New Invoicing - Include files attached to an invoice when sending
Ability or setting to default include files attached to an invoice when sending from Xero
Purpose | Steps are currently involved to include files that are on an invoice when sending the invoice to a customer, an option like this would ease the process of including files that a customer needs to have access to and see when they received their invoice
Thanks so much for sharing your feedback on this idea, community. We appreciate that having to manually select attachments on every invoice can feel a little fiddly. We get that you want a smoother workflow, that saves you time.
As noted by others in the idea, one option for now would be to add standard files, like your terms and conditions, directly to your invoice template. That way, they'll be included automatically when you send out your invoices.
To confirm how this functionality currently works - this is based on the user and driven by the last invoice that was sent. Where you have files attached, and you had selected to include files as an attachment when emailing the invoice, the next invoice you send with file attachments should have this selected by default.
A caveat to this is when you are working in incognito mode, or refresh your browser settings at which point the next invoice will revert to this option being deselected.
We want to transparent with you here that we don't have intentions of changing behaviour of how the send modal works in the near term.

I have been using Xero for 3 years now and they have only been removing good features and then adding them back when the ACTUAL users complain in the forum and when they add them back they act as if its a brand new thing they did.
Every change has been for the worse!
The only good thing they ever did was add hyperlinks in the statement so the customer can see their invoices when they click on it.I wonder about the future of Xero and how safe my data is, as its choices are not customer-friendly. It shows it doesn't want to keep its customers at all.

More and more of our customers are requesting that we attached their purchase orders to the back of our invoices in order to be processed at their end. You can attach/upload files in 'new' invoicing but it would be useful to be able to send the attached files with the invoice at the 'approve and email' stage....

I don't understand why Xero decided to create this "new look" invoicing system... what a way to really p**s on your customers... years of writing invoices and developing muscle memory for where everthing was and it worked perfectly.... Yes!, all the features the previous invoicing system had should be by default included in the new one.

It depends on how long your T's&C's are.
We print our basic T's&C's at the bottom of the invoice. Just edit the invoice template.
If yours were too long to fit at the bottom of the page, Xero will just use an extra sheet, or the reverse of the page if using double side printing.
You can test it by changing the invoice template, and just re-printing an existing invoice.

Yes, this is very important as attaching terms & conditions. Currently we have to add this to each individual invoice and can get forgotten. Before using Xero we had the terms and conditions printed on the reverse of the invoice which worked well.

I agree with this request. We have to presently manually add individual documents every month when invoicing and as has already been suggested this is quite time consuming - so with the option in settings one could then select if required so these would automatically attach would be excellent. Yes, please! This can be useful for payment instructions, terms & conditions, etc. An option to append attachments to the invoice PDF itself would be nice too. Some of my customers want everything to be on the invoice itself and can't handle multiple PDFs.

Hi, I just thought I’d chip in with some details on how you might do this.
If the details you want to attach are the same every time, you could set up a Custom DOCX branding theme, and include your terms and conditions document as a second page on the invoice/quote template file.Your terms document is then included when you email your transaction.
If you have multiple invoice types, you could create a separate branding theme for each one, and choose the relevant theme when you enter the transaction. -

If you reduce the resolution on the scanner or PDF printer by 50%, you will reduce the size of the attachment by 75%. You don't really need more than 150dpi for most things. Very large attachments also fill up peoples mailboxes more quickly. In 5 years of using Xero, I have never hit the attachment size limit.

Also removing the miniscule attachment size limit currently in place (i.e. 7mb) which is stopping customers from receiving all of the attachments that go with the invoice.
P.S. The attachment allowance is only enough to attach one receipt - in the past we could attach as many as we needed to.

Yes, I can’t believe that files aren’t automatically attached. That’s the whole reason why you attach Files for is to send them to clients such a time waster.

Yes Please. This would be a great help to us as we need to send warranty and maintenance documents with quotes and final invoices. We have several different types depending on the order and the girls are having to constantly upload for every quote and final invoice. If we could create a template for each type it would certainly simplify by saving work and time.

Yes! I'm looking into using the standard templates for Statements, now that they include links to invoices (but custom templates don't). On the standard templates there doesn't seem to be a way to include a link to the terms and conditions on our website in the terms field. We have this link on all of our invoices, which use custom templates.
