In it's current form Manual Journals are a part of Xero that require some upgrade to uplift technology in order to provide capability for ideas like this to be considered. We have intentions of bringing attention to this over the coming year, however getting this done first is necessary before we can even think about adding newer functionality like journaling in another currency to the mix.
To set the expectation here, there is no work planned over 2023 for this feature. We know it's of high interest and when we're in a place to reassess we will share with you here.

Email Settings - Ability to have separate reply-to email address
Ability to have separate ‘Reply-to’ email addresses within the same Xero organisation.
Purpose: Users can easily change the email address that they’d like to use when sending email from Xero, rather than having to go through settings to change it.
362 votesHi everyone, we thoroughly appreciate your input and letting us know your appetite for being able to set the Reply to address for your Xero organisation, here in the idea. As many will have seen with new invoicing, our team have begun testing and making small change to the send experience. While we've been able to make these changes when developing other areas of Xero, we want to be upfront that we don't have a timeframe of when we'll upgrade the email settings page just yet, but this is something we will get to in time - when we do our team will also review the Reply to address options as part of this. So, though there is no movement to share on this just yet please know we will let you know here as soon as there is.

Invoicing - Add Payment details on invoice screen
When using the new style of invoicing, it is no longer possible to enter a customer payment which having to click on the receive payment option. Using classic invoicing, the fields to enter the payment are present on the invoice screen. The classic invoicing method is much more efficient when entering a large number of customer invoices, so it would be great if these fields could be added to the invoice screen on the new style.
355 votesHey everyone👋 Thanks so much for sharing all your feedback and keeping the conversation going here. We've been following along and considering changes around the process for adding payments in new invoicing.
As we mentioned in our last update, while we won’t be bringing classic invoicing back, we're taking a close look at what made it work so well for you. The ability to quickly enter payment information without leaving the invoice is a key part of that.
To address this, our product team is now working to reintroduce this functionality to the invoice page.
We can’t share a timeline just yet, but we want you to know that your comments have been a vital part of this process. We’ll be sure to post an update here as soon as we have more to share.🙂

Reporting: Customer Payment Performance - payment date and number of days late
Ability to generate a report where users’ can view contact payment activity
Purpose: Users’ can easily see which customer has good and bad credit performance, and manage customer relationships & debt.
341 votesHi everyone, thanks so much for sharing your comments and support for this idea. We really get why you'd like a central report, so you can check each customer's payment history just to see who's paying late.
Currently as mentioned in the discussion here, you can see a customer's average days to pay on their individual contact record, but we know this isn't the same as having a single report for all your customers.
While we can see there's a lot of interest in this, it's not on our current roadmap for development. Community members will still be able to vote - So we'll continue to keep a close eye here and will let you know if anything changes.

New Invoicing - Add a Print PDF where you can directly print from the invoice (not download)
New Invoicing - I need to print invoices regularly for counter sale customers. Using new invoicing it used to open a new chrome tab when you clicked Print PDF from there you could print or download the invoice easy.
In a recent update (See link https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/47646932-new-invoicing-print-pdf-option) the Print button now only allows you to Download invoices.
Please revert to the old system where printing or downloading took the same number of clicks
or
- Change the current Print PDF button to read "Download PDF"
- Add a new "Print PDF" Button that actually prints the invoice.
326 votesThanks everyone for your feedback on the invoice print option. We know how much our customers value efficient workflows, and appreciate you sharing your thoughts on how the current "Print PDF" button works.
For those of you looking for a smoother printing experience, a helpful workaround is to set your browser to automatically open PDFs in your preferred viewer after downloading. This can save you a few clicks in the process.
In the interest of transparency, a direct print PDF functionality that go through the download step isn't in our development plans.
You can continue to vote on this idea so if our position changes in the future we will update you all, here.

Invoices - Add subtotals
Ability to add subtotals in the invoices.
Purpose: Because some clients are questioning and would like to see more details, and having subtotals can satisfy their needs & wants.
318 votesHi all - thanks for taking the time to provide your votes and commentary on the idea to enable subtotals in invoices. We appreciate how this would make invoicing easier and enable you to provide a clear breakdown on invoices.
As you can imagine with a global product, the variety of ideas we receive is expansive and so the product team focuses on building features that will meet most people’s needs. In the interest of transparency at this stage this idea is not currently planned. However we’re still open to receiving feedback and votes. It could always be reconsidered at a later date.
In the meantime it’s worth highlighting (as a few have mentioned already) a workaround is to generate an invoice as a PDF and then edit the PDF externally. Alternatively our Xero App Store has many invoicing providers who may do this. You can browse the invoice providers…

Email to Credit Note
Draft Bills - Ability to create Credits from Draft Bill sent directly to Xero email
Suppliers email credits as well as Bills, why not have the ability to process a bill or credit through this area, a supplier is not going to invoice credits to one email address and invoices to another. Why can we not select if it is a bill or credit and process.
Purpose: to allow processing of credits through the Draft Bills seamless
cost effective: reduce the need for additional software such as dext or hubdoc, use xero.
Current process: open the Draft Credit, download the…
299 votesHi community, thank you to everyone who's shared and supported the ability to email credit notes to Xero.
We understand why you'd like to be able to automate the flow and entry of Credit Notes in Xero, however this isn't something we have plans of developing within Xero right now.
As mentioned in my last update it's possible to currently automate entry of Credit Notes in Xero, by publishing these through Hubdoc -You can find steps to connecting Hubdoc to your Xero organisation, or detail on publishing Credit notes, on Xero Central.
If there are any changes put in place for this, we'll let you know.

Organisation setting - Ability to hide/delete the demo company
Option to hide or delete the demo company in Xero.
Purpose: Often a demo company creates confusion for users, so it’s better if they can hide/delete it.
293 votesHi everyone, the demo company provides the ability to test and trial Xero features without impacting data in your live organisation. It's especially useful when you're getting started with the product or want to see how a feature works that you haven't used before.
That said, we understand not all our customers want or need access to the demo company. We appreciate your feedback on being able to hide or remove this here, and our product team are aware of the interest and feedback surrounding this - Both from this direct thread and the previous commentary and votes from the older forum where this originated.
While we don't have immediate plans, this is an area our team are looking to review. We will update you if there is any planned changes to this, through this idea.

Branding - Custom DOCX template for Remittance Advices
Ability to customise the branding of Remittance with a DOCX / advanced branding theme
Purpose: This would allow businesses that are already using DOCX / Advance branding to apply consistent branding to the Remittance advice that is sent to their suppliers.
292 votesHi everyone, we understand you'd like more consistency in the documents you send from Xero and appreciate all your feedback on Remittance customisation here. While we have longer terms intentions to improve branding across Xero, this is not roadmapped for development at present.
We'll continue to stay connected to the idea here and engage to share when there is opportunity to develop in this space.
