Ability to allow individual access to inventory(products & services) and sales in Xero.
Purpose: Enable ability to view different sets of information within an org.

Xero keeps pushing JAX the AI tool that is new technology and yet User role has been asked for decade has not been implemented. Why would I even consider setting up and using the online bill payments if I can not restrict which users can do this. - pointless really.

Hi All, we recently migrated to Xero in May this year. Faced with this issue ourselves, my procurement manager is unable to edit products and services with his 'Invoice Only (Approve and Pay)' permissions, and, based on comments in this thread, it has been an ongoing issue for 10 years. Xero support suggested using a couple of apps like Cin7, but they cost around £3k per annum.
Therefore, I have built an application code-named 'Preditor' (product editor) that we are using internally. I am currently investigating launching Preditor on the Xero app store. Obviously, there will be costs associated with launching the app, so I wanted to gauge if it's something people want and are willing to pay towards the running costs. I hope to have the first version released within a couple of months, depending on Xero's app store process/validation.
If I get enough positive responses, then I’ll share some additional details on workflow and screenshots in the coming weeks.
I see this as a short-term answer to the issue, as, to be honest, it’s a feature that should be a default setting within Xero.
Update to original post: I have been receiving responses asking about features, so I created a quick walkthrough video of my current build for demonstration purposes.

Just hurry up and get it done pls! It's entirely logical isnt it? Just think about it for 5 seconds. Add a user to create invoices/quotes...who then can't because can't access the item codes for over 200 products & services they need to invoice and quote on!

Can this please be taken seriously?
Staff that have access to invoices etc obviously need full access to Products and Services, that is what they are adding to the invoices.Can we please get some feedback on this from Xero?

I would also like to include my disappointment at the products and services function not being accessible without giving access to banking information. We have 2 estimators who require the products and services function to estimate project costs based on the price of products we purchase, which is input into Xero by our accounts department. However, they do not need to access the banking information. I currently cannot allow them product and services access. This therefore, reduces productivity. An update on whether there are any changes in relation to this would be much appreciated.

This is very disappointment. I'm new to xero and finding out that inventory and user control is not a high priority. I'll need to cancel my subscription and move to a more small business focused software

Xero is fine for Ma and Pa type companies. Their design template has been the service industry and I guess its a great product for that. The wall of silence on this topic speaks volumes, so they have no appetite to enhance their current platform to accommodate customised inventory management.. Their solution of for users to simply buy a clip on app, which there are countless many of. But who wants to duplicate the system? More reconciliations between the 2 systems just adds further cost. Its far easier for them to clip the ticket and allow ad-ons. The app industry is a growing business.
Having customised user permissions is very common across many software applications. Why do Xero persist with a 1 size fits all policy?
I was a startup and it served me well when I was all over the operation. But now I employ staff, I do not want them to have access to the companies financials...obviously!
Therefore I will change to MYOB as they do inventory very well. There is a full migration application which should make the transition fairly easy.

The problem we have is that we need multi-currency and no one else really does this so we are stuck where we are with having to limit everyones access as other members of staff cannot have access to bank account information as then they would be able to see everyone else's salary - kind of a major GDPR issue.

Can we compile a list of accounting software alternatives available please?
An additional note on the level of migration / import that was possible will be great.I think some of us has grown into a position, or will be shortly, where user access permissions will be too critical to hope for, and they will no choice but to switch to another accounting package. Company size does not necessarily come into play here is that is Xero’s thought of ignoring this. I am sure many small business owners have, or will be, handing over the ropes to a key employee where they will most definitely require user access control if they extract somewhat from the day to day running of a business. It takes some time switch so this process will have to be start well in advance and it is clear that user access permissions will not be added in Xero.

The oldest message on this thread on accessible pages is April 20th 2022 - 3 years and nothing done. But Xero looks prettier and know has a useful, sorry USELESS AI tool, so we're all the better off for that.
Also there's a date when Xero Team shared this idea - March 25th 2015, top of the thread. If that's the case it's 10 years......

Seems like the only way to get around this is to sign up to another subscription for sales order processing and inventory management.
All of these functions are active in Xero just need to invoice only users to be able to access them. This needs to be addressed. Nobody wants to have to change their system but will be forced to if there is no action. -

Xero realise that most customers will not change to competitors product, because the cost of change is too great. So they simply bat away this forum with silence.
Although it would be nice to get some update form Xero, even if it is no news!

It greatly surprises me how comprehensive user access does not form part of the initial release. It is core functionality for any business application in my mind.
If the developers can please acknowledge this thread and respond with the progress update and estimated release date then us, the users and your custoners, will feel less blatantly ignored? -

I don't know. Maybe I'm missing something. But how can you spend so much time on what the product looks like and now, good grief, introduce pointless AI functionality when this basic and fundamental building block of a problem remains unsolved...
