User Role: Restrict access to Projects
Only allow people with limited access to Projects to see their own hours/project, not the total hours billed to any project. The total hours are really none of their business.

User logins - Client to see a login by the practice, rather than individual users
As a firm of around 25 accountants, we all may need access to a particular client at any point in time. Currently however, the client is aware of each individual user (i.e. 25 users) rather than an as a practice.
It would be therefore be good if Xero operated like Sage or QBs whereby the client only sees the practice as having access to their data.

Reporting: Profile based defaults for settings and reports - Based on client files and user
Ability to set default reporting options (default to show account numbers, specify no. of results per page, your own date preferences), along with favourited reports - but have it linked to your Xero user profile rather than the client's file.
I work on multiple files a day and don't want to change their file settings - but manually changing to my preferred reports every time the page refreshes is exhausting.

User - Give users access to specific invoices/quotes
We need to give specific users access to specific sales.
We have made our employee have draft only sales access, but now we cant collaborate invoices and quotes there should be an option to give users access to specific invoices & quotes, not the total sales in and out5 votes -
User roles - Reports access with no payroll (including accounts)
We want to give access to reporting to one of our managers however we don't want them to be able to view all payroll information. Therefore I am looking for a function that can give access to all of Xero except anything to do with payroll so all nominal codes to do with wages would need to be invisible etc. Journals would another thing that needs to be hidden.
11 votesThis is really useful to know, thanks Josh - Though we don't have immediate plans for change around this, we really appreciate you sharing the detail of how you'd see this permissions working best for you. We'll keep an eye across this one here, and let you know if there are any updates.

Granular user access desperately needed!
The access the standard user has is way more than they should have. I don't agree with them having access to settings areas at all.
I have a staff member who is payroll admin and covers sales invoicing. I don't want them having access to the banking data, purchase ledger data, any settings areas at all, but I don't have the flexibility in the user roles to manage their levels.
There needs to be a way to better configure user access levels to ensure the integrity of the accounting system.
Please can the developers look into this. Happy to provide…

User Roles - Overdue invoice only role
Hi,
I would like if Xero can provide an invoice user view only to look at the overdue invoices.
This idea came up because we have a requirement to give this access to the person we hired for invoice chasing.
We do not need to let him see previous invoices or give him access to create new invoices.
Just a view with pending invoices payments for sent invoices2 votes -

History & Notes | User Role: Receive notification of changes
Every now and again we have an issue in a client account with someone's User Role being altered without notification.
I can't figure out if the client is in there making changes without really knowing what they are doing, or if Xero is having a weird glitch.
(the latter seems unlikely)
It would be nice if we could pin point who was doing it so we could explain the hassle they are creating!2 votes -
User Role - Allow Admin Projects users to see custom project reports
There are users who need access to custom projects reports but no others. Currently they either have to repeatedly customise the base reports or have access to all the reports.

UK Payroll - Improving User Experience for Closing Payroll Schemes
When closing a UK PAYE scheme in Xero Payroll, I struggled to locate the option to end a PAYE Scheme within the system but found guidance in Xero help resources.
I suggest moving the "scheme cease date" box to the "HMRC" Xero Payroll Settings tab for better visibility and less confusion.
Your step-by-step explanation was helpful, but some adjustments could enhance user experience.2 votes -
Login - Don't Log Me Out/Extend Log Out Time (more than 60 minutes)
Develop the feature where Xero doesn't log user out time is extended for more than 60 minutes when it’s idle.
Purpose: Because having to log in again can disrupt users' workflow, which some users had to be interrupted as they’re also taking care of their business at the same time.
1,077 votesHi everyone, we appreciate the interest surrounding this idea, however we want to be open that we're unable to extend our log-out time past 60 minutes. Xero hold a lot of sensitive information including bank data and we're required to be as secure as online banking.
Any session information running on a web browser can potentially be stolen. If the session does not time out. You then have an infinitely long vulnerability window to session hijacking. Our best option is to keep a tight expiration window on the session cookie, and regenerate them frequently. Even setting a long timeout doesn't help with this - too long a timeout will greatly increase the risk of invasion or potentially jeopardise your personal data and the safety and integrity of the Xero application itself. This is why we maintain control of this.

Navigation - Return to previous screen after viewing/editing a transaction
Ability to return to the previous screen after the user edited a transaction.
Purpose: To make users easily continue working on the previous page rather than having to navigate from the different page again.
111 votesHi everyone, thanks for all your support and feedback of how changes in navigation could help your use of Xero. While not across all areas of the product there are some updates in Bills that we wanted to share and may help the needs of some in the idea here.
We've launched Bills quick view where there's now an eye icon within the line of the bills list. From here you'll find more ease in viewing, and more recently being able to edit bills from this view without having to leave the list, meaning you can simply make adjustments and move from one bill to the next.
We'll continue to explore and develop solutions like this to help our customers get more out of Xero on the go. I'll keep you informed of other updates that could enhance your experience, here.

User Roles - Allow Invoice Only +Draft users to edit auto-created bills
Our users email received invoices to Xero and then go into the Drafts Folder to check/process the bill - but if we make their Role 'Draft Invoice Only', they can't see the draft orders that the system created from the emails.
This means that the users can't use the auto Bill creation process and have to enter them manually.

Xero Inventory Plus - Allow access to XIP regardless of user role
Xero Inventory Plus should be an option, similar to Expenses and Projects, for any/all users regardless of roles. I need everyone on my team to see where our inventory stands.

Lock dates - Ability to add password protection
Dear Xero product team,
Please could we have an option to Password protect Lock Dates.
Where certain user can only unlok Lock dates i.e. Accountants or Subscriber
At the moment anyone can unlock the Lock dates which defeats the purpose of the Lock Dates.
153 votesThank you for your engagement and feedback on this idea. We’ve seen some great suggestions in this thread on how a password-protected lock date could work. The current lock date feature prevents new transactions from being entered and can only be removed by Advisor level users, but we recognise that some users would benefit from introducing password protection.
As part of our new Xero Product Idea process, we have recently reviewed the idea and shifted this to “Accepted”. This reflects that this is an idea we’d like to develop, but that this isn’t currently on the roadmap. We'll be back with another update as soon as we have more to share.

User Roles - Invoice Only: Ability to see balances of supplier accounts
An employee is in charge of paying our foreign supplier accounts. So we gave him the role "Invoice only (Approve and Pay). Unfortunately, he is not able to see a full statement of the supplier account with all invoices, credit notes and payments made so he does not know how much is owed. He is also unable to enter payments against a supplier without an invoice already existing in Xero, which is an issue when making payments to suppliers who require payment in advance. We cannot grant him full access to see bank details because if we did he would…
