  1. Save and Next option for Timesheet approval.

    Rather than having to go back to the beginning for each and every timesheet approval you should be able to save and view next in the same way you can with bills.

  2. I work for a company where our employees can work on multiple contracts with different pay rates and different working hours for example 2 hours tues and wed at £11.50ph and thurs at £11.75.

    It would be useful if you could allocate an hourly rate to a specific working pattern and then be able to allocate multiple patterns to one employee

Whether or not you agree that emailing payslips should be considered by employers as a mandatory procedure once the payrun is logged, there are some basic improvements that should be adopted regardless of your opinion. If payslips have already been sent the the first improvement is to prompt the user that payslips have already been emailed if a user revisits the pay-run options window and clicks on email payslips. If the pay run has already been posted, the second improvement is to still provide access to an individual's payslip to record a message before emailing.

I have an employee with an Attachment of Earnings Order (AEO) and whilst I have been able to set up the amount to be deducted on the payslip template each month, it appears that it is not possible to enter an opening balance on Xero for this deduction. I don't know if it is usual to show a YTD figure for AEOs - certainly Student loans have a YTD figure on the payslip and I would imagine that it will feature on the P60, but I can't see how Xero is going to produce this correctly without allowing me to…

  5. The ability to change auto enrolment percentages when a new staff member first is assessed and paid. A staff member has negotiated a higher employer percentage and I know we can change it once this has been added to the payslip going forward but at the time they are assessed and going to be included in the first pay run as well as a popup which lets you postpone them it would be good to also get the option to edit their pension percentages at the same time.   6. I would prefer that the dates displayed on the Payroll Activity Details & the Payroll Employee Summary reports are the beginning and of the pay period.
    I have found that some of my clients get confused with the way those reports are currently issued, using the payment date.

  7. Change the Alternate Holiday accrual to days not hours. Legally when someone works on a statutory holiday they get to accrue 1 days alternate holiday, which is the hours that they would normally work when they take the day off, not the hours they worked on the stat day. It's misleading putting in hours instead of days, especially if every day if not an 8 hour day. Reports need to be run every time an Alternate Holiday is taken to ensure they still have that day available.

    Hi Mandy, this is something our team are working on at present.

    Currently, any new businesses that have started using Xero Payroll from 5 August 2024 will have the ability to set up employee leave entitlements to show alternate holiday leave in days. While we're still working on changes to enable this for existing organisations we'll keep you updated of when this is made available here.

  8. Employee tab - make the layout available for users to choose between Portrait or Landscape orientation.
    Since updates were made on 20.12.2024, the Landscape one (on this particular tab - Employees) did not fit on the screen. It looks like a tech error rather than an update...

  9. At the moment, inside an individual's payslip/pay run, the button options are 'save', 'save and next' and 'close'.

    A button for 'save and close' would be ideal when only one or a few employees (not the whole batch) need to be manually viewed and edited. Instead, we need to click 'save', wait for the page to load again, scroll down and click 'close' to return to the pay run employee list.

    Thank you for your contribution and support on the idea.  We understand that the ability to easily save and close in one click would benefit your workflows, however to be upfront we don't have direct plans for making this change within the payslip in the foreseeable future.

    We appreciate this is not the news you’d hope to hear, but we'd like to be open and transparent with you on this, here. 

  10. Why can't Xero make editing a timesheet easier by automatically showing bank holidays and any days off that have been entered as holiday?

    If the timesheet showed bank holidays or days where time-off has been allocated in a different colour or with an asterisk by the date then checking timesheets against time-cards would be much more straight forward.

  11. In XERO as at today when you set up a salary sacrificed arrangement, the amount being sacrificed by the employee will be added onto the employer's contribution and appear under the employer's field for reporting purposes.

    But when you need to submit the pension report to the pension provider portal you will need to separate employee and employer contribution.   12. A report that shows current annual leave hours, plus leave available to take in advance hours for each employee. It's very time consuming to have to calculate leave if you want to give an employee leave in advance. Using the "show leave available to take in advance" option in the employee set up tends to give the wrong balances on the employee payslip which leads to confusion.

  13. P11 PAYE & P11 NIC annual reports, need to have an option to export as Excel, instead of auto downloading as a webpage.
    My auditor requested these in Excel format and there was not an option for this, it would make it much easier if these type of reports could have download options, so you could export to excel.

    Hey Sam, thanks for sharing this idea.

    As you’ve found, it’s not possible to export the P11 reports in excel format. Totally understand that copying and pasting details from the .html file is a time-consuming process!

    Just curious if there’s specific information required in the P11 reports that’s unavailable in our other reports?

    You can find much of the same information in the ‘Gross to Net’ and ‘Payroll Activity Detail / Summary’ reports, and they do support saving as an excel file.

  14. Currently the Salary Sacrifice is just deducted on the Gross to Net report. Where as on the TB the amount is added. It would be good if this could be segregated.

  17. We have multiple employees that have various deductions from their wages. This is causing the pay slip to spread accross two pages which is concerning as they may miss important information like messages at the bottom of a pay slip.
    There needs to be the either:
    1. The ability to change the payslip layout
    or
    2. Have two or three template options to choose from.

  18. Some employees have payment information (bank account), and others do not at a client account. The client does not use the bank account information for the payment to employees, then, this information is not compulsory for the client at the moment.
    I found a wrong information of the payment bank account information of an employee and tried to delete it, however, Xero says:
    The account name is required, and
    The account number is required, then,
    It is not possible to save 'nil' information.

    We appreciate the interest and rationale in wanting to be able to delete an employee's bank information.

    While this may be a function we look to explore in the long-term we want to be upfront that this is not something we've currently got planned.

    In the meantime, you can replace the employee bank account details with fake/dummy information instead.

  19. The ability to export the auto enrolment pension report and also to "hide" deep archived employees. I check this report mid month and send a list to HR as a sanity check for those employees not yet enrolled/non eligible but now have to scroll through "all" employees past and present to get the current information. Not very user friendly. Even an export option with some way of then filtering whether the employee is current would be useful.

  20. I think it would be really helpful to put a search bar for employees in a pay run. It's really time consuming to scroll down list of employees especially if you have lots of them. It's under employee dropdown. Thanks!
