User role permission: Invoice Only Purchases - Assign user to see bills paid
Currently, it’s not possible to assign a invoice only-Purchases (orders and bills) user permission and not be able to see bills paid or to have the Invoice Only create drafts user role and see purchase orders approved by other users. Can you include this option in Xero?

User Permissions - Access to reconcile without viewing balances
It would be really useful if you could give a user permission to be able to reconcile and post bank transactions, but not see the bank balance.
314 votesWe thank you all for sharing in the idea here, and understand there are many permissions that our Xero customers would like to provide on a more incremental basis. As you'll all know access to bank accounts is available to users with Adviser, Standard or limited access to those with Read Only roles - You can see more of the breakdown in our article here
With much of the teams resource drawn to work on the platform that'll continue to help us with the 'building on beautiful' experience for our customers we want to be upfront that there are no direct plans for altering the user permissions in this space just yet.

User Permission - Ability to give both Invoice only and payroll access
I have clients whose bookkeeper does the payroll and also processes accounts payable/receivable invoices. Currently we can't have submit/draft only invoice access AND payroll access. This means that if they want to do payroll, they also get access to approval of invoices. Can we please create a user role where draft/payroll access is combined?

User Permission - Books Closing Date Restriction
The ability to set a closing books date so that no entries in a prior period closed date can be changed without an administrative password or an approval process chain of more than one approver.
3 votesHi community, this is possible via the use of Lock Dates in the organisations Financial Settings.
You have two optional date settings:
- One date that applies to all users except Advisers
- A date that applies to All users, including Advisers
These prevent the relevant users from adding or making changes before these dates.

User Permission - Separate approver roles for both Invoices and Bills
When raising client invoices, it would be good to be able to submit the invoice to a Manager for approval.
When processing supplier bills, it would be good to be able to submit the bill to a Manager for approval of payment of that expense.
In both cases, this would mean that approval details of "who" and "when" would be noted in the History of the invoice/bill without needing to attach a file showing the approval or tracking this outside of the system.

User Role - Invoice Only + View Reports
Ability to assign a user where they can only have Invoice only and view only reports.
Purpose: To make user permission easier to set up, rather than having to upgrade them into Standard. As this will allow a user having access to more confidential reports.

The good news is reporting is one of the primary areas that we’re looking to develop, and we’re working on a solution that’ll give you more flexibility within the Invoice only role by providing access to Sales & Purchases reports.

Payroll: User Roles - Options to give permission to approve/decline leave and read only Payroll reports.
Ability to have more flexible permission in Xero Payroll, especially for read only Payroll reports and to give other users permission to approve/decline leave requests.

Permissions - User Roles to Submit and Approve Quotes and Purchase Orders
It is really basic, the permission control is not flexible and give more options. How about to give multiple choosing box for permissions. I want to create a user and give him permission to create and print quotations and a purchase order permission to create and submit for approval. Because the purchase approval permission i want to give to the manager levels only.

User role - Permission to create Spend or Receive monies
The Receive Money function should be made available to users who do nothing else except literally receive money - ie sales people. This is especially relevant in small countries where cash is king and non electronic transactions are still in majority. I have one user who only needs to receive cash but I can't give them that function without making them an Adviser.

User Roles - Ability to set up greater flexibility for staff roles (e.g. read only permission)
Ability to have read only permission when setting up staff access in Xero.
Purpose: Because some staff aren’t allowed to make changes to certain area (e.g. access to bank accounts and reports).

AU Payroll - Customise User Permissions
We need the ability to further customise User Permissions. For example, a company could have 3 bank accounts and one credit card, all of which need reconciling, but I want two employees to share responsibility. So, employee A can do two bank accounts, and Employee B can do 1 bank account, and one credit card, and each can only see what they are responsible for. Secondly, we should be able to set up a Finance Manager who has certain permissions again separate from all other options. For example we may have a Purchasing Officer with authority to purchase…

User Roles & Permissions - Ability to suspend users
It should be possible to suspend users without deleting them. This should cut off all accesses but should preserve the account /username itself. This is a basic functionality of user access control which is surprisingly absent from Xero. This preserves the user ID incase someone suddenly leaves the company or is suspended from duties for whichever reason.

User permissions - Ability to bulk delete users
completing a cert IV in accounting and bookkeeping you have to become a user for approximately 10 different companies. Therefore once you have finished your course they sit in your My Xero, the only way to remove yourself as a user it to do each one, can you have an option to remove yourself as a user for multiple companies in one step.

User Permissions - History recorded of role changes and ability to add description
There is currently no record of changes to User registrations in the xero file. This is a failure of audit processes.
A description for each user would be handy to identify the role of each person within the Organisation.

Permission - Ability to choose either or both Sales, PO, quotes and Invoice for Invoice Only user
Invoice only user role that allows you to pick and choose either or both Sales and Purchase orders. quotes and invoices. At the moment you can only have Sales or Purchase IO otherwise you have to make standard user which is not helpful.

User role - Read Only access to reports only
To be able to add restrictions to the Read Only permission for users so that bank account details are not available but allow users to only have access to reporting, income/expenditure transactions etc.

User Role: Invoice Only - Ability to add tick box options for setting up a new invoice only user
We need to give a user the 'Invoice only (sales)' permissions but do not want them to view invoices created by other users or ANY sales figures such as 'total awaiting payment' or 'total overdue'.
It would be incredibly useful to have tick box options for main permissions when setting up a new Invoice Only user. These permissions should include:
- View sales totals
- Approve invoices
- View invoices created by other users

Permissions - Give Invoice Only users access to Send/Print for approved invoices
Invoice Only User SHOULD have access to "send and print" feature once the Purchase Order were approved. To address this concern, a user should have an access level of Invoice Only + Purchases, however, changing the permission to this level, the inputs made by other users, which might be confidential and unnecessarily to be seen by others, are compromised. I would like to request to add this feature (send and print) for the Invoice Only users.
17 votesWe appreciate you taking the time to share and support this idea. We can see that this idea is already gaining traction amongst the community. Giving Invoice Only users the ability to send or print approved invoices has the potential to simplify your workflow and make day-to-day tasks more efficient.
Enabling this functionality would allow the same users who create and approve invoices to also send or print them, reducing handovers and helping your business operate more smoothly. It’s a great example of how a small change can lead to better team autonomy.
Currently, this action is available to users with Standard, Advisor, or Invoice Only – Approve & Pay roles. Expanding this to other Invoice Only roles, such as Draft, Sales, or Purchases could make Xero even more flexible for teams with clearly defined responsibilities.

User Access: Lock Dates - Specify User Access
Ability to specify which user has access to the lock dates.
Purpose: To prevent clients from changing prior year figures in Xero after the financials have been published.

Allow Assigned Project Users to Invoice in Xero Projects with ‘Draft Only’ Permission
We use Xero Projects and assign each project to a project manager. Our managers need to invoice tasks directly within their assigned projects as this then shows which tasks have been invoiced within the project. Currently this is only possible if they have:
• Standard Project access, and
• Sales (Invoice) permissionThe problem is that these permissions give the users too much access to company wide financial data, including ALL projects, invoices, and bills (not just the ones assigned to them).
